1 Purpose

The integration between SAP S/4HANA Cloud and SAP SuccessFactors Employee Central supports transfer of employee data (including contingent workers). It includes basic data, such as em-
ployee name and ID, and contact details, such as workplace address, e-mail, and telephone information.
This integration package requires preconfigured systems following SAP Best Practices. There are data model restrictions and preconditions to set up this integration. If you want to use a productive
SAP SuccessFactors Employee Central system, please contact SAP.
This document provides a detailed procedure for testing this scope item after solution activation, reflecting the predefined scope of the solution. Each process step, report, or item is covered in its
own section, providing the system interactions (test steps) in a table view. Steps that are not in scope of the process but are needed for testing are marked accordingly. Project-specific steps must be
added.
Values in this test script (decimal notation, date formats, and so on) are presented in U.S. standard notation. If your test system is set up to use a different notation, enter values as appropriate.

2 Prerequisites

This section summarizes all the prerequisites for conducting the test in terms of systems, users, master data, organizational data, other test data and business conditions.
Testing in a 3-System Landscape
In a 3-system landscape (with SAP Central Business Configuration as your configuration environment), changes to software and business configuration are applied to your systems independently of
one another. It is therefore your responsibility to manage the active business configuration in your systems and synchronize configuration data in your SAP S/4HANA Cloud system landscape. A
synchronization is required, for example, after you've enhanced the scope, extended configuration, or adopted new or changed content from content updates or upgrades. For more information, refer
to the product assistance in the SAP Help Portal
Before testing, if you want to use all software features described for the process steps, reports, or items in this document, we recommend the Business Process Configuration Expert in your organiza-
tion has upgraded the configuration content and deployed the configuration data to your system landscape.
If the decision is not to upgrade the configuration content in your test or production system, you can run regression tests of software changes using the procedures in the previous test script version
(see the following link ).

2.1 Additional Manual Configuration


Before you can test this scope item, you must have completed the additional configuration steps that are described in the Set-Up Instructions for this scope item. These configuration steps are specific
for your implementation and include mandatory settings that are not delivered by SAP and must be created by you. For more information, refer to the Set-Up Instructions for this scope item on SAP

2.2 System Access


The test takes place in the following systems:

2.3 Roles
Create business roles using the following business role templates delivered by SAP and assign them to your individual test users.
Alternatively, if available, you can use the following spaces delivered by SAP. You create a space with pages containing predefined essential apps and assign it to the business role. You then assign
this business role to your individual users.
For more information, refer to How to Create a Business Role for the Administrator in the product assistance for SAP S/4HANA Cloud.

4 Test Procedures

This section describes the test procedures for each process step that belongs to this scope item.

4.1 Bank Data Replication


When you create a bank in SAP S/4HANA Cloud, it is replicated automatically to SAP SuccessFactors Employee Central. This section describes how to check a newly created bank in SAP Success -
Factors Employee Central for correctness.

4.1.1 View Bank Data

Purpose

The Administrator checks if the bank has been created correctly in SAP SuccessFactors Employee Central. Only initial replication of bank master data is supported. There are editable fields on SAP
S/4HANA Cloud for which this replication scenario would replicate value changes to banks in SAP SuccessFactors Employee Central.

4.2 Company Code Replication


In the following sections, the procedures for executing the company code replication from SAP S/4HANA Cloud to SAP SuccessFactors Employee Central are described. The high-level process is as
follows: a company code is created in SAP S/4HANA Cloud. The new company code is then replicated automatically to SAP SuccessFactors Employee Central, where the corresponding legal entity
is created and can be checked for correctness.

4.2.1 Maintain Company Code

Purpose

The Configuration Expert - Business Process Configuration creates one or several company codes. The newly created company code(s) are transferred to SAP SuccessFactors Employee Central.
The replication of a company code fails if a legal entity for the same company code has been created manually in SAP SuccessFactors Employee Central with a different start date than 01/01/1900.

4.3 Cost Center Replication
In the following section, the procedures for executing the cost center data replication from SAP S/4HANA Cloud to SAP SuccessFactors Employee Central are described. The high-level process is
as follows: once the initial replication is completed, you can change the existing cost center data in SAP S/4HANA Cloud. The changes are then replicated automatically to SAP SuccessFactors Em -
ployee Central, where they can be checked for correctness.
Whenever there are multiple SAP S/4 HANA Cloud systems, you need to make sure that the cost center IDs delivered to Employee Central are unique across your system landscape.

4.3.1 Maintain Cost Center

The following sections deal with employee workforce-related data replication from SAP SuccessFactors Employee Central to SAP S/4HANA Cloud. You find details on how to enter hiring data for
a newly hired employee, how to verify that data replication was processed successfully, and how to proceed if the replication fails.
One section is dedicated to contingent workers. Companies can hire contingent workers to deliver services on a non-permanent basis. The contingent workers are often known as independent profes-
sionals, temporary-contract workers, or labor hires. After the work order, to which the contingent worker is assigned, has ended, the status of the contingent worker turns inactive in the system. Nev-
ertheless, the contingent worker can be reactivated by assigning him or her to other work orders.
At high level, this process is as follows: hiring data of new employees and contingent workers is entered into the SAP SuccessFactors Employee Central system. This data is then replicated automati -
cally to SAP S/4HANA Cloud, where it can be checked for correctness. As the employee and contingent worker data must always be up-to-date, changes of employee's master data records can be
performed in SAP SuccessFactors Employee Central. These changes are then replicated automatically as delta changes to SAP S/4HANA Cloud, where they can be checked for correctness.
During his or her life cycle at the company, the employee or contingent worker might be terminated. For this, termination-specific data is entered SAP SuccessFactors Employee Central. This data is
then replicated automatically to SAP S/4HANA Cloud, where it can be checked for correctness. It might occur that a terminated employee returns to the company. In this case, rehiring data of the re -
hired employee is entered into the SAP SuccessFactors Employee Central system. This data is then replicated automatically to SAP S/4HANA Cloud, where it can be checked for correctness. Simi -
larly, every change in the employee data including changes in personal information, job classifications, or organizational information are replicated as delta load. That means that only employee data
that has changed in SAP SuccessFactors Employee Central since the last synchronization is replicated to SAP S/4HANA Cloud.

Factors Employee Central to SAP S/4HANA Cloud will fail. To create a vendor in SAP SuccessFactors Employee Central, proceed as follows:

4.5 Employee Availability Information Replication
The following sections describe how to replicate employee availability data from SAP SuccessFactors Employee Central to SAP S/4HANA Cloud.
At high level, this process is as follows: the HR manager adapts time information as appropriate: he or she adds missing or corrects existing data for employee, posts time off for the employee, or
adapts the work schedule of an employee starting a particular date. All this data is replicated as delta change of the availability information to SAP S/4HANA Cloud, where it can be checked for cor -
rectness.
Prerequisite
● Time Off is enabled in your SAP SuccessFactors Employee Central instance and time-off configuration has been set up!

Note The batch job, which has been scheduled in CPI on a regular basis, extracts and replicates the employee time data from SAP SuccessFactors Employee Central to SAP S/4HANA Cloud. The
changed records for a period from earliest retro date until last run until date (which is the latest availability information in SAP S/4HANA Cloud) are transferred. Additionally, there is a 2-day period
forecast data transferred, meaning Last Run Until + 2 days.

During each calendar year, the employees can request time off, for example vacation. During this period, they cannot be staffed on a customer project. Therefore, it is important that they plan their
vacation in a timely manner to ease the planning and staffing in customer projects.
Absences are called in SAP SuccessFactors Employee Central time off.
For time types, accrual rules can be defined and assigned. The time type for which an accrual rule has been defined and assigned to is Vacation. Time off of this type can be requested only if enough
balance is in place.
Under certain circumstances, an employee might need to apply for time off, but cannot do it him- or herself – for example, because he or she cannot access the system. Then, the HR manager can re -
quest time off on behalf of the employee. In this case, the time off is posted directly and no approval from the employee’s supervisor and possibly of the assigned Administrator - HR Info is needed.
Note Before changing the availability information of the employee by requesting vacation, it is recommended to note down the availability information of the employee as existing in SAP S/4HANA
Cloud before and after the changes are carried out. With this, you can verify if the replication works properly.
