Invigilator Examination Check List

Prior to an exam the invigilator is to receive from the examiner the necessary paperwork for the exam, this
pack up should contain:

1. A question paper for each candidate


2. An answer paper for each candidate
3. A Examination Paper Issue/Receive Record Form
4. A seating plan of each candidates position

The invigilator is to check the following:

1. The quantity of question papers and sheets in the question papers.


2. The answer paper for correct student markings i.e. student identification number.
3. That the Examination Paper Issue/Receive record form tallies with the question papers.
4. That the seating plan is clearly marked with the candidates seating position.

The invigilator is to prepare the examination room prior to the examination taking in consideration the
following items:

1. All students must be seating in such a way as to prevent overlooking of other students from their position.
2. The invigilator is responsible for maintaining adequate lighting levels during examination.
3. In examination rooms fitted with air conditioning units, the invigilator is responsible for maintaining a
comfortable level of heating/cooling.
4. If an examination room is fitted with window blinds, they are to be closed to prevent distractions from the
outside of the examination room.
5. All relevant system schematics and/or training aids are to be removed /covered from display.
6. A clock is to be available and viewable by the students.
7. Access to the room is to be restricted to prevent distractions.
8. Any access to the room is to display a “Examination in Progress No Entry” notice on the external side of
the door.

Invigilator Examination Check List

When the invigilator has prepared the examination room he/she should place one question paper face down
on each desk and place one answer paper face up on each desk. The question paper student identification
should tally with the room plan received from the examiner. The seating plan should then be displayed
outside the room for viewing by the candidates

The invigilator is to read the following Statements to the candidates prior to commencement of the exam.

1. Any candidate found during a knowledge examination to be cheating or in possession of material


pertaining to the subject of the examination, other than that supplied for the examination, will be
disqualified from passing the examination and may not then retake the examination for at least 12 months.
2. Only candidates sitting for an examination are allowed into the room during the examination.
3. No candidate is allowed to leave the examination room without first submitting their paper for marking.
Once a candidate has left the room they cannot re-enter until the examination has finished and all papers
are collected.
4. Each candidate is identified by a number, the only identifying document is held by the examiner.
Candidates are to sit in the desk indicated by their candidate number that they received from the examiner
at the start of the course.
5. The only allowable material on the student’s desk is the question paper, answer sheet and pen/pencil for
marking the answer sheet.
6. The time allowed for this exam is 90 seconds per question.
7. You are not allowed to turn over your question sheet until told to do so. Do not mark the question papers
in any way & do not write your name on the answer sheet. Answer papers are identified by the Candidate
number.
8. The candidate is to hand to the invigilator the examination paper, answer sheet(s), and any other material
used at the end of the allotted time.
9. No talking is allowed during the exam. Any questions are to be directed to the invigilator only. Failure to
comply will result in disqualification from the exam.
10. All mobile phones and other electronic gadgets are to be switched off and out of sight for the duration of
the exam.
11. If a student wishes to change a multiple choice answer he/she must place a circle on old answer and mark
an ‘X’ the new answer. If a student wishes to again change a multi choice answer , he/she must place a
circle on old answer.

12. If a student wishes to change a multiple choice answer multiple times, and the answer block are circled,
the final selected answer can be marked by writing the selected answer alphabet on the right side outside
the box for that question in the answer sheet .
13. At the end of the examination the invigilator is to collect all answer papers and all question papers. The
invigilator is to check collected question and answer sheets against the examination check sheet to ensure
no documents are missing or incomplete
14. The candidate has a right of appeal against any exam result, in the first instant the candidate must petition
the Training Manager or nominated deputy in writing prior to any re-sit.
15. The Training Manager or nominated deputy and the examiner will carry out a review of the disputed
examination. The review is to check for incorrect marking, badly worded question/answers alignment of
questions against the syllabus for phase exams and instruction material used.
16. The candidate is to be informed of the outcome of the review within 1 day of audit completion.
17. If the candidate is still not satisfied with the outcome of the appeal the candidate has the right to appeal to
the Accountable Manager.
