1. SAP Ariba Technical Requirements
Before you start the registration process, we recommend that you use one of the following
browsers to register.

Supported browsers
Manufacturer and browser Browser version
Apple Safari (64-bit) Versions 9 and later
Google Chrome (64-bit) Versions 53, 54, and 55
Microsoft Edge (32-bit) Version 25
Mozilla Firefox (64-bit) Versions 48, 49, and 50

2. Invitation to Register as a Supplier of

Vandemoortele
If you received an email invitation from Vandemoortele, click the link Click Here in the email
message to create an account on Ariba Network.

3. Welcome page Ariba Network
When Ariba Network shows the welcome page

you can do one of the following:

• If you already have an account, click Log in.
• If you don't have an account yet, click Sign up.

3.1 How to check if you have already an Ariba Network Account

If you don’t know if your company is already registered on the Ariba Network, you can search
for existing companies.

Click the link to the Ariba Website

and Search

Fill out one or more search fields and click Search

If your company is in the search results, then your company is registered. Proceed from section
3.1.

If your company is not in the search results, Proceed from section 3.3.

3.2 How to proceed if your company is already registered

1) If your company is in the search results and you have a login, click Cancel to
return to the login page.

Fill in your User Name and Password and click Login

2) If your company is in the search results but you don’t have a login, you can contact
your Administrator by clicking the 3 dots under Actions and view profile

click Contact Admin

Enter your contact details and a message and click Send Email

3.3 How to proceed if your company is not registered yet

If your company is not in the search results, click Cancel

 And click Register Now

4. Create an SAP Ariba Supplier Account

The Supplier Registration consists of 2 parts:

Part I: Register as a Supplier on the Ariba Network

Part II: Complete the Vandemoortele Supplier Registration Questionnaire

Note
You are not registered as a supplier of Vandemoortele until both steps have been
completed.

4.1 Part I: Register as a Supplier on the Ariba Network

Ariba Network asks for basic information about your business, such as your company name,
address,
telephone number, and email address.

Follow the steps in the registration wizard

Note
▪ Some fields will be pre-filled, but you can adjust.
▪ The fields marked with an asterisk * in the Questionnaire are mandatory fields (*).
▪ In this manual we only describe the mandatory fields that need additional explanation. This means
that there are more mandatory fields than described in this manual.

COMPANY INFORMATION

Complete all mandatory fields.

USER ACCOUNT INFORMATION

Note
The person whose name is entered in the user account information section becomes
the account administrator automatically. Account administrators can transfer the
administrator role to another user later.

TELL US MORE ABOUT YOUR BUSINESS

Click Browse to select the product and/or service categories your company offers.

If you look at this video, starting after 1:00 minute, you can see how to add.

Read the terms of use and choose the check box if you agree to the terms.

Click Create account and continue

When your account is created, you will receive an email confirmation from Ariba Commerce
Cloud:

After you have created your Ariba account, you should now see the Supplier Registration
Questionnaire from Vandemoortele.

 Note
You are only registered as a supplier of Vandemoortele after you have completed
and submitted the Vandemoortele Supplier Registration Questionnaire. You
should therefore proceed immediately to the next part.

4.2 Part II: Complete the Vandemoortele Supplier Registration

Questionnaire

The Vandemoortele Supplier Registration Questionnaire consists of 6 sections to be

completed by the Supplier:

Please complete every mandatory field (indicated by *) of every section through by clicking
each section (on your left side).

1. Terms and Conditions
Read the Terms and Conditions and make your choice at the end of this section.

2. General Information
As Contact person you can enter the details of the Key Account Manager of
Vandemoortele.

 Legal Entity Address of Supplier: if you click Show More you will see more fields.

You can click the Information icons to get more information about the field

Vendor communication Email address: enter a general email address of the Supplier
for general communication from Vandemoortele towards the Supplier.

3. Financial Data
Tax Information (VAT registration number) is prefilled and should be checked by the
Supplier.

Click Add Tax Information

If the prefilled Tax information is incorrect,

click Delete
click Add Tax Information.
select Country and
enter VAT Registration number.

If a Tax Number is required in your country, please also fill in.

To save the Tax Information and return to All Content, click OK

4. Banking Information

You only need to fill in the mandatory fields. Click Add Banking Information.

 If you have an IBAN number, mandatory fields are

▪ Bank ID: is a free-choice sequential number, no longer than 4 characters. If you

enter only 1 bank account, you can enter for example 001. For your second
bank account you can enter 002 etc.
▪ Country: country where your bank is located
▪ IBAN Number

If you don’t have an IBAN number, mandatory fields are

▪ Bank ID: is a free-choice sequential number, no longer than 4 characters. If you

enter only 1 bank account, you can enter for example 001. For your second
bank account you can enter 002 etc.
▪ Country: country where your bank is located
▪ Bank Key/ABA Routing Number: Bank key is a country unique number and is
called routing number.
▪ Account Number

5. COC (Code of Conduct VDM)

Read the Vandemoortele Code of Conduct through the link

Select your choice and Attach the signed Code of Conduct of Vandemoortele.

6. Sustainability Policy

In this section we want to obtain information about your sustainability policy.

Depending on the answers you give, other questions will be asked or you will be asked
to upload a file.

When you are finished, Click Submit Entire Responses

If you get a warning after you clicked the Submit Entire Response button, use Next and
Previous to read the details of the warning and perform the requested action.

If you’ve solved all problems, click the Submit Entire Response button again.
Click OK

After you have submitted your response, your Supplier Registration Questionnaire will
be Closed

and an email confirmation from Vandemoortele will be sent that your registration
information will be reviewed and approved.

6.1 I can’t find the Vandemoortele Supplier Registration Questionnaire?

To update the Supplier Registration Questionnaire, go to https://service.ariba.com/Supplier.aw

Enter your User Name and Password and click Login

To see the Vandemoortele Supplier Registration Questionnaire, click Ariba Network, in the
upper left corner, and select Ariba Sourcing

Now you can open the Supplier Registration Questionnaire and update it if you haven’t
submitted your responses yet.

If you’ve submitted your responses, the status of the Questionnaire will be Pending Approval.

If the questionnaire is approved by Vandemoortele, you will receive an email notification that
you are registered as a supplier of Vandemoortele.

6.2 I have trouble logging in?

If you would get this Error message when logging in

1) close all open Ariba Network sessions and login again

2) close all open Ariba Network sessions, clear your browser cookies
and cache, and login again

If you would have troubles signing up, make sure you have only 1 session of Ariba Network
open in your browser. If there are more than 1, close them all and reopen 1 session:
https://service.ariba.com/Supplier.aw

If you still have troubles logging in, close your browser completely and reopen
https://service.ariba.com/Supplier.aw

If you still can’t login, go to https://service.ariba.com/Supplier.aw and click Having trouble

logging in?

Select one of the options to request your username or reset your password

click Continue

SAP Ariba will send an email with your username or a link to reset your password.
