SoP for 1-Day Off-line Programs for Pellet Manufacturers

Program Objectives

The focus of the Pellet manufacturers’ program under SAMARTH should be to educate them
on advancing the biomass pellet manufacturing industry and encourage them to set up more
pellet manufacturing plants in their region, keeping in view the GoI policy on biomass co-firing
in thermal power plants.

The program for Pellet Manufacturers should focus on the following points.
i) Biomass pellet manufacturing – a clean, green and lucrative investment opportunity
ii) Demand & Availability of biomass pellets in the market
iii) Case studies of an existing biomass pellet manufacturing plants in the country
iv) Technical & Economic aspects involved in pellet manufacturing
v) Availability and features of pellet manufacturing machinery and OEMs in India
vi) Need for low-cost pellet manufacturing and govt. support/ financial assistance schemes for
entrepreneurs

1. Pre-Program Submissions

i. Program Pamphlet/ Brochure


ii. Picture(s) of gift token(s) selected
iii. Agenda including details (name, affiliation) of faculties & meeting VC link.
iv. A copy of faculty’s presentation
v. Expected no. of participants
vi. Stage Sitting Plan

2. Important points regarding program arrangements

a. Due diligence & Timeliness


It is advised that the preparation for the event may be started one month in advance. This
would ensure timeliness in all preparation/ arrangements and sufficient participants from
target audience. It is also recommended that the mission feedback for previous events may
be taken into account while conducting the program.

b. Preparation of Pamphlet
A four page coloured A4 sized pamphlets adequately representing the mission, its Logo and
its objective and their relevance to the participants, including the objective of the current
program.

c. Faculty Tie-ups & Preparation of Agenda


A two-page agenda for duration of the event may be prepared with adequate breaks
(tea/lunch). Experienced faculties from eminent research orgs, industry, educational institutes
or govt. bodies etc. may be invited to disseminate their knowledge in the field. The objective
of the presentations should be in sync with the program objectives. The details of faculty(s)
finalised may be shared along with a copy of their presentations.

d. Inviting Participation
Adequate no. of participants must be ensured in the event. The participants selected should
be in line with the objective of the program. Pellet manufacturer events are targeted at
promoting setting up of pellet manufacturing plants in India ensuring supply of biomass pellets
for TPPs. As such, participants from categories like existing and new Pellet manufacturers,
agri-entrepreneurs, private or govt. businesses interested in the sector, pellet plant machinery
suppliers, OEMs etc. can be invited.

e. Token
A token of appreciation may be provided to each participant attending the program. Items
which can have maximum visibility may be chosen, e.g. a jute bag, a Key-Ring, a diary or a
calendar etc. All tokens should bear the name & logo of the mission, a quotation and images
at the appropriate place(s). (The mission name, logo etc. should be printed on the token and
not pasted in paper form.)

f. Venue Requirements
The training venue having an adequately large hall with proper lighting, sitting arrangement,
dining hall and washrooms may be finalised. Air Conditioning arrangement shall be given
special attention in hot climatic conditions. There shall be a separate stage for the officiating
members from Ministry, Mission & NPTI. Officers from the ministry, NPTI and the mission may
attend the program via VC. Therefore, Video conferencing system with adequately large
display screen & audio facility may be arranged. Appropriate no of cameras should be placed
at adequate location for smooth functioning of the VC set-up.

g. Event Recording & Live Streaming


The proceedings of the event shall be recorded live either directly or through online platforms
(like MS Teams, Google Meet, Cisco Webex etc.). Also, live streaming of the event shall be
done on online platforms like Youtube. The live-streaming link for the same to be shared with
all participants.

h. VIPs/Dignitaries: Ministry Officials, CEA, Mission, NPTI etc.


Confirmation of participation from all guests of honors including Add. Secretary (Thermal),
MoP, Member (Thermal), CEA, Joint Secretary (Thermal), MoP, Chief Engineer (Thermal),
MoP, DG, NPTI, Mission Director, Mission Members etc. may be obtained.

i. Final Agenda, Meeting Link etc.


The details of officers addressing the event from the mission would be shared once the
draft agenda (with Time, Venue, Faculty details etc.) is shared. The finalized meeting link,
Agenda, Pamphlet, etc. may be sent to all participants and dignitaries two days in
advance.

j. Stage Sitting Plan


The stage sitting plan may be shared with the mission before the event. Care may be taken
that the mission members/ representatives physically present in the event should be seated
at the center of the stage.

k. Event Banner/ Hoarding


Banners/ Hoarding describing the event and bearing the name & logo of the mission may
be placed at appropriate locations incl. at venue entry, hall entry, stage backdrop, dias etc.
The banner used as stage backdrop/ background should be of large size.

l. Group Photograph
A group photograph shall be taken by event organizer at the start or end of the program.
The photograph shall have the mission members at the center accompanied by NPTI
officials, other senior faculties/ hosts.

3. Post Program Reports

After the conclusion of the program the following may be submitted to the mission directorate.
1. Report of the program along with photos/screenshots (incl. Group Photograph)
2. List of participants in the event (incl. their details like organization, contact details,
address etc.)
3. Presentation of all speakers for the record of the mission.
4. Feedback of the participants (may be collected offlineI online.)
