PG RENTAL SYSTEM

1. Introduction:
A new place to build a new life may seem like an exciting prospect but, there can be
several obstacles along the way. In our current era of automated systems with it being
either software or hardware, it’s not advisable to be using manual system. Registration
forms verification to other data saving processes are done manually most of the times,
they are written on paper. Thus, a lot of repetitions can be avoided with an automated
system. With this system in place, we can improve the efficiency of the system, thus
overcome the drawbacks of the existing manual system. This system is designed in
favor of the PG system which helps them to save the records of the students about
their rooms and other things. It helps them from the manual work from which it is very
difficult to find the record of the students and the information of about those ones who
had left the hostel years before. This system gives an idea about how a student , room
allocation details are maintained in a better way.
PG Rental System was developed to ease the strain of manual labor. This application
is used to avoid much possible errors while entering data. No formal knowledge is
needed for user to use this system. Thus, by all this it proves that it is a user-friendly.
As described above, this system can lead to error free, secure, reliable and fast system.
It can assist the user to concentrate on their other activities rather than concentrating
on record keeping. Thus, it will help in better utilization of resources.
Every organization has challenges to overcome and manage the information of
booking, customer details.
Every Paying Guest system has different Paying Guest needs, therefore this system is
designed to assist in strategic planning, and will help you ensure that your organization
is equipped with right level of information and details for your future goals. These
allow you to better manage resources. The organization can maintain computerized
records without redundant entries. That means that one need not be distracted by
information that is not relevant, while being able to reach the information.
The PG rental system will also contain special features like how many students are in
a room, student’s id and free rooms or space available. The administration has a
unique identity for each member as well as students details.

2. Objective:

The main objective of the project on Paying Guest Rental System is to manage the
details of paying guest booking, room, customer details. The project is totally built at
administrative end and only the administrator is guaranteed the access. The purpose of
the project is to build an application program to reduce the manual work for managing
the Paying guest booking, rooms, etc. It tracks all the details about the room,
customer.
The purpose of PG Rental System is to automate the existing manual system by the
help of computerized equipments and full-fledged computer software, fulfilling their
requirements, so that their valuable data/information can be stored for a longer period
with easy accessing and manipulation of the same. It manages all the information
about PG, booking, etc.
The project has been developed in such a way that it becomes very easy even for a
person with little computer knowledge to operate it. This software is very user friendly
and does not require any technical person to operate it. The required software and
hardware are easily available and easy to work with. It provides the details of rooms
and the strength and strain of manual labor can be reduced. Basically, this project
describes how to manage for good performance and better services for customers.
There is a lot of strain on the person who are running the PGs and hostels and
software’s are not usually used in this context. This particular project deals with the
problems on managing a hostel and avoids the problems which occur when carried
manually. Identification of the drawbacks of the existing system leads to the designing
of computerized system that will be compatible to the existing system with the system
which is more user friendly and more GUI oriented. We can improve the efficiency of
the system, thus overcome the drawbacks of the existing system.

3. Features:
 In this project, we use PHP and MySQL database. It has :

b. User Module
c. User Registration
 It provides the searching facilities based on various factors such as paying guest, room
customer.
 Paying Guest Rental System also tracks all the information of booking, rooms,
customer, etc.
 It shows and manages the information and description of paying guest, rooms.
 Editing, adding and updating of records is improved which results in proper resource
management of paying guest data.
 Manages information of customer.

Admin Module:
o Dashboard: In this section, the admin can see all detail in brief like total students,
total rooms and courses details.
o Courses: In this section, Admin can manage, add and update courses details.
o Rooms: In this section, Admin can manage, add and update rooms details.
o Admin can manage students information, rooms, courses and see user access logs.

User Module:
 This helps the administrator and user to login to homepage only if password and
username matches.
 This module is used for managing the users of the system.
o User: In this section, the user can see only general information like about us,
registration page etc.

o Registered users:
 Book the pg.
 Update and manage his/her own profile.
 Change Password.
 Can see their room details.
 Registered user can also recover his/her own password.
 Login Module used for managing login details.
 Room Module for managing the room details.
 This allows the user to change the password.
 This is used to store student details i.e. information like profile details, contact
information, educational details etc.

4. Implementation/working:
In the PG rental system, the new user can register to get a login id and password.
With login id and password, users can get logged in. This project is aimed at
developing a system for keeping records and showing information about or in a PG. 

Here, registered user can login and view room details and book room. User can
change their password. Admin can add/manage rooms, courses, students and many
more. This simple project is done in PHP and it’s easy to operate and understand by

the users. The design is pretty simple and user won’t find it difficult to understand, use
and navigate. This particular project deals with the problems on managing a PG and
avoids the problems which occur when carried manually.

Identification of the drawbacks of the existing system leads to the designing of


computerized system that will be compatible to the existing system with the system
which is more user friendly and more GUI oriented. We can improve the efficiency of
the system, thus overcome the drawbacks of the system. Backup data can be easily
generated.
This project is aimed at developing a system for keeping records and showing
information about PG. This system will help the PG manager to be able to manage the
affairs of the PG. This system will provide full information about a student. Also
included is a user module for customers. There will also be administrator module
which will accessed by the administrator and has the ability to delete, add and edit
customer record.

5. Advantages and disadvantages:


Advantages:
 It provides accurate details.
 Easy to operate.
 Be easy to understand by user and operator.
 Have good user interface and is expandable.
 Work becomes speedy.
 Easy to update information.
 Backup data can be easily generated.

Disadvantages:
 Time consuming.
 The design of a computerized system that will reduce a lot of manual inputs.
 Allotment processes are done manually.

6. Conclusion:
Our project is a humble venture to satisfy the needs to manage their project work.
Several user friendly coding have also adopted. There are many conclusive features on
the project which suggests there can be further development and an outlook can be
created for a business perspective using various hosting platforms. This package shall
prove to be a powerful package in satisfying all the requirements of PG.
The objective is to provide a framework that enables the manager to make reasonable
estimates made within a limited time frame of project and should be updated regularly
as the project progresses.

To conclude the description about the project, the project is developed using PHP with
My SQL is based on the requirement specification of the user and the analysis of the
existing system, with flexibility for future enhancement. PG Rental System is very

useful for PG allotment. This PG Rental System software is designed for people who
want to manage various activities in the PG. For the past few years, the numbers of
educational institutions are increasing rapidly. Thereby the numbers of PGs and
hostels are also increasing for the accommodation of the students studying in the
institution.

This particular project deals with the problems on managing a PG and avoids the

7. Future Scope:
This software is developed in order to computerize the activities which take a lot of
time manually. It may help collecting perfect management in details. In a very short
time, the collection will be obvious, simple and sensible. It will help a person to know
the management of passed year perfectly and vividly. It also helps in current all works
relative to PG Rental system. It will also reduce the cost of collecting the management
and collection procedure will go on smoothly.
In this project we have tried to computerize some processes of PG Rental
system(booking system). This system can be used by end users and administrator to
perform extensible tasks, to reserve and sale room in an easy and secure manner.
The following facilities have been implemented by us:
 Secure registration and profile management facilities for customers.
 Adequate searching mechanisms for easy and quick access to particular products and
services.
