ADMINISTRATIVE OFFICE

The office professional applies his or her skills to arrange meetings and conferences, prepare
business itineraries, coordinate travel arrangements, attend to visitors, make and keep appointments, order
supplies, and supervised staff.

COMMUNICATION

A large portion of the office professional's task centers on assisting the executive in
communication.

RECORDS MANAGEMENT

This includes knowledge of the various filing system, filing supplies and equipment. This covers
records management procedures and organization and control of the filing system.
WORD PROCESSING

In the business world today, there is rapid and continuous flow of information which are produced
and transmitted through written communication.

DATA PROCESSING

Data processing is organizing, storing, and retrieving numerical data with the use of computer
software.

Such data made may include orders, purchases, accounts payable, sales, accounts receivable, or
inventory

ADMINISTRATIVE OFFICE PROFESSIONAL JOB DESCRIPTION


Administrative professionals are employed in nearly every industry and so job descriptions are tailored to suit. In
general, the administrative professional is expected to handle office functions such as answering telephones,
relaying messages, maintaining files and distributing mail. The job may require the administrative professional to
coordinate travel, schedule meetings, update calendars and create spreadsheets.
Industry-Specific Knowledge
Administrative employees often work in specialized fields that require industry-specific knowledge. For example, a
medical assistant supports a health care staff by scheduling appointments, transcribing dictation and editing articles
for publication in medical journals. She also processes claims through insurance companies and compiles patients’
medical histories. Her role requires her to be familiar with medical terminology and procedures.
Hard and Soft Skills
When Human Resources professionals talk about "hard" skills, they're referring to skills that can be easily quantified
or tested. For an administrative professional, relevant hard skills usually include the ability to operate office
technology such as multiple-line phone systems, videoconferencing equipment, photocopiers, scanners and fax
machines. Proficiency with word processing and spreadsheet software are other hard skills employers seek.
Education and Training Requirements
Employers typically require at least a high school diploma for administrative positions. Many office professionals
attend community colleges to study business English, computers and office management. They might take
additional college classes that cover industry-related terminology and processes so they can work in specific offices
like medical or legal practices, Human Resources departments or governmental agencies .

every day. Lots of paper works that needs to be done within the day. Those are just a few duties of an office
professionals. That is why, by learning such basic responsibilities and duties will help you identify what are the
work that’s belongs to you. By that, you can easily manage the work and done it on time.
