PREFACE

Training in the workplace is important to expose students


to real-life work experiences and equip them with the
necessary skills so that they are ready for employment
when they graduate. During industrial training, students
may discover their interests and identify their career
paths. Industrial training also gives students a chance to
meet people in the industry, and the industry can find out
about their potential talents.

Thus, this Employer and Student Industrial Training


Handbook was created to serve as a guideline to all parties
involved. The student uses this handbook both when
preparing for the industrial training experience and when
performing the training itself. The handbook may also be
used in establishing and implementing industrial training
programs by organizations. As a guide, the handbook is
very useful for supervisors because it helps them
understand their role, responsibilities, and how to
evaluate the students' work performance.

TERMS AND
DEFINITIONS
Industrial Training

Industrial training refers to student placement of at least 20 weeks in


an industry or organization within or outside Malaysia, where
students can apply the theoretical knowledge into practise in their
field before being awarded a Bachelor’s Degree.
Industrial training at the bachelor’s level is an initiative that
provides exposure to the world of careers. Through industrial
training, students can relate what they have learned at university to
the reality of work-life and be better prepared for the working
environment that they will be involved in. All students at School of
Human Resource Development and Psychology (SHARPS) at the
bachelor’s level are compulsory to undergo industrial training for a
specific period.
During industrial training, students will be exposed to social skills,
human interactions, work culture, and work processes in the career
realm.

TERMS AND
DEFINITIONS
Student
Students refer to students under the School of Human Resource Development and
Psychology (SHARPS) at the bachelor’s level, including Bachelor of Human
Resource Development and Bachelor of Psychology with Human Resource
Development.

Industrial Supervisor
An industrial supervisor refers to a student’s supervisor during an internship in
an outside industry or organization, within or outside Malaysia.
An industrial supervisor is a person who is appointed by an industry or
organization to help students through their industrial training, as well as help
with the evaluation of the students.

Faculty Supervisor
A lecturer is the student's supervisor at the school level, appointed by the school
to make an evaluation of the presentation and the report of the Industrial
Training.

Industry or Organization
Refers to the industry or organization that offered industrial training placement
to the student.

ABOUT THE PROGRAM

Industrial training is a type of experiential learning that combines


classroom knowledge and theory with practical application and skill
development in a professional context. Industrial training allows
students to get valuable applied experience and build contacts in
professional areas they are interested in developing as a career
path, while also allowing industries to guide and evaluate them.
Therefore, we believe, industrial training is an excellent approach
for our students to apply what they've learned in the classroom to
real-world situations. Finally, we expect that with the completion of
the industrial training, all of our students will have a smooth
transition into the workforce after graduation.

Objectives
The objectives of industrial training are to:

respective fields;

Student Eligibility Requirement


Students are allowed to register for Industrial Training
after fulfilling the following conditions:

1. Have minimum credit score of 80; and


2. Minimum CGPA of 2.0; and
3. Completed all courses required; and
4. Additional requirements set by the Faculty/School
(if any).
Students on the other hand, are not permitted to:
enroll in other courses while undergoing industrial training; or
defer industrial training except with the permission of the
Faculty/School.

Organization Eligibility
Requirements
Students are encouraged to apply their industrial training at a company
that is well-known in its field and financially secure. As a result,
students are encouraged to search the University's database in Industrial
Training System (ITS) for a list of companies that the University has
approved.

In order for the industrial training program to be effective, the


organization must provide students with the resources necessary to
complete the given project.

Procedures For Industrial


Training Placement
All students are required to complete industrial training at an
organization outside of UTM, unless the Faculty/School
approves otherwise.
Students must search and consult with the School to identify an
industrial training placement in their field of interest.
Students should be in charge of the applications and interview
process.
Students must advise the company or organization to whom
they applied whether they accept or reject the industrial
training placement offer.
Students who are doing their industrial training at UTM can
apply to stay at the UTM residential college with approval from
the Deputy Vice Chancellor’s Department (Student Affair).
Students can also use the ITS to find industrial training
placements.

Industrial Training Placement Abroad


For local students who wish to undergo industrial training in oversea,
a permission must be obtained from the University to undergo
industrial training abroad.
For international students who are in Malaysia and wish to undergo
industrial training in the country of origin, it is still necessary to
follow procedures for industrial training placement as above.
For international students who are in Malaysia or in the country of
origin, and wish to undergo industrial training in other countries, a
permission must be obtained from the University for management to
abroad. Refer to UTM’s Industrial Training Manual for further
information.
All costs involved are the responsibility of the student.

Industrial Training During Emergency


If students have difficulties continuing industrial training during an
emergency, they may be given the opportunity to change their
industrial training placement or follow the Faculty's alternatives.
If a company or organization allows students to work from home
(WFH) until the completion of the industrial training period, this
should be considered part of the industrial training. In addition,
faculty/school supervisors can supervise, assess, and evaluate
industrial training using any online platforms.
During an emergency, students must follow the organization's
policies, guidelines, or standard operating procedures (SOP) and
notify the School of any arrangement.
Any movement release letter that are required by the authority shall
be requested to the Faculty in addition to the letter that is produced
by the organization.

Taking Leave During Industrial


Training
Students are not permitted to take time off while undergoing
industrial training unless the industrial or organization has
granted permission.
If students are unable to attend industrial training due to an
emergency or sick leave, they must contact the organization as
soon as possible and replace those sick leaves to complete the 20
weeks.
Students who miss more than 10 days of industrial training due to
an emergency or sick absence are considered ineligible and must
redo the entire industrial training program.

Insurance
During industrial training, local
students will be covered by UTM’s
group insurance. They are provided
with accident and life insurance
coverage – details can be referred to
Student Affairs Department.

Faculty/School
It is the Faculty's and School's responsibility to help students in
achieving the program's objectives. Students can contact the School
directly with any questions or concerns they may have. The School,
on the other hand, is not obligated to provide students with industry
training opportunities.

The Office Administrator (Administrator) who is in charge of


industrial training will help students with the following:

1. Preparing the application letter, confirmation letter, and rejection


letter in order to secure placement;
2. Assist in responding to any questions about industrial training as
well as academic matters, and
3. Ongoing support during the industrial training period.

Industrial Training Coordinator


It is the responsibility of the Industrial Training Coordinator to assist
the student in fulfilling the objectives of the program. However, the
Coordinator has no obligation to provide industrial training
placement for the student - part of the industrial training learning is
finding and securing the placement.

The Industrial Training Coordinator is responsible for:


1. Organizing at least two (2) briefings to students on the work
process and deadlines;
2. Promoting industrial training opportunities to all students;
3. Serving as a liaison regarding the school’s industrial training
program;
4. Assisting in the selection of students (if needed by company);
5. Proposing to the Chair of the School of Human Resource
Development and Psychology on the names of faculty supervisors;
6. Supporting student before and during industrial training
experience to ensure student successfully complete all industrial
training requirements;
7. Mediating any conflicts that may arise between student and
industrial supervisor;
8. Managing student evaluation process;
9. Analyzing student performance; and
10. Preparing a Course Assessment Report (CAR) and analysis of the
student’s performance.

Student
Before applying for industrial training, students must prepare their
application materials. Some organizations will just request that
resumes be delivered to them. Others may want cover letters, writing
samples, portfolios, and transcripts. Students can customize their
documents to any job they want to apply for.

in order to complete the industrial training:

Step 3 : Finding
Placement
Students complete their list of
organizations to whom they intend
to apply for their industrial training
placement. The Administrator will
prepare an application letter, which
students will email to the
appropriate organizations. The
maximum amount of letters that
the Schools can prepare is four (4).
In some cases, however, more than
four letters can be prepared for
students.

Step 4 : Accept the Position


Students must submit a Confirmation of Acceptance Form and a Rejected
Offer Form to the Administrator once they have decided on the
organization where they will receive their Industrial Training. The
Rejected Offer Form is used by the School Administrator to send a letter of
rejection to organizations that offer industrial training placement but are
turned down by the students.

If a student's placement is at an organization that isn't listed in ITS, they


must fill out a New Company Registration Form. The UTM Career Centre
and Student Affairs Office will have to assess this company before given
any approval.

13th or 14th week of the semester.

Step 6 : Second
Briefing
Students are required to attend
second briefing. The project,
assessment, and deadlines will
be discussed during this briefing
by the Industrial Training
Coordinator.

Step 7 : Report
Duty
Students must report for duty on the
date that the School has established.
Students must submit a Reporting
Form to the Industrial Training
Coordinator within a week after
reporting for duty. The information in
the form will be updated in ITS by
Industrial Training Coordinator,
therefore the form must be completely
filled out. 10
Step 8 :
Faculty Supervisor
Supervision
Students must maintain regular
contact with their assigned Faculty
Supervisor and schedule a time to
present their project to them, either
online or in person. Students must
also schedule a meeting with the
Faculty Supervisor to meet with the
Industrial Supervisor.

Step 9: Document
Submission
Students must submit the following
documents in pdf format to the

Faculty Supervisor after completing
the presentation and finalizing the
report:

In addition, students are also responsible


for the following:
Maintain 100% attendance in the organization on working days.
Carry out the obligations and responsibilities assigned by the
organization.
Comply with the organization's training requirements.
Maintain a positive attitude and give effort, knowledge, or ideas
based on the student's abilities.
Establish and maintain good relationships with organizations in
order to engage in the work place.
Maintain the University's good name.
Always cooperate with organizations.
Adhere to all organization policies and regulations.
Abide by the University and College University Act of 1971, as well
as the Universiti Teknologi Malaysia Rules (Student Discipline) of
1999.
Arrange for lodging and transportation to and from the Industrial
Training placement.
Ensure personal safety while undergoing industrial training.

Industrial Supervisor
Each student must be assigned to an Industrial Supervisor who will
provide advice and supervision. The supervisor should be someone who
will be available to the student on a regular basis and who is
knowledgeable about the field in which the student will be working.
Even though the student's industrial training requires them to rotate
through several departments in order to get extensive experience, there
should be a single supervisor who would oversee and monitor the
student as a whole. As a result, the supervisor will serve as a teacher,
mentor, and manager in this situation.

Taking on the role of Industrial Supervisor will involve the following


responsibilities:
Maintain regular contact with the student;
Assist the student in adapting to the workplace environment and
culture;
Provide adequate supervision;
Assign career-related tasks to the student;
Maintain a safe workplace for the student; and
Report any changes in the student's work status, schedule, or
performance to the faculty supervisor or industrial training
coordinator.

Near the end of the training, the Industrial Supervisor must evaluate the
student’s performance. The comments students get throughout the
assessment should increase their confidence, encourage them to reflect
on their skill development and accomplishments, and point out areas
where they can improve.

Faculty Supervisor
Industrial training is a University program that allows students to
apply their classroom knowledge and expertise in a professional
setting. As a result, mentoring from a lecturer who has been
appointed as a Faculty Supervisor is still required to ensure that
students demonstrate and develop important skills and competencies
that will, in turn, make them more appealing to future recruiters.

As a result, the chosen Faculty Supervisor should maintain regular


contact with students in order to provide consistent feedback. Faculty
supervisors must set a schedule to have a formal discussion about a
student's accomplishments, strengths, experience, and future
potential for growth and professional development.

Furthermore, because industrial training is about engaging with


professionals in a field, the Faculty Supervisor should make the most
of the opportunity to network with the Industrial Supervisor by
scheduling at least one (1) meeting.

It is critical for the Faculty Supervisor to share their feedback with


the students near the end of the industrial training. As a result,
Faculty Supervisors are expected to collect reports and logbooks, as
well as decide and submit students' grades based on these documents
and oral presentation. All assessments must be submitted by the
deadline to the Industrial Training Coordinator.

INDUSTRIAL TRAINING
SYSTEM (ITS)

The Industrial Training System (ITS) is a web-based integrated


system for industrial training, database management, and
monitoring. Industrial Training Coordinator, Faculty Supervisors,
and students are the primary users of ITS.

Update logbook.

ASSESSMENT

Assessment for industrial training program under School of


Human Resource Development and Psychology are based on
the course information for respective program. Assessment
is important to student’s development and opportunity to
identify strength and weaknesses. The assessment is also
essential for making necessary program improvements.

Overall, the criteria for assessment


will be based on:
Accomplishment of learning objectives as
stated in the course information; and

Knowledge and skill development gained over


the industrial training experience.

Assessment by Industrial Supervisor


During the industrial training, students will be working closely with
their Industrial Supervisor. Thus, the assessment on practical training
is 80% will be done by the Industrial Supervisor based on the following
skills:

Analytical and problem solving skills – ability to analyze situation


and suggest solutions based on activities and experience obtained
during the industrial training.
Professional skills – demonstrate the roles of trainer/facilitator in
training process during the industrial training.
Scholarship skills – seek opportunities to learn through acceptance
of duties and responsibilities.

Assessment by Faculty Supervisor


The Faculty Supervisor will use the following criteria to evaluate
student performance:

Presentation – demonstrates effective verbal communication skills


and presentation skills.
Logbook – adopt ethical approach in accomplishing the assigned
tasks and responsibilities.
Report – ability to articulate their thoughts and ideas clearly using
their analytical and problem solving skills effectively in written
report.

Completed assessment forms must be returned to the Industrial


Training Coordinator.

60% of total marks (present pass).

Plagiarism is not tolerated, and students who submit copied work


will receive a zero on the report, as well as disciplinary action from
the Faculty. Doing someone else's work, lending your work to them,
or making your work available for them to imitate is also
unacceptable.

Student FAQ
What is the actual duration of industrial training?
The time frame is 20 weeks.
Can I begin the industrial training before the faculty's timeline?
Students may begin according to the organization's plan. However, the
faculty/school is only responsible for the term of 20 weeks according to
the date assigned to the student.

Can I complete my industrial training after the faculty's timeline?


The industrial training program may be completed later than the specified
date or after 20 weeks. In any case, the faculty/school will only be
responsible for the 20 week period.

What if I become sick? Do I have to replace it in order to complete


the 20 weeks of industrial training?
Yes, you must replace your sick leave in order to complete the 20-week
industrial training program.

Is it permissible for me to take time off for personal reasons?


Unless the industrial or organization has given permission, you are not
allowed to take time off while attending industrial training. However, you
are only allowed to take ten (10) days off at a time. If you take more than
10 days off for an emergency or personal reasons, you will be declared
ineligible and have to retake the whole industrial training program.

Is it possible for me to change my industrial training placement?


Yes, if one (1) month prior to the start of industrial training. However,
unless there are unusual circumstances, it is not recommended during

Yes, updating your logbook on a daily basis is required. Your logbook must
also be signed by the Industrial Supervisor on a weekly basis.

What if my employer asks me to work from home?


It is important for students to follow all of the rules and policies set by the
organization, as long as they don't break any laws or rules.

What if the organization decides to end my placement?


To finish the 20 weeks, the student will need to find a new placement. If
the academic calendar does not fit the new industrial training timeline,
the student must defer the industrial training until the next semester.

Industry Supervisor FAQ


What is the procedure for requesting an industrial training
student?
Organizations can ask for applicants by emailing the Industrial Training
Coordinator with information about the job, the skills needed, and the job
description.

Is it possible for the school to recommend or refer a student for


industrial training?
Yes! If the organization requests it, the school will assist in identifying
and recruiting applicants for any industrial training opportunity. Finally,
the organization has to decide if the applicant (student) is a good match
for the company.

Can we ask the student to begin their industrial training before the
faculty's timeline?
Students may begin according to the organization's plan. However,
according to the date assigned to the student, the faculty/school will only
be accountable for the term of 20 weeks.

Can we ask the student to complete their industrial training after


the faculty's timeline?
Students can complete their industrial training later than the date
specified in the organization's arrangement or after 20 weeks. However,
faculty and schools will only count and be responsible for 20 weeks of the
student's term, based on the date that the student was given by the school
or faculty.

How long will the industrial training last?


Students must complete 20 weeks of coursework. On the other hand, the
number of hours worked is strictly between the employer and the student.

Is there any insurance coverage for the students?


Yes, but they are confined to the university's group insurance coverage.

What if the student causes us a "problem"?


The student's supervisor or anyone else from the company can always talk
to the Industrial Training Coordinator or the Director of the Program
about any problems or concerns they have with the student.

Faculty Supervisor FAQ


How do I know if I've been appointed as Faculty Supervisor?
Each selected Faculty Supervisor will receive an appointment letter from
the school.

When do you suggest I start supervising?


The supervision will begin during the sixth week of industrial training.

What is the procedure for meeting with the Industrial Supervisor?


You can ask the industrial training student to make an appointment for
you to meet with the Industrial Supervisor in person or virtually. During
the 20-week timeframe, at least one (1) meeting should be held.

What is the deadline for submitting the assessment forms?


The Industrial Training Coordinator will keep you updated on the deadline
and platform for the assessment.
