Throughout my years as a Marine Officer I was responsible for the
following administrative duties:

• Responding or drafting responses to routine correspondence and


other communications; using standard word processing package to
produce a wide variety of large, complex documents and reports.
•Monitoring processes and schedules related the unit’s project
outputs, products, tasks, etc.; where applicable, assisting in the
verification of receipt and accuracy of requisite documents, approvals,
signatures, etc. to ensure compliance with relevant legal, financial
and other requirements.
•Researching, compiling and organizing information and reference
materials from various sources for reports, work plans, studies,
briefings, meetings/conferences, etc.
•Generating a variety of standard statistical and other reports, work
orders, etc., using various databases.
•Proofreading documents and editing texts for accuracy, grammar,
punctuation and style, and adherence to established format
standards.
•Screening phone calls and visitors; responding to complex
information requests and inquiries (e.g. answers requests requiring
file search, etc.), and as necessary, refering inquiries to appropriate
personnel for handling.
•Providing secretarial, administrative and logistics support to
meetings, boards, committees, conferences, etc.
•Preparing presentation materials using appropriate
technology/software.
•Maintaining calendar/schedules; monitoring changes and
communicating relevant information to appropriate staff inside and
outside the immediate work unit.
•Reviewing records, distributing and/or processing mail and other
documents; following-up on impending actions.
•Updating and maintaining large distribution lists; monitoring,
preparing and distributing various materials, reports, where possible
using electronic formats; handling arrangement for printing and
translation as necessary
•Performing general administrative tasks (e.g. leave and attendance
recording, arrangements for meetings and other events, reservations,
budget follow-up, etc.), including preparing and/or processing
administrative requests/documents (e.g. requisitions, purchase
orders, travel requests, contracts, expenditure authorizations, visa
applications, etc.).
•Maintaining files (both paper and electronic) and databases for work
unit.
•Leading less experienced staff on general office processes and
procedures, computer applications, etc.
•Preparation of project and administrative reports for the Unit.
