Consultancy opportunity with National Audubon Society


Audubon Americas - Panama Program Administrator

THE TEAM’S MISSION: Audubon Americas (AA) is the international division of National
Audubon Society. In 2021, we completed a new five-year business plan highlighting 4
strategies: 1) Subnational and National Protected Areas - Audubon will work with partners to
establish more than 80 new protected areas covering 2 million hectares and improve
management of an additional 2 million hectares; 2) Working Lands - Audubon and partners will
work with farmers to create healthier habitats for wildlife while expanding productivity and profit
for farmers on 5 million hectares of agricultural lands in once-forested landscapes; 3) Coastal
Resilience - Audubon and partners aim to restore or improve the management of 1 million
hectares of coastal habitat; 4) Building a Constituency for Birds - We will build public
commitment to conservation by engaging one million people across the hemisphere.

GENERAL JOB DESCRIPTION: The AA team is looking for a proactive Program administrator
who is fluent in Spanish, preferably with English knowledge, and based in Panama. In this
position, you would be helping the AA team coordinate on-the-ground work and logistics for
different projects in Panama, as well as engage with key stakeholders and represent AA in
meetings with partners, governmental officials and local communities. Simultaneously, the
Program Administrator will ensure regular communication and reporting amongst team members
and help update management systems.

WHAT YOU’LL DO:

• Support local financial accountability;


• Represent Audubon in meetings – take notes, track and do follow-ups;
• Support on-the-ground logistics - hotel and venues reservations, materials needed, etc.;
• Support event development and coordination;
• Support agendas development for visits, meetings, events, etc.;
• Track and report back on local activities - keep Program Associate and Coastal
Resilience Director informed of on-the-ground developments – through regularly
updating the team’s management tool monday.com;
• Regular updating and management of existing list of stakeholders of Panama – in
collaboration with the Program Associate and the Communications Specialist;
• Support on carrying out and ensuring effective and timely execution and reporting of
project activities in coordination with project partners, consultants and Audubon staff;
• Work with the team to ensure that IADB administrative procedures are followed on-the-
ground by all team members.

QUALIFICATIONS AND EXPERIENCE:

• Experience in project coordination, implementation and monitoring, reporting and


communications;
• Ability to synthesize, translate and write good quality products.
• Knowledge of Microsoft Suite tools: Word, Excel, PowerPoint, and Monday.com (a plus);
• Fluency in Spanish, and preferably in English;
• Soft skills: good communicator, pragmatic, proactive, experience working in fast-paced
work environments, with a flexible approach to work, and willingness to learn;
• Experience in building relationships internal/external and establishing communications
with key stakeholders on-the-ground/virtually;
• Some knowledge/interest in environmental topics, a plus;
• Knowledge of NGO world, a plus.

National Audubon Society is administering this contract through funds from the Inter-
American Development Bank (IADB) and, therefore, following IADB’s procurement
processes, rules and regulations.

Consanguinity: You have no family members (up to fourth degree of consanguinity and second
degree of affinity, including spouse) working at the IDB Group.

Languages: Spanish, English (preferred)
