CHAPTER 1: INTRODUCTION
Movers Transportation System is a database management system designed to improve the
technique used in maintaining records and controlling the profits and losses made in the
company. The database will be flexible enough to modify the system with input of new data
i.e., increase in number of farmers as the records are automatically updated etc. Movers
Transportation System (MTS) aims at solving problems such as errors in controlling the
number of goods ordered and sold, double or zero registration of new members and
miscalculation of revenue. This system enables easy maintenance and retrieval of data such
as registration details.
The purpose of this system is to ensure that the company can adequately save their money
and can make extra profit by maximizing on the number of products sold. The system is
going to be designed to ensure the company can fairly earn profits and can easily control their
losses. This will help the company in regulating their day-to-day costs.
The system will be of great advantage to any business as it will help in saving time that is
wasted in double checking the revenue earned. The system will also reduce physical bulk
data of the group which may be easily susceptible to loss. The system also enables the users
of the system to have confidence in the system as it is new and more efficient than the manual
system. This will increase the turnout of new members ready and willing to start-up
businesses thus leading to economic profit in the country.
CHAPTER 2: SYSTEM ANALYIS
PROBLEM DEFINITION
OVERVIEW OF THE MANUAL SYSTEM
The manual system has faced rather many challenges which necessitate the development of a
computerized system. Some of the demerits of the manual system used in voting include:
i. Incorrect entry of data.
ii. Difficulty in updating and editing existing information.
iii. Time wastage due to poor data entry techniques.
iv. Difficulty in accessing information.
v. Miscalculation of earnings.
vi. Large worksheet required to do all the necessary computations.
vii. Easy manipulation of results from the data.
OVERVIEW OF THE PROPOSED SYSTEM
MTS is a computerized system aimed at improving the current manual system so as to
improve maintenance of records, data management, retention and processing and generation
of the required reports and forms.
Objectives of the Proposed System
i. Compute sales made by every member monthly.
ii. Certify vehicle insurances.
iii. Calculate the total amount of revenue earned by the company
Scope of the system
i. Maintain records of the membership data.
ii. Maintain records of vehicles, drivers and loaders.
iii. Regulate the amount set aside for company expenses.
iv. Maintain a comprehensible record of drivers who have committed offences and their
penalties
MERITS OF THE PROPOSED SYSTEM
1. Automatic processing: - Since all the tasks are made automatic, there is automatic
processing of data.
2. Reduced errors: - Due to automated processing, there are less errors made in
inputting shares and thus more efficient calculations are made than the old manual
system.
3. Quick processing: - There is fast processing of data i.e. registering new members.
4. Time saving: - The proposed system’s automation of major calculation processes will
ensure a lot of time is saved.
5. Flexibility: - The proposed system can easily be changed and modified to suit the
users demand and needs at the particular time.
6. User friendliness: - The commands are easy to understand and it is easy to access
information without hitches. The system also prompts the user when wrong data is
entered.
7. Employment opportunities: - New employers such as system analysts will be
required to keep track of the system.
8. Promote data security: - Due to features that restrict unauthorized access to data and
information, data security is ensured.
9. Cost effective: - The system is economical in terms of running costs.
10. Data retrieval: -Easy retrieval of the data since there is a database that organizes
data, unlike the old system.
11. Memory capability: -Less space is used since memory is allocated in the computer,
unlike the manual one where a lot of bulky files which were also prone to loss would
accumulate.

DEMERITS OF THE SYSTEM


1. Programming errors: - The software used to create the system may contain
programming errors that may affect the functioning of the system
2. Easy manipulation: - Records of a member’s share contribution may be manipulated
easily with a bit of computer knowledge.
FEASIBILITY STUDIES

A study was carried out to establish the costs and benefits of the new
system. Its aim was to establish the practicality of its implementation. The
study pointed to the resources that the new system had to contribute so as
to implement the system and determine its viability.

They include:

Operational feasibility
The Proposed System will require users with basic computer skills which can be learnt during
the training period allocated before implementation of the Proposed System.

Schedule feasibility
The proposed system is expected to be fully developed and functional within a given time
frame of seven months upon which it will be ready for installation. The proposed time
allocation for the completion of the system was as follows:

Technical feasibility
Establishes whether the technology available is sufficient or can be upgraded for the
proposed system. With this it may seek to find out whether the staff has relevant skills to
operate the new system
The recommended components are readily available in the market and as the system is built
using the MS-Access as a base is easily upgradable with an upgrade to the latest version of
Office.

In order to create a good system a computer is needed with a hard disk of 320 GB, A ram 0f 8
GB, A decent processor. The following are some requirements:

» Basic input devices are needed such as keyboard, mouse and a scanner.
» Basic output devices needed are: printer and monitor.
» Secondary storage devices needed are flash disks and CDs.
» Running software needed is Operating system: Windows 8 or10.
» Database Management System Application needed is Microsoft office Access.
» Antivirus Software needed is Avast Antivirus.
Economic feasibility
This is a study of whether developing the new system is cost effective by weighing the cost
incurred against the benefits of the proposed system.

It was established that the cost of developing and running the new system was much lower
compared to the running of the manual system. The next page has a tabulated comparison:

System Requirement
There are two adoption methods namely:
a) The Network Concept.
b) The Stand-Alone Concept.
The Network Concept
The network concept involves connecting computers together via a communication link for
the purpose of resource sharing.
The tables set aside show a comparison of the requirements for both adoptions.

NB: The stated prices may vary depending on a user’s specifications and requirements and
also the area of purchase.
The system may appear expensive to develop and run, but in the long run it will maximise
resource utilisation and improve the group’s efficiency.
Some of the outputs required from this system are in both hardcopy and softcopy. The
outputs to be printed from the system include:

FACT FINDING METHODS
This involves collecting information about the existing system in order to derive the strengths
and weaknesses of the current system of running a business. The information was collected
through the following methods: -
a) Observation
b) Interviews
c) Questionnaires
Observation:
This included the whole process of data entry, processing and output in the current manual
system. This was crucial in discovering some problems encountered in the system used.
These included errors in member registration, certifying of loans and errors in calculating
revenue.

Interviews
A number of interviews were conducted in order to determine the limitations of the business
system. These interviews targeted all those in charge of the current manual system, Movers
Group officials i.e. I, the chair and other three members. A sample interview form is shown in
the next page:

Questionnaires
Questionnaires were also used to yield answers that could not be obtained through the
previous fact-finding methods. They also helped to gain a better understanding of the manual
system already in place in the business, this way it would be easier to create the new funding
system by understanding the challenges of the manual system and trying to go beyond what
the manual system has already achieved. It was also very easy to collect more data in a broad
range of topics within a limited amount of time and that was imperative. Our questionnaires
mainly focused on the members of the group as they would be the users of the system. Below

CHAPTER 3: SYSTEM DESIGN
INTRODUCTION
This chapter majorly deals with the technical outset and execution needs of the proposed
mentioned system discussed in the above chapters.
While selecting suitable software that would be able to resolve the problems with the current
system, the database management software was chosen. With Microsoft Access the following
merits and demerits were noticed:
Advantages:
» Easy construction and maintenance of the files
» Quick creation of customized input screens and report layout.
» It has facility to print reports
» Improved data access to users through use of host and query languages, which
enable further automation of the data entry management process.
» Improved data security due to the capability to create passwords not only for
the entire database and the different user levels.
Disadvantages:
» They are complex to design and implement.
» All programmers and users need to be guided on handling the system.

1. Run the system:
» Double click on the MOVERS TRANSPORT SYSTEM (ACCESS) icon
OR
» Right click on the icon and select OPEN
2. The system will open a Login Form which after logging in opens a Splash Screen.
Below is a list of the Usernames that can be used and their Passwords:
» Username 1: LargeSC Password: MOVERS
» Username 2: SmallSC Password: MOVERS
Then click LOG IN button.
NB: YOU CAN ONLY ACCESS DATA WITHIN THE SYSTEM BY LOGGING IN
CLICKING THE CANCEL BUTTON WILL PROMPT THE SYSTEM TO CLOSE.

Once logged in, the user is welcomed to the system through the Splash Screen then the
Switch Board is displayed which allows the user to navigate through the system. After
updating system, click the Log Out button to close the system.

CHAPTER SIX
(a)File conversion
This refers to the process of changing or modifying the format of the data files during the
implementation of the new system.
Some of the new systems requirements include a new operating system and hardwire. This
can be used even if a new system is to be implemented after just a few modifications of the
proposed system.
Installation of Microsoft Access 2016 which is the database software version used in the
construction of this proposed system, should be done on the computers.
The initial files will have to converted by keying the information in the files in the new
system because they are manual.

(b)Staff training
Training of the staff can be done after the implementation of the proposed system. The
proposed system comes along with proper documentation and user manuals which will enable
training of staff easy, quick and effective.

(c)Changeover strategies
This is the process of changing from using the old system and starting to use the new
proposed system. In this case, parallel changeover was used. This implies that both
the old and the new system are to run parallel to each other for some time until users
have confidence in the new system the old system can be phased out. Despite this this
changeover being very costly, it has a lower risk to business operation and it enables
through testing of the new system.

(d)Security measures
In order to prevent unauthorized access to the company’s database, we advise the
management to make use of passwords that will enable only authorized access. The
organization should also install anti-virus software to discard any virus threats. The room
where computers are kept should be kept secure at all times by employing guards to keep
watch over data and backups. The organization should also conduct an audit trail where
experts should be allowed to come and reinforce weaknesses in the system.

 Finally, insert the CD-RW into the computers DVD RW Drive (D:)

Installation will be mainly through This Pc and where applicable MS-DOS


Installation guide
 At programs menu, Click on Ask me anything
 Type This Pc on the ask me anything question box
 Then select This Pc.
 On the This Pc dialog box, click on DVD RW Drive (D:)
 Click on the file Movers Transport System.
 Copy the file through the following ways
o On the menu bar in the edit option click copy
o Use Ctrl+c (control+c).
o Right click on the file Movers Transport System the click copy.
o Click on the DVD RW Drive (D:)IBM pre-load on the directory tree.
 Create a new folder.
o On the menu bar in the file option and click new folder. This step will
create a new folder onto which the program code Movers Transport System
may be stored
o Name the folder Movers Transport System or any other name that may be
convenient.
o Highlight the new folder
o Paste the copied file by using the same steps in the copy command clicking
onto paste this time. Wait while the computer copies the file. Installation is
now complete.

Loading Process
Double click onto the folder Movers Transport Database System to open it. It may have a
different name depending on the management.
Procedure of generating output
To view and generate output requires on to click on the OPEN REPORTS menu on the
START PAGE form.
The output can either be softcopy i.e. displayed on the monitor or hardcopy i.e. printed out.
CHAPTER 7: MISCALLENOUS
Conclusion
The system has been developed to be fully functional and is able to:
A. Maintain:
» Records of workers.
» Records of vehicles.
B. Compute:
» Number of orders sold.
» Amount of revenue made.
» Profits and Losses made.
C. Generate reports

Recommendations
I would like to recommend the following to complement the use of my system:
 Parallel changeover: this enables expected users to gain confidence in the
system so as to ensure a turn tail in case of any issues.
 Power back up supply in case of black outs such as UPS.
 Regular backing up of the system to either:
o A cloud
o External large drive like a hard disk
 Operation of the system by qualified users.
 Periodic computer system maintenance and servicing so as to ensure
continuous high performance from the system.
