Executive Administrative Assistant

LOCATION: Hauppauge, NY

PURPOSE:
The Executive Administrative Assistant provides high-level administrative support to the
Chief Executive Officer, Senior Operations Leaders and HR Business Partner.

ESSENTIAL FUNCTIONS:
OFFICE SUPPORT
• Arrange meetings and appointments and provide reminders
• Manages corporate credit card and reporting
• Assists staff in preparation, printing, and distribution of agendas and other various
projects
• Reserves and coordinates travel itineraries including accommodations for flight, hotel,
car, and conference registration
• Prepares and submits expense reports through Concur as well as train new users
• Monitors projects and goals progress
• Assists with other administrative tasks as requested
ADMINISTRATIVE
• Organizes, plans and maintains in-office calendar, daily task list and contacts for CEO
by communicating on a regular basis
• Coordinates and schedules meetings, conferences and other events for the CEO
• Handles general administrative duties including filing, typing, faxing, copying,
scanning, electronic filing and mailing
• Delivers contracts and collect executed copies
• Answers telephones and inquiries
• Assist HR with any administrative needs – including applicant management, on-
boarding, etc
MEETINGS & PRESENTATIONS
• Assists in the preparation of presentations
• Attends meetings for the purpose of taking meeting minutes and follow up on key
take away from the meetings

May perform other duties as required and assigned.


WORKING RELATIONSHIPS & CONTACTS
• Frequent contact with vendors regarding their payment methods and vendor profiles
• Occasional contact with management on Concur processes and corporate cards

KNOWLEDGE/SKILLS/ABILITIES:
• Basic knowledge of finance industry
• Ability to multi-task while maintaining careful attention to detail
• Ability to work effectively both individually and within a team environment
• Ability to handle a large of amount of confidential information and maintain
confidentiality
• Ability to work with a sense of urgency to meet deadlines and address competing
priorities
• Proficient skills with Microsoft Office software including Word, Excel, PowerPoint and
Outlook
• Effective written, listening and verbal communication skills
• Effective problem solving and organizational skills

EDUCATION:*
• Minimum of a High School Diploma or GED required
• Bachelor's degree preferred

EXPERIENCE:*
• Minimum of three years administrative or clerical experience required
• Experience as an HR assistant or relevant human resources/administrative position
desired
*Equivalent education and experience will be considered

WORKING CONDITIONS/EQUIPMENT/SAFETY:
Normally works in a general office environment with the use of computer, printer,
