Tempe Music Showcase
Title
The Tempe Music Showcase Festival.

Brief Description
The Tempe music showcase festival will host local artists to showcase their talents and
musical performances to the community. A local festival which will be held for 2 days, and will
be the weekend of March 26-27th, 2022. The Tempe Music Showcase will be located in
Downtown Tempe, off the famous Mill Ave. block on the ASU campus. There will be 2 stages to
watch artists perform their sets throughout the day, food and alcohol will be provided by ABC
Bar & Grill. ABC Bar & Grill is donating a large amount of free alcohol, food not included.

Lessons Learned From Reference Retrospectives


Some things we learned from the reference retrospective is that communication is
necessary. If members of the group have other obligations that will pull them away from their
commitments to the group, they must update the rest of the team members so everyone can
work around their schedule. Check-in points once a week shall be held to keep everyone on
track until the assignment is due.

List of Stakeholders & Roles


● Attendees purchasing a ticket to the 2 day event are considered a stakeholder, as they
are investing in the consumption of ticket sales.
● One Source Music is supplying all the equipment for staging, seating, speakers, etc.
● ABC Bar & Grill provided food and alcohol for the event. ABC Bar & Grill is a big
stakeholder in the event as they are the main stakeholders providing food for sale and
donating alcohol for the 2 day event.
● ASU students from class OGL 320 on Team 3, who are in charge of creating and
working the event, investing their time and efforts into making sure the event goes well
and all stakeholders are on the same page. The team is identified as Jonathan, Zach,
Mason, and Mady.
● Security will be outsourced by Anderson security. They will ensure ticket purchasers are
the only ones entering the event, with no dangerous weapons or illegal substances in
their possession.
● Our local KKFR (Power 98.3) radio station and Awesome Promotions Entertainment will
ensure that the event is marketed through online social networks, local flyers are passed
out to the community, and tickets are being sold to future attendees. They are in charge
of making sure we have high attendance and helping handle entrance along with
Anderson Security. KKFR will also be providing their radio dj’s and personalities to host
the event throughout the weekend.
● Artists and their record labels are stakeholders in this as well as providing the
entertainment for this outstanding event. They are expecting to be paid for their
performances after the event is over and balances are paid to all invested stakeholders.

Objectives
Our objective is to create a fun filled event for both adults and children, of course
supervised by adults, held in an outdoor setting and enjoyed by some food and entertainment.
We want to present great entertainment, provided by local talent and bring the community
together for a weekend full of outdoor enjoyment. We can help grant each artist exposure to the
community and increase sales in their personal music sales. The food and alcohol providers will
also benefit by gaining exposure, creating great marketing for all vendors included. Profits from
the event will graciously be donated to Phoenix Children’s Hospital, as our goal is to help aid in
cancer awareness among our youth.

Project Scope / Procurement Plan


First, we need to contact businesses located on Mill Ave. between University Dr. and Rio
Salado Pkwy. We have to reserve and ensure our dates are available. Next, we must contact all
stakeholders and confirm they are onboard with their roles. Stakeholders in charge of promoting
and ticket sales will be advertising the event as of today. Artists have been contacted and
performance dates scheduled. Lineup has been created and each artist is setting their
performance up for their time slots. KKFR is getting in contact with the artists performing to
ensure they have appropriate music for the event and confirming all music is at hand from both
sides. Team 3 from ASU is meeting twice a week on Tuesdays and Thursdays to discuss their
work and progress in order to help one another manage the event. Team 3 is discussing
timelines for promotions, artist rehearsals, catering services, and security purposes. ABC is
stocking up their restaurant on supplies in order to be fully stocked for the event. Team 3 will
meet weekly on Fridays until the day of the event to ensure everyone is invested and to update
all stakeholders with procuring events and updates.

Assumptions
We can expect to have people who will be trying to sneak illegal substances or weapons
onto the premises. People may be trying to sneak into the event, Staging and music equipment
may have missing equipment. We can possibly run out of food or alcohol, creating angry
customers who will start a disruption during and in the event. Artists can possibly not show up,
causing delays in entertainment. The event may also not be marketed as we anticipated,
causing low results in ticket sales. This causes a ripple effect into how much can be donated
and no profits are made, making the whole event a loss.

Constraints
Constraints can be a shortage for ABC in food and alcohol. Time frames can be too
short. Communication with the stakeholders can be delayed if anything goes wrong. Everything
has to be within our spending budget. Event not planned on time,

Team Roles and Responsibilities


Module 3/Project 1
Zach- brainstormed ideas for event, documenting and creating rough drafts.
Mason-assisted in brainstorming, providing tips for the project.
Jonathan- brainstormed ideas to add to event project.
Madelyn- helped get started on the project, but had a personal emergency after.

Module 4/Project 2
Zach- worked on creating a WBS dictionary, Ram, and task dependencies.
Mason- worked on creating a WBS dictionary, Ram, and task dependencies.
Jonathan- creating charts and taking the lead this week for assignment.
Madelyn- helped ensure assignments were completed.

What Went Well? (3-5 items)


1) Google Doc and sheets was a great way for us all to update and collaborate on the project.
2) We eventually came together to finish Discussion 4.
3) After getting into communication with each other, we were able to complete the assignments.
4) Participation improved compared to week 3.
5) We were able to go back and apply SMART and WBS to our project effectively.

What Went Poorly? (3-5 items)


1) Lack of communication started off horribly.
2) Group participation was not as expected.
3) Poor preparation led to an incomplete project in week 3.
4) Delegation was missing, accountability was also not applied.
5) Poor engagement from all members, we had a rough start to the group project.

Recommend Actions for Future Success
1) Establish roles in the beginning, be proactive on group projects.
2) Schedule a time for everyone to come together.
3) Establish deadlines for assignments.
4) Address any issues as they come up. Not acknowledging can cause delays on assignments
meeting deadlines.
5) Establish project goals, outline a plan, and schedule time for the project.

Purpose and value: It is important that team members are dedicated to a common purpose and
understand the importance of teamwork in achieving their goals. A project manager should
influence the project team in a way that will have a positive impact on the project, such as co-
locate the team (at least at first) by placing them in the same physical location (if they aren’t
already) to enhance their ability to perform as a team.

accomplishing its work. When morale is high, team members are enthusiastic about their work
and the team trusts one another. It is also important to instill professional and ethical behavior
by establishing ground rules and expectations.

Conclusions: Communication could have effectively helped the project get a great start the first
week. Everyone was able to come together in the last week and put their effort into making sure
everything was accounted for. Project reports are to the best of our knowledge well prepared to
set this event up.
