INTRODUCTION

Directorate of Research, University of Calicut established as a separate Directorate on 18th April


2012. It plays a key role in guiding, promoting and co-ordinating research activities of University
departments and research centres affiliated to the University. Registration for Ph.D programmes,
Recognition of Research centres & Research supervisors, conducting of PQE Examination in
assocation with Pareeksha Bhavan, Monitoring and disbursing Ph.D and M.Phil scholarships, award
of Ph.D etc. are the major tasks of Directorate of Research.

A). GUIDELINES FOR FOR Ph.D REGISTRATION

1. ELIGIBILITY FOR ADMISSION

i). Candidates for admission to the Ph.D. programme shall have a Masters degree or a Professional
degree recognized as equivalent to the Masters degree of University of Calicut, with atleast grade
'B' in the UGC 7-point scale (or an equivalent grade in a point scale wherever grading system is
followed) or at least 55% marks in aggregate in the mark system or an equivalent degree from a
foreign educational institution accredited by an Assessment and Accreditation Agency which is
approved, recognized or authorized by an authority, established or incorporated under a law in its
home country or any other statutory authority in that country for the purpose of assessing,
accrediting or assuring quality and standards of educational institutions.

ii). A relaxation of 10% of marks, from 55% to 45%, or an equivalent relaxation of grade, will be
allowed to candidates belonging to SC/ST category. A relaxation of 5% of marks, from 55% to 50%,
or an equivalent relaxation of grade, will be allowed to those belonging to OBC (non-creamy layer)/
differently-abled and other categories of candidates as per the decisions of the University/State
Government from time to time, or for those who had obtained their Master's degree prior to 19th
September, 1991.

iii). Eligibility marks of 55% (or an equivalent grade in a point scale wherever grading system is
followed) and the relaxation of marks / grades to the categories as mentioned in ii). above, are
permissible based only on the qualifying marks exclusive of the grace mark procedures.

iv). Candidates who have passed the M.Phil. Degree programme with a minimum of grade 'B' in the
UGC 7-point scale (or an equivalent grade in a point scale wherever grading system is followed)
with at least 55% marks in aggregate or its equivalent shall be eligible to proceed to do research
work leading to Ph.D. Degree in the same institution. A relaxation of 10% of marks, from 55% to
45%, or an equivalent relaxation of grade, shall be allowed to candidates belonging to SC/ST
category. A relaxation of 5% of marks, from 55% to 50%, or an equivalent relaxation of grade, shall
be allowed to those belonging to OBC (non-creamy layer)/ differently-abled and other categories of
candidates, as decided by the State government /University from time to time.

v). A candidate whose M.Phil. dissertation has been evaluated and the viva voce is pending may be
admitted to the Ph.D. programme of the same institution.

vi). Candidates possessing a Degree considered equivalent to M.Phil. degree of an Indian


Institution, from a Foreign Educational Institution accredited by an Assessment and Accreditation
Agency which is approved, recognized or authorized by an authority, established or incorporated
under a law in its home country or any other statutory authority in that country for the purpose of
assessing, accrediting or assuring quality and standards of educational institutions, shall be eligible
for admission to Ph.D. Programme.

vii). Teachers of the Universities/Government or aided Colleges in the State of Kerala and the
Teachers of Government or aided Secondary/Higher Secondary School/UP/LP within the
Geographical jurisdiction of the University /employees of the University and holding a permanent
position there are eligible for admission to Ph.D.Programme satisfying the conditions in i). above
may be granted Part-time registration

2. ENTRANCE TEST

i). All candidates getting a minimum of 50% marks and, in the case of SC/ST categories of
candidates a minimum of 40% marks and in the case of OBC (non-creamy layer)/differently-abled
and other categories of candidates a minimum of 45% marks, as the case may be, in the entrance
test are qualified to apply for registration to Ph.D. Programme.

ii). Admission of students who obtain same marks in the entrance examination shall be decided first
on the basis of the percentage of the PG marks/grades and then on the basis of age and then by
name in alphabetical order unless otherwise specified.

iii). Validity of the entrance/exempted candidates short list will be 1 year or till the publication of the
next short list, whichever is earlier.

3. EXEMPTION FROM ENTRANCE TEST

i). Candidates who qualify UGC-JRF, UGC-CSIR-JRF, research fellowships of Central and State
Government departments / agencies as approved by the University, as the case may be.

ii). Full time regular teachers of the University departments/ Govt. or Aided Colleges affiliated to the
University of Calicut and Teachers with FDP/QIP or similar fellowships.

iii). Foreign Nationals who are otherwise eligible for admission.

iv). Full time fellows, who have been selected on the basis of a written test and interview, working in
a research project under the investigation of a research guide of the University.

v). M.Phil. Degree (successfully completed from any Statutory Recognized University in the relevant
subjects) holders.

vi). Candidates who qualify UGC-NET, UGC-CSIR-NET, SLET, GATE.

vii). The candidates mentioned in i). to iv). above can apply for Ph.D. registration at any time during
the academic year depending on the willingness/availability of guides. The candidates mentioned in
v). & vi). above can apply for Ph.D registration only at the time of Ph.D notification and should be
shortlisted to be eligible for Ph.D registration depending on the Willingness/ availability of the
Guides.

4. ADMISSION

i). Candidates eligible for registration to Ph.D shall be decided by a two stage process — Entrance
Test and Interview/Viva-Voce.

ii). A reporting time of 15 days (after publication of the Ph.D. entrance/exempted candidates short
list) will be given to the candidates included in the shordist for reporting at their desired research
centres in order to get included in the second stage admission process.
iii). Research centres should complete the procedure for Ph.D. registration for the reported students
within 60 days after the last date of reporting time.

5. PROCEDURE FOR ONLINE REGISTRATION

Candidates applying for Ph.D admission 2021 shall visit the University admission website
www.cuonline.ac.in and access the Ph.D 2021 registration page (https://phd.uoc.ac.in/)and
complete the registration in the following two steps:

i). First Step - CAP ID Creation : Candidate applying for Ph.D 2021 shall initially create a Centralised
Admission Process ID (CAP ID) by providing the basic details using the "REGISTER" link provided in
the Ph.D 2021 registration page. After successful submission of the details, a CAP-ID and Password
will be sent to the registered mobile number (Mobile number of students/ parents/ guardian only to
be furnished)

ii). Second Step - Registration Completion and Making Payment: With the CAP ID and Password
received in the registered mobile number, the candidate can login and fill the registration by,
providing required data. Candidates shall take utmost care while selecting the reservation category
during the filling up of registration data. For completing the registration, candidate shall click on the "
Final Submit & Pay " button and make payment.

III). All Candidates including entrance exempted candidates, shall register online for seeking
admission to Ph.D programme 2021.

6. OTHER INFORMATION WITH RESPECT TO ADMISSION

I).. Admission is possible only against the notified vacancies.

II).. Vacancy position in different subjects/disciplines will be published in www.cuonline.ac.in.

III).. The proposal for Ph.D registration shall be submitted to the Directorate of Research with the
following documents.

Covering letter from the Head/Principal of the Research centre.


Application duly filled in and recommended by RAC.
Research Advisory Committee recommendation for Ph.D registration and exemption
from Course work/PQE (Clear and specific recommendation as to whether the
candidate with MPhil degree, has cleared both the Course Work and Research
Methodology in the relevant area of Ph.D research. If the candidate has cleared only
Research Methodology, the candidate has to pass a separate examination for the
required paper conducted by the University.)
Synopsis duly attested by the Research Supervisor.
No Objection Certificate (In case of Part time Ph.D).
Willingness letter from the guide/co-guide.
Self attested copy of original certificate and Mark list of PG.
Self attested copy of Fellowship certificate (Candidates who qualify UGC-NET/JRF,
UGC-CSIR-NET/JRF, SLET, GATE and research fellowships of Central and State
Government departments/ agencies as approved by the University).
Self attested copy of original certificate and Mark list of MPhil for Course work
exemption.
Equivalency certificate of PG/M.Phil from Calicut University

If the proposal is in order, joining memo will be issued to the candidate. The candidate shall join
the Centre/Department concerned and the Head of the Department/Principal shall submit the joining
report to the Directorate of Research. Having received the joining report formal Registration order
will be issued to the candidate.

B). COURSE WORK AND PRELIMINARY QUALIFYING EXAMINATION

i). Scholars admitted to the Ph.D. programmes shall be required to complete the course work
prescribed by the Department during the initial one or two years.

ii). Scholars already holding M. Phil. degree had done a minor research in the related area of Ph.D
topic and admitted to the Ph.D. programme, or those who have already completed the course work
in M.Phil and have been permitted to proceed to the Ph.D. course, may be exempted by the
Department from the Ph.D.course work (if approved by RAC as in related subject). All other
candidates admitted to the Ph.D. programme shall be required to complete the Ph.D. course work
prescribed by the Department.

iii). The candidate, undergoing the course work, has to attend Three Courses, 1). Core and 2).
Elective, with 4 credits each having 96 teaching hours and 3). Research and Publication Ethics
(W.E.F. January 2020) with 2 credits having 30 hrs. In total the candidate should attend a course
work of 222 hours during a single semester of 6 months.

iv). The course work will commence from 1st January and will end on 30th june and the next batch
will commence on 1st July in every year.

v). The Candidates should have a minimum 70 percent attendance to be eligible for appearing the
end semester attendance. Attendance includes attendance in the lectures and participation in
seminars and workshops organized. The shortage of attendance, within the 10 percent limit, can be
condoned by Vice Chancellor, as per the prevailing rules of the University in this regard.

vi). For the conduct of Ph.D Course Work Examinations, the Head of Department/Principal shall
forward the required documents such as the 1) Syllabi 2) The Scheme of Examination 3) Panel of
Question Paper Setters 4) Panel of Examiners etc, so as to reach the Controller of Examinations at
least two months ahead of the scheduled exams.

vii). At the end of the course work, there will be an internal and external examination. The internal
examination will be conducted by the concerned Supervising Teacher, during the course of time,
while the External Examination will be conducted by the Controller of Examinations. The external
written examinations, conducted by the Controller of Exams will be of 3 hours duration and with 70
marks. Viva voce will be conducted by the Controller of Examinations, along with the external
examinations by the Examiners in the panel suggested by the Supervising Teacher and approved
by Vice Chancellor. The maximum marks for Viva voce will be 10. The maximum marks for internal
examination will be 20.

viii). There will be direct grading system for valuation and with 5 grades pertaining to the marks
obtained, explained as follows

80 - 89.99 A
70 - 79.99 B
60 - 69.99 C
50 - 59.99 D
ix). Minimum Grade required for a pass in the Course Work is D. Those fail in the Ph.D Course
Work Examinations in the first chance can appear in the subsequent chances, but within the next
two subsequent examinations, they will have to clear the backlogs. The candidate can clear the
back log separately.

C). Ph.D THESIS SUBMISSION

Ph.D. programme shall be for a minimum duration of three years, including course work and a
maximum of six years. Thesis submission is permitted only after completion of three years from the
date of Registration and on successful completion of the course work.

1). Publication & Paper presentation

Ph.D. scholars have to publish at least one research paper in referred journal, duly approved by
the UGC/University, and make two paper presentations in conferences/seminars, recognized by the
Department Council concerned, before the submission of the thesis for adjudication and produce
evidence for the same in the form of presentation certificates and reprints. (UGC Regulation-2016).

2). Presubmission Seminar/Presentation

The scholars have to make a pre-submission presentation of the thesis in the Department, before
a Board consisting of Research Advisory Committee, an external expert and Dean of the Faculty
concerned before submitting final thesis for evaluation.

3). Plagiarism Check

After RAC approval on plagiarism check, the thesis submitted for adjudication shall contain an
undertaking from the research scholar and a certificate from the Research Supervisor attesting to
the originality of the work, vouching that there is no plagiarism using the software approved by the
UGC/University and that the work has not been submitted for the award of any other
degree/diploma of the University or to any other Institution. However for subjects where plagiarism
check software is not available, manual check may be done.

4). Attendance

Research Scholars can avail eligible leave as per rules and regular attendance is mandatory for a
Full Time research scholar including saturdays as in the case of non teaching staff and a minimum
3 days attendance per month and 60 days per year is compulsory for a Part Time scholar.
Otherwise, the scholars have to remit condonation fee as detailed below.(U.O.No. 2347/2019/Admn
dated 14/02/2019)

1 Condonation fee upto 1 month Rs.2,500/-

2 Condonation fee upto 3 months Rs 5,000/-

3 Condonation fee upto 6 months Rs 8,000/-

4 Condonation fee upto I year Rs 10,000/-

5 Condonation fee for each year above 1 year Rs 5,000 /- (10,000+5,000 per year)

5). Application for Final Thesis Submision

Duly filled in application in the prescribed format should be forwarded through the Head of the
Centre along with the original chalan for Rs. 5,575/- towards the fee for thesis submission. The
following documents are to be attached along with the application.
a). Copy of the Registration Order.

b). Copy of Re-registration/Extension/conversion/condonation order if any.

c). Copy of Title change/Guide change memo if any.

d). Preliminary Qualifying Examination (PQE) Pass Memo.

e). PQE Exemption Memo in the case of M.Phil. Graduates.

f). Copy of the Research Papers published along with the details in the prescribed format, duly
certified by the HoD/HoI that it is Peer reviewed.

g). Copy of the proceedings of the pre-submission Seminar endorsed by the Head of the Research
Centre in the prescribed format.

h). No due certificates from the Department, Hostel and CHMK Library.

i). Certificate on Plagiarism check, along with the copy of the minutes of the doctoral committee.

j). Joining Report from the HoD/Hol and attendance statement.

k). Monthly statement of attendance for the last two years of the period of research till the date of
submission of thesis.

I). Attendance statement for the Extended period of Research is mandatory.

m). Qualifying Degree certificate in original should be produced for verification.

n). Synopsis (5 copies with one soft copy in pdf format).

o). Three copies of the Thesis with one soft copy in pdf format.

p). Copy of paper presentations (2 nos as per UGC Regulation-2016 )

6). Evaluation of Thesis

The thesis for Ph.D., submitted for adjudication, shall be evaluated by the respective Research
Supervisor and External Examiners (two in the case of Science, Humanities & Languages and 3 in
the case of Engineering), who are not in employment of the University, of whom one examiner may
be from outside the state/country. However, for the subject of Malayalam the condition that one
examiner may be from outside the state/country may not be insisted.

The External Examiners for evaluation of Ph.D. thesis shall be appointed by the Vice Chancellor
from among the panel of ten experts prepared and submitted by the supervising teacher, giving the
consideration to the specialization in the topic of study.

7). Open Defence/ Viva Voce

Public Viva voce, based on the observations given in the evaluation report, shall be conducted by
a Board consisting of one of the External Examiners, in the duly approved panel nominated by the
Vice Chancellor, as Chairperson, and the Research Supervisor and Head of the Research Centre
as members. The date of Open Defence/Viva Voce will be considered as the effective date of
award of Ph D.(DoR C/PhD Award/ Note to Syndicate dated 23/01/2013)

8). Thesis Submission Certificate

The University shall issue Thesis Submission Certificate to those scholars who require the same.
This certificate shall be issued to the scholars without waiting for the award of Ph D.
D). AWARD OF Ph.D

1). Approval of Syndicate

On the basis of the recommendations given by the examiners of Viva Voce/ Open Defence, the
matter of the award of Ph.D to the scholar will be placed before Syndicate for approval.

2). Award Notification

The University shall issue an Award Notification to each scholars according to the approval of
Syndicate.

3). Depository with INFLIBNET

Following the successful completion of the evaluation process and before the announcement of
the award of Ph.D. degree, the scholars have to submit an electronic copy / hard copy of the
Ph.D thesis to CHMK library for uploading in INFLIBNET, and for hosting the same accessible to all.

4). Provisional Certificate

The University shall issue a Provisional Certificate to each scholar, prior to the actual award of the
Degree, to the effect that the Degree has been awarded in accordance with the provisions of the
UGC (Minimum Standards and procedure for Awards of M.Phil./Ph.D. Degree) Regulations
2016. The fee for Provisional Certificate is Rs 365/-

5). Original Ph.D Certificate

Ph.D original certificate shall be issued to each scholar with the approval of University Senate.
The fee for original Ph.D certificate is as detailed below.(U.O.No. 4853/2019/Admn dated
01/04/2019)

i). Application fee for normal mode is Rs. 1,275/-

ii). Application fee for urgent mode is Rs. 2,375/-

E). FELLOWSHIP

The official procedures of all fellowships start, when the candidates submit the fellowship Award
letter /Offer letter/ Sanction letter receieved from any Research funding agency to the section
concerned in Directotrate of Research.

1). Initial Process:

In the case of UGC-JRF and other UGC Fellowships such as MANF, NFOBC, NFST, NFSC, BSR,
Swami Vivekananda single girl child fellowship, Post Doctoral fellowships etc., a dedicated webportal
is provided by UGC for capturing fellowship related data of the awardee. The Universities/Research
centres will link the data of the awardee with the master data on the UGC web portal. Joining
procedures may change from time to time on the basis of the changes effected in fellowship
guidelines and Notifcations regarding procedures issued by the funding agency.

The eligibility of the candidate, for the fellowship, is required to be ensured by University at the
time of admission to M.Phil/Ph.D. If the candidate is already admitted, the eligibility of candidate, for
fellowship is to be ensured at the time of processing the claim for fellowship. For claiming the
fellowship the candidates are advised to fill in the 'Verification Form cum Joining Report' and submit
it to the officials concerned of their institutions. The Joinig Report shall be duly
signed/countersigned by the Scholar, the Guide, the Head of Department and the Registrar of
University/Director of Institute.

2). Documents to be submitted for linking candidates to the webportal

In the case of DST Inspire, ICSSR, ICMR, ICHR, KSCSTE, BCIL etc, the joining report and other
supporting documents are to be sent to the funding agencies through the Head of the institution.

3). Procedures for fellowship release

i). UGC JRF and other UGC Fellowships.

On the basis of the certificate of satisfaction and the certificate of progress issued by
the Head of the Department, the University shall update the information on
webportal regarding monthly payment confirmation, HRA, and Contingency of the
beneficiaries on monthly basis.
HoDs should certify that the Scholar is actively involved in research and the
progress is satisfactory and he/she is not availing any fellowship from other
agencies.
Based on the data updated on UGC web portal by University, the payment of the
fellowship will be made to the beneficiaries. The fellowship amount shall be
disbursed to the awardee on Direct Benefit Transfer (DBT) basis.

ii). Other funding agencies

The amount for the fellowship is being released by other funding angencies through online PFMS
system to the Registrar of University of Calicut. The University will issue orders for disbursing the
fund to the Scholars.

4). Upgradation from JRF to SRF

i). UGC JRF and other UGC Fellowships.

On completion of first two years of fellowship award, the fellow may apply to the
Department/University concerned for the upgradation from JRF to SRF. For this, a Three Member
Assessment Committee will be constituted with Supervisor, Head of the Department and one
External Subject Expert to evaluate the research work of the Scholar. The Minutes of the
Constitution of Committee and recommendation of the Committee (i.e., Three Member Committee
Report for upgradation) needed to be uploaded in the UGC webportal and the fellow will be
upgraded as SRF when UGC approves the same.

ii). Other funding agencies

a). DST
Up-gradation of JRF to SRF would be effected as per the norms of UGC-JRF/Fellowship
upgradation as shown in 4(i) above. However, if the assessment is delayed beyond 2 years for any
reasons, the Assessment date/ date of communication of the Assessment Report would be
considered as `SRF Effective date'.

b). KSCSTE

Upgradation of JRF to SRF would be effected automaticaly after the completion of two years.

c). ICHR

Senior Research fellolwships (SRF) are awarded to the Senior scholars who have done quality
works and have publication in the form of books and papers in professional journals to their credit.

d). ICMR

JRF is provided for first two years. After the assessment, if the Review Committee recommends
that the period of JRF is sucessfully completed, then JRF will be upgraded to SRF after 22 months
of the commencement of reserach work, either on the date when Review Committee meets but not
before completion of two years. And SRF is generally for three years or upto submission of Ph.D.
whichever is earlier.

5). Transfer of the Research Place:

Transfer of the Research Place should be done by the University concerned under the intimation
to UGC and designated agency. Transfer of Research place willl be allowed only once during the
entire tenure.

6). Leave

a). UGC JRF and other UGC Fellowships.

i). Fellows are entitled for a maximum period of 30 days of leave in a year in addition to public
holidays. They are not entitled to any other vacations.

ii). Candidates are eligible for maternity/ Paternity leave as per Govt. of India norms issued from
time to time at full rates of fellowship once during the tenure of their award.

iii). Beside this an 'Intermittent Break' for a maximum period of one year may also be permissible to
the women candidates. The leave can be availed 3 times during the entire period of fellowship.
However, the total duration of leave shall not exceed one year. This Flexi Time period should not
be counted towards the tenure of the fellowship and thus effectively the total period of fellowship will
remain the same.

iv). Academic Leave:-Academic leave without fellowship shall be permissible only for one year
throughout the tenure (for any kind of academic assignment/teaching/foreign visit in connection with
research work). The period of leave without fellowship will be counted towards the tenure.
Expenditure on foreign visit in connection to research work cannot be claimed from UGC.

(Note: All kinds of leave should be approved at the level of the University/College/Institute. Prior
approval of the University/Institution/College is mandatory for all types of leaves).

b. Other funding agencies

i) ICSSR

If, as a special case, scholar remains on leave due to Maternity/Medical/Extra ordinary


circumstances (not exeeding six month), with due approval by the ICSSR, the tenure of fellowship
shall be defered by that period and total amount of fellowship shall not exceed twenty four months.

ii) ICMR

All ICMR-JRF/SRF are only eligible to avail casual leaves i.e. eight (08) Casual
leaves as per ICMR rules.
During the first year of fellowship or any uncompleted year, leave can be granted on
pro-data basis.
Sanction of leave without stipend,can be considered by ICMR under special
circumstances.
Participation of JRF/SRF in scientific event/workshops held in India or abroad will
be treated as "on duty" with due approval of the host institution.
Maternity leave as per the Govt. of India instructions issued from time to time would
be available to all female JRF/SRF candidates. The fellowship amount for leave
period will be paid after the Fellow resumes duty and submits a leave
application/medical certificate in support of actual confinement. It is expected that
the Fellow will make up the deficiency during the remaining tenure.
Leave-without fellowship can be granted up to one month in a year. No other kind of
leave such as sick leave will be adinissible. Fellows are not entitled to the vacation
normally admissible to the regular staff of an Institution. Leave will be treated as a
part of the tenure of fellowship. In the case of conversion of fellowship to another
category leave can be carried forward.

iii) KSCSTE & ICHR

Since, there is no rules seen stipulated regarding leave in the KSCSTE, ICHR, and
DST guidlines PhD regulations may be applicable to scholars holding such
fellowahips. As per university rules " On sufficient cause shown, leave other than
casual leave with stipend may be granted by the Vice Chancellor to fellow for a
period not exceeding one month and without stipend for a further period of 2 months
during the academic year.

7). CANCELLATION OF UGC JRF AND OTHER UGC FELLOWSHIPS

The fellowship is liable to cancellation in case of:

Registration is not within the stipulated period as per the award letter.
Misconduct by the Scholar.
Unsatisfactory progress of research work/failure in any examination related to
M.Phil/Ph.D or He/She is found ineligible later.
Any false information furnished by the applicant or any fraudulent activity by the
Scholar/ Fellow/ Research Awardees shall lead to Penal action against him/her.

(N.B. The information furnished above with respect to fellowship is to provide general information
only. Funding agencies reserves the right to review these guidelines and modify them, as and when
required. In addition to these, the University has to follow its own rules and regulations, wherever
necessary).

8). CSIR FELLOWSHIP

i) To apply for Fellowship award letter for JRF

The recipients of CSIR NET Certificates are required to fill and submit the New Joining Form to
upload the following requisite documents through their Institute/College/University to CSIR-HRDG
NewFMS Portal (https://ww.newfms.ncl.res.in) to issue fellowship award letter and to get the
fellowship activated.

1. Duly filled Attestation form


2. Duly filled Undertaking
3. Duly filled Declaration
4. 10th Class Certificate (for date of birth)
5. Caste Certificate
6. EWS Certificate

ii) Procedure for upgradation JRF to SRF

As per CSIR-fellowship guidelines on completion of two years as JRF, the following documents
are required to be uploaded into CSIR NewFMS Portal for upgradation and continuation of
Fellowship for third year:

1. Recommendations of Three members Assessment/Expert Committee report.


2. Annual progress report
3. Ph.D Registration Certificate

iii) Documents required for extension at 4th year of SRF (NET)

1. Annual Progress Report


2. Recommendations of the Guide.

iv) Documents for extension of 5th year / Final Year

1. Recommendation of a three member Assessment Committee/Expert committee


2. Annual Progress Report duly supported by publications in the form of
reprints/preprints/manuscripts of the paper published, accepted or communicated for
publication.

CSIR NET certificate is valid for a period of 2 years effective from the date mentioned in NET
Certificate.

As per the Guidelines, a Research Fellow who joins on the first day of the month, his/her tenure
will be completed on the last day of the previous month. In other cases the tenure will be completed
on the last day of the same month of joining the Fellowship.

All proformas to upload in the portal are available in the CSIR HRDG website.

9). UNIVERSITY FELLOWSHIP (M.Phil / Ph.D)

The University of Calicut has established University Fellowship for Research scholars who have
not qualified to receive fellowship of any other funding agencies such as UGC, CSIR, ICSSR,
KSCSTE etc. Applications are invited every year preferably june/july to prepare the merit list of
qualified candidates to award University Fellowship.

University Fellowship is awarded to the Ph.D research scholars at the rate of 11,000/- per month
for the first two years (JRF) and 13,000/- per month for the next 2 years (SRF), for a period of four
years or upto the date of submission of their final thesis, whichever is earlier and contingent grant of
Rs. 6,000/- (Rupees Six thousand only) for the whole tenure of research work which will be
reimbursed on production of contingent bill and vouchers soon after the submission of final thesis.

University Fellowship is awarded to the M.Phil scholars at the rate of Rs.4000/- per month for a
period of one year or upto the date of completion of the course, whichever is earlier, with effect from
the date of joining for the programme.

Procedures for applying University Fellowship (M.Phil/Ph.D)

1. Submission of applications at the time of notification (June/July).


2. Issuance of sanction order of the eligible candidates.
3. Execution of Agreement/Bond by the scholars in stamp paper worth Rs.200/-.
4. Submission of bills for availing University Fellowship with the following enclosures
duly attested by the HOD as and when required.

i. Detailed Bill

ii. Progress Report

iii. Attendance Statement

iv. Arrear Statement

v. Active involvement certificate

vi. Receipt (Revenue stamp of Rs.1/-)

vii. University fellowship Order (Current financial year)

viii. Copy of Bank A/C details.

F). APPROVAL OF RESEARCH GUIDESHIP

Applicant has to submit application in prescribed format along, with the following documents.

i). List of publications in approved format.

ii). Chalan for Rs.610/-.

iii). Copy of P.G certificate.

iv). Copy of Ph.D certificate.

v). Copy of Approval Order (Appointment order)

vi). Copy of 2 (two) papers published in refereed journals.

If the application is in order, the application along with the publication will be forwarded to the
Chairman, PGBS in concerned subject for remarks. On getting the remarks favourably, the file will
be submitted to the Vice-Chancellor for orders and upon getting the orders from the Vice Chancellor
the University Order granting guideship will be issued.

Centre change of Research guide.

Research guides can apply for centre change, by submitting a written request along with the
following documents.

i). Copy of University Order granting guideship.

ii). Non-Liability-Certificate from the Principal of the present Research Centre.

iii). No objection Certificate from the Principal of the Research Centre to which he wishes to change.

iv). No objection Certificate from the Research scholars, if any, under his guideship.

v). As per the orders of the Vice-Chancellor, University Order granting centre change is issued.

G). RECOGNITION OF RESEARCH CENTRE

The Principal/Head of the College/Institution has to submit application in prescribed format along
with the following documents.

i). Chalan for Rs.27,625/-.

ii). University Order granting continuation of Provisional Affiliation/ Confirmation of Affiliation to the
P.G Course.

iii). Details of Faculty members (Minimum of two Ph.D holders required)

iv). Details of infrastructure facilities including Library, Lab etc.

v). Details of books and journals subscribed.

vi). Copy of two publications each of the faculty members.

Application for Renewal of Recognition of Research centre.

The Recognition granted for research centres is only for a period of five years. After, that the
authorites have to submit application in prescribed format along with the following documents.

i). Chalan for Rs.5375

ii). U O granting Continuation of Provisional Affiliation/Confirmation of Affiliation to the P.G Course.

iii). U O granting recognition as Research centre.

iv). Details of faculty members (Minimum of two Ph.D holders required.)

v). Details of Infrastructure facilities including Library,Lab.etc.

vi). Details of books and journals subscribed.

cii). Copy of two publications each of the faculty members .

In both cases If application is in order, the Research Recognition Committe (consisting of


Syndicate member, Subject ex-pert and Director, DoR) will inspect the facilities available at the
Research Centre. The inspection committee report will be placed before the Syndicate for
consideration and if approved by the Syndicate, recognition orders will be issued after completing
all other official proceedings in this regard.
