Assalamualaikum,

Alhamdulillah. Allah SWT has given us full strength to complete this ICM 663 group assignment
according to the dateline given. Even facing a few difficulties, we managed to complete it with all
this hardship and struggle for the outcome of this assignment. We required a lot of guidance,
assistance, and advice from many people around us.

Our thanks go to both of our parents who always give advice and moral support to complete this
task. They also supplied all the finances required in order to complete this assignment. With them
beside us, we will not be procrastinating in doing any task given. We would like to express our
gratitude to Prof. Madya Dr. Zaharuddin bin Ibrahim who has given many contributions in many
terms. We could not finish this task without his support and encouragement. His support is

ABSTRACT
A library or information professional in the current age of information continuously faces
challenges from technology and is under pressure to fulfill the demands of the users. They are
continually working to enhance their tools for information transmission, gathering, and services.
As people of the areas trust them they serve and are in a good position to offer a wide variety of
reading opportunities, libraries have the potential to play a significant role in advancing national
literacy efforts when used properly. Libraries assist a reading culture and the development of a
literate society by offering literacy resources for children, youth, and adults at all competence
levels. Additionally, they make the perfect communal setting for fostering intergenerational and
family learning. In addition, in library science literature there are many discussions about the
necessity of library adaptation to the specific use of the contemporary user of information. The
library of today has really made some important steps in this direction, being a more adaptable
institution than the traditional library. At the same time, a fundamental question arises “how far
can library adaptation go, so as to keep its identity?” If for the medium used, the Google search
engine gives the search model; will every library be able to give up the content description? Any
sort of library now needs library management software as a minimal necessity because it is one
of the sources for enhancing the library service. The open source movement has shown to be
very beneficial for libraries, allowing them to install software for library automation, digital libraries,
and many other purposes at a very low cost. There are numerous possibilities for libraries in open
source library management software, including Koha, NewGenLib, Evergreen, Apache, and many
more. This study focuses on NewGenLib, an open-source library automation program that not
only helps manage library resources but also makes it easier to search several databases with a
single click.

INTRODUCTION

NewGenLib is an integrated library management system developed by Verus Solutions Pvt Ltd.
The Kesavan Institute of Information and Knowledge Management in Hyderabad, India offers
domain expertise. Version 1.0 of NewGenLib was made available in March 2005. Then,
NewGenLib was declared free and open-source under the GNU GPL on January 9, 2008.
NewGenLib's most recent version, 3.1.1, was made available on April 16, 2015. According to the
NewGenlib discussion forum, a large number of libraries, mostly in poor nations, use NewGenLib
as their primary integrated library management system. It is a unique combination of a database
search facilitator, digital library software, and library automation software. Users can now search
the library catalogue, several databases the library subscribes to, and some open access
databases with just one click thanks to version 3.1.1. NewGenLib uses ClientServer technology
to create digital libraries and manage library operations, while its Online Public Access Catalogue
is available online. International standards including MARC 21 for bibliographic description, ISBD,
OAI-PMH Protocol, Z 39.50 Protocol, Dublin Core, Unicode, and many others are compatible with
NewGenLib. It makes use of Apache as the Web server, PostgreSQL as the database, and Java
technology. Management, inquiries, and reports. Furthermore, NewGenLib has the following main
modules such as acquisitions, technical processing, serials management, circulation,
administration, misreports, tasks to do today, and OPAC.

OBJECTIVE
● To compare the search methods, tools accessibility, web access, features, advantages,
and disadvantages.

● To examine information retrieval approaches that individuals, groups, or organizations

can use to locate the various types of information.

● To create a tool framework for information retrieval that fulfills academic needs.

PROBLEM STATEMENT
The problem statement that we can find out is that NewGenLib only takes into account the 1, 2,
and 3 series, not the "zero" prefix in the first accession series (0001, 002). Then, while the
conversion of historical bibliographical data takes place, there is no field for entering the price in
the primary catalog when using this NewGenLib. There is a requirement to install an additional
desktop war package because the NewGenlib's barcode creation is not complete and its report
creation is not integrated with the same software. In addition, all currently used file formats may
not function effectively when creating reports since they may incur hidden costs and require time-
consuming monitoring in this NewGenLib

FEATURES
There are few features that NewGenLib has, the first one is a web-based application with Java
technology, which means an internet utility regularly includes not a couple of web pages created
with the JavaServer Pages (JSP) technology. Sometimes you will integrate three or more such
technologies. Not remember what number of you turn out to be using, it is exact to recognise
what's to be had to you and the way you may use everyone in an internet utility. Furthermore,
JavaServer Pages (JSP) technology provides a simplified, fast way to create dynamic web
content. JSP technology enables rapid development of web-based applications that are server-
and platform-independent. JSP technology lets you add snippets of servlet code directly into a
text-based document. Then, NewGenLib is compatible with international standards such as
MARC 21, MARC-SML, Z39.50, SRU/W, and OAI-PMH so for encoding machine-readable
records, all format is a collection of codes and content designators. Five different types of data
have standardized formats bibliographic, holdings, authority, classification, and community data.
NewGenLib also supports software applications that are free or open source; it refers to software
that is released along with the source code, enabling the unrestricted use, modification, and
dissemination. Most computer users never view the source code, which is the portion of the
software that computer programmers modify to determine how a program or application operates.
Programmers who have access to the source code by adding to it, altering it, or fixing any
problematic sections can alter a program. In addition, NewGenLib has extensive use of options
to make it simple to customize the software to meet individual demands so the users can edit
whatever they want according to their style. Finally yet importantly, NewGenLib also automated
email and instant messaging are integrated into various software functions.

ADVANTAGES AND DISADVANTAGES

ADVANTAGES OF NEWGENLIB

1. No restriction on use

Some software like NewGenLib assures users to use, study, revise, and distribute the software
without restrictions. This means anyone can use it freely because this software is in the public
domain. Therefore, the user can decide to protect enhancements that it makes by copyrighting
them. There are also commercial information retrieval systems that have contractual restrictions
on how the software is used.

2. The ability to adapt to local needs

Because the source code is accessible, anyone can modify and improve the software to better
suit their own needs. Therefore, it is highly recommended for use by educational institutions,
government, private and commercial sectors. The user is also able to set its own priorities for bug
fixes. NewGenLib has been adopted by about 122 libraries, primarily in India, but with some sites
in Syria, Sudan, and Cambodia. This indicates that NewGenLib is not only useful but also
beneficial and good for these library countries.

3. Low cost

The software is free, so the capital investment necessary for commercial software is avoided. The
ongoing development and maintenance are the biggest costs. Each user's cost is reduced if there
are many users and they collaborate on tasks. These benefits can help NewGenLib become
better known and increase its profits, which will make it possible to improve this software.

 DISADVANTAGES OF NEWGENLIB

1. Inadequate training and technical support

Inadequate technical support mean a lack of functionality offered by NewGenLib to the library
management system. A system that supports the features offered by the Library Information
Management System may be something some users want. As a result, they will not choose
NewGenLib over other programs that support the Library Information Management System.

2. Speed

The easy-to-use and general-purpose programming languages used in open source software
may not offer the security and speed of proprietary software because they are slower than other
languages and less scalable.

3. Lack of coordination

NewGenLib system databases do not keep the process of organizing users' data properly. As a
result, it will be difficult to determine whether the users in the system database are active or
inactive. Not like other information retrieval systems software put this as the main objective when
developing software to track their user data in their database system, so it is easy for them to
know whether their user is active or not.

DISCUSSION

NewGenLib, which stands for New Generation Library is an integrated library automation system developed
in India, which has recently joined the open source community. Kesavan Institute of Information and
Knowledge Management (KIIKM) is one of two organizations developing and supporting NewGenLib. 2,500
libraries are assumed to be using NewGenLib as their primary integrated library management system,
spread across 58 countries. We believe it to be the only community in India that guarantees a 45-day
release of new features and bug fixes.

CONCLUSION

Open soft software (OSS) has much potential for information retrieval systems and libraries, and
there are not only NewGenLib, but also Greenstone, Koha, and Dspace. Organizations adopting
information retrieval system software will need to provide their staff with additional development
and training to enable them to take on these new roles effectively and will need to have a long-
term commitment to the projects. However, we think if the staff that is appointed is ex-student in
the information management field, they may already know because are already taught at the
university level.
