I. Presentation of Outgoing National President to the Incoming


Managing Committees
The outgoing Managing committees discussed the events prior to the Turn-over
meeting specifically the election and appointment of the position of the United
Architects of the Philippines-Student Auxiliary Managing Committees. The Incoming
Managing Committee for the Fiscal Year 2020-2021 are:
National President- Maxine Andrea Lumbera, uapsa-addu
National Executive Vice President- Jewel Salvan, uapsa-plm
Secretary General- Alfredrick Cruz, uapsa-tipm
National Treasurer- Fernando Esover Jr.,uapsa-pup
National Auditor- Zion Enrico Licup, uapsa-ust
II. Presentation of General Plan of Actions of the Managing Committees
a) National Auditor
- Stresses the importance of the implementation of Audit code
initiated by the previous term.
- Ensures Check and balance of all inflow and outflow of assets
of the organization.
- strengthen the enforcement of the duties and responsibilities of
National Auditor.

b) National Treasurer

- Stresses the importance of the implementation of the National


Treasury code initiated by the previous term.
- Ensures proper handling of the organization’s funds through
proper allocation of budget and maintaining accurate financial
records.
- Stresses the establishment of UAPSA Website for the easy
disbursement of information, archival matters of the organization,
and safeguarding of all the data of the organization.
- Strengthen the enforcement of the duties and responsibilities of
the National Treasurer.

c) Secretary General

-Stresses the importance of changing the proof of membership of


all the membership specially this time of pandemic.
-Safeguarding all the documents of the organization.
-Ensuring all the information (kits, circular letters,
announcements) are properly disburse to all the members of the
organization.
- introducing of the Commission on National Membership that
was under the Office of the Secretary General.

d) National Executive Vice President

-Discusses the duties and responsibility of the National Executive


Vice President.
-Highlights the commissions under the office of the National
Executive Vice President.
- Highlights the role of Haligi Publications, UAPSA TV, UAPSA
Webpage and other commission under the NEVP in this unique
situation.
-Discusses the committees of the External and Internal Affairs.

e) National President
- Adaptive, Representative, Comprehensive, Hyperactive,
Interactive: The key principles of the organization.

Launching of partnership with UAP Emergecy Architects

For December:
Online National Architecture Week Celebration
Release of Membership Certificates

f) UAPSA Hotline
Aims to respond immediate information to the queries or
concerns of UAPSA members.

III. Updates on Membership and Affiliation Fees/ Membership drive


a) Affiliation Requirements
-Membership Kit Primer: where all of the information
regarding the membership drive/affiliation fees/ membership
calendar are inside the kit.
-Chapter Affiliation Files: Information regarding the chapter,
partner establishments and semesterly reports
- Unique Membership Roster Link: Each chapter would have
a unique link to access and edit the information of all the
members of the local chapter.
b) Affiliation and Membership Fees
-Affiliation and Membership fee for this fiscal year are for
FREE BUT with Conditions. To continue the engagement
to the members the Managing committee introduce the
CAPS system where the chapters can earn points that
would be used on the next year’s Fiscal year.
c) Membership Certificates
-Shifting the proof of membership from card to e-certificate
is very vital specially during this time of pandemic, as
agreed by all

the members of the Managing committee the UAPSA


National will issue a certificate to all the members as their
proof of membership.

IV. Chapter Affiliation Points System

In-lined with the Continuing Professional Development (CPD) points of the


Professional Regulatory Commission (PRC), the Chapter Affiliation Point
System (CAPS) will allow chapters to generate points based on their
engagement to the National Events and through conducting of events in the
local chapter.

The Chapter Affiliation Points System will determine on how much would
the chapter pay on the affiliation fee the following fiscal year. Determinants
of the discount are based on the range of points earned by the chapter.
The points earned will be counted and checked by the National Treasurer
along side with the Executive Director for National Membership and his/her
council.

Local Chapters shall fill up a specific form to count their event thus, for the
national events after event evaluation forms will be the determinant on
each point that will be earned by the chapter.Chapter Affiliation Point
System guidelines will be released together with the Membership Kit
Primer.

V. UAPSA By Laws/ Policy Manual

The Policy Manual is at its third and final reading, after which it is all set for
implementation to the organization. National Auditing Code and National
Treasury Code are separate abiding policies of the organization that
highlights the role of the two positions discussed. The policies discussed
are somewhat a bible of the organization for decision making and
procurement.

The Chapter can form a separate by laws of their own, but with the guide of
the National Policy Manual.

VI. Virtual Quadripartite and Induction Ceremony
