Overview
This document applies to Prinect 2010.

Depending on the operating system version and the server environment different backup support options are
available:

Integrated Backup was based on the build in NTBackup and was supposed to be used only in a single server
environment.

If you run more than one Prinect server, i.e ContentSystem and RemoteAccess may be added, you may need to
synchronize pre and post backup steps such as creating database dumps.
So if using 3rd party backup solutions these products need to support pre and post processing.
In Prinect 4.5 we introduced Advanced Backup mode for 3rd party support. In contrast to Classic Mode the
Printready services will not be stopped during the backup phase and a snapshot of (optional only active) jobs is
written to a snapshot area.
With Prinect 2010 we additionally supply Prinect Snapshot technology. This allows to

synchronize database dumps and job snapshots in an distributed server environment


place job snapshots and database dumps in a dedicated snapshot area

without the necessity of running a backup solution for pre and post processing as it is build in.

Integrated Backup will not be discussed in the document!

Software Prerequisites
Two packages need to be installed an each Prinect server that will participate:

ServiceTools 1.2.14.1 or higher


HDM_PrePostBU_10.0.xy.exe

ServiceTools HDLISMONITOR now offers an enhanced functionality. It is able to act as a remote command
server. It will only execute commands that are defined in a checksum protected lookup table. This will shelter
against misusage .

You should check service HDLISMONITOR settings: It needs to log on as local system account.

HDM_PrePostBU supports 3rd party pre and post processing as well as Snapshot technology,
It is the successor of HDM_prepBackupInstaller_4.5.xy.exe
It is a real installer now, you may look up the version or uninstall from the control panel.

In case of an update it will preserve former settings. Install target still is “C:\Backup Commands”.

Installation

The target path is “C:\Backup Commands” and cannot be changed. In case of an update some files are saved to
“C:\Backup Commands\backup”. These files are used in an automatically performed postinstall script to restore
former settings.
This will also run ListItems4BU.cmd in order to update the
ToBeBackedUp_YOURSERVER.txt file. Check this file after
installing the software. You may have to change your save set
definitions in case of 3rd party backup.
Finally the existence of the HD_SERVICE share and the
HD_STD_LOGFILES environment variable is checked. If one is
missing will get an error message window :

The installer will create a program group that will give you access to the configuration tool and the report
viewer:

Configuration Tool Overview

This tool allows you to administer your various backup settings:


1. Switch between backup modes ( classic / advanced)
2. Configure Snapshot participants
3. Configure Prinect backup settings for advanced mode ( Snapshots and 3 rd party Backup)
4. Configure E-Mail notifications
5. Configure scheduled database dumps

Furthermore you can use it to observe the backup progress or even interrupt it.

The package needs to be installed on all servers to be includes. Configuration is done on the Prinect
Workflow server.
Special exceptions will be discussed later, i.e. configure a scheduled database dump on a dedicated server

Icon Legend

Menus
File Menu

Log Files: This will open a file browser window in


the logfolder. Here you could open log files:

Save: Saves all configuration settings from all tabs to the configuration files

Cancel: Leave program without storing changes

Exit: Save settings and exit

Backup Menu
Enable Don’t Stop Prinect: Prinect workflow software will
not be stopped in backup pre phase and will not be restarted in
backup post phase. This only applies to classic mode. If you
switch this on in classic mode, you will not be able to save
your workflow data in a consistent manner. Running advanced
mode it will have no effect at all.

Enable Stop Prinect: Running classic mode Prinect workflow

Set Classic BU: switches on classic mode (see icon)

Launch Integrated BU Configurator: This will be enabled


only in classic mode on W2003 workflow server. It will give
you an easy access to the single server NTbackup based
Integrated Backup configurator.

Set Advanced BU: switches on advanced mode (see icon)

Set Errorlevel ON (local): After install this is set to ON. If set to OFF in case of a pre backup phase error you
will not get the original errorcode returned. 3rd Party backup software like Networker would not run the backup
on a server were the pre phase returns an error, but we want to force the backup even in that case.
Running snapshots requires setting it on, see later in this document. Here only the local server is affected.

Set Errorlevel OFF (local): resets to not returning the original errorcode. Here only the local server is affected.

Set Errorlevel ON (all active servers): This will switch it ON to all servers configured on the Snapshot tab,

List Local BU Items: Show the minimum set of drives / paths to be included in a 3rd party backup

Abort Workflow Backup: Abort the snapshot process. Be aware this may last a while, especially when a
remote process was started.

Report Menu

Report Utility: This will launch the report viewer


tool that will give you access to various log files.

Refresh Menu

Update now: updates the state icons from the actual configuration file

This tab is used to configure the participants of a snapshot configuration. You will enable the server type and
supply the hostname.

An administrative user (i.e.prinect) is needed. He needs to be member of the administrators’ group and
ORA_DBA group. He must have been granted the “Logon as a service” right.
You can check that using the Local Security Policy editor:

If you use HD_PRINECT_USER environment variable value this right was granted by HD_Environment
installer. If you use a domain user, you better check.

Switches:

Task enabled at: If you enable this, as scheduled task is created on this server when you press the Save
buttons. This will run the snapshot on all participants at the scheduled time

Continue on error:. If off, the backup pre phase will be interrupted if on one of the configured servers
the pre script returns an error. Next post will be executed on each server. So you may have no actual
database dumps of all servers !

Buttons:

Save and check: save actual settings, run check script: This will test communication between servers.

Save+Run Backup now: Your settings are saved and the snapshot is started.
Attention: you need to set the ERRORLEVEL ON at all servers

E-Mail Setting Tab

This tab allows


setting up your E-mail server and E-Mail addresses. You may enter more than one address in the TO and CC
inputfield, use a comma to separate them. If your mail server requires authentication, check Authentication
required and supply user and password.

Use this tab for using snapshots as well as using 3rdParty Backup solutions like Networker or Backup Exec.

You can check your settings using the Send Test E-Mail button.

Prinect BU Tab

If the input fields of this tab are disabled, you are either not on the PINT server or you did not enable
ADVANCED mode

Backup settings: select the components to be backed up, you may want to force a stop on error, default
will be to continue
Jobs: If you do not want to include jobs, you need to deselect include Jobs.
Including jobs you may wish to include external job homes on additional file servers. If you activate
this, all jobs (active or not) will be saved to the backup area during the prebackup run.
If you do not activate this, you need to install a NetWorker client on the server that keeps these homes
and at least add the local file systems containing these homes to its save set.

You should snapshot all jobs if your job homes will not be backed up by any type of backup software.
The first run may last quit long, all subsequent runs will be done incremental, so only changes will be
affected.

With NetWorker backup you should only snapshot running jobs. PTJobs needs to be included in the
save NetWorker set, so you get the other jobs being part of the backup as well.

Monitor Tab

This tab allows to observe the snapshot progress.


You can use the ABORT BACKUP button to interrupt the process. Be aware this may still last some
minutes, as invoked remote commands will finish before further steps are canceled.

Backup Area Group

Backup Area: This may be a local or UNC path.


Make sure that the volume you select will have sufficient free space
If the target volume is placed on an USB disk make sure that the file system is of type NTFS. Factory settings
may be FAT32, which leads to backup failure. In this case you need to reformat the disk first.
This area will be used for your Prinect Snapshots, if you configure Advanced Backup.

If you change the path later, rerun ListItems4BU.cmd and update your 3rd party save set for this server.
Keep in mind to check the free space. A separate drive is recommended to avoid running into overflow
problems with application data.

Switches:

Save Database Dumpsto Backup Area: Supply the path to your backup share.
You may supply a local path as well, like shown above
If enabled each successful database backup will be written to a ZIP file.
This file will be copied to a subfolder called like the host. At a maximum 3
generations of ZIP files will be kept.

In addition the exchange area of the RemoteAccess server will be saved to a ZIP file.

How to Step by Step


Creating Database Dumps only in a Multi Server Environment
1. Install most recent version of HDM_PrePostBU_10.0.xy.exe on each participant server
2. Start configurator on Prinect workflow server
3. Switch to Classic mode
4. Enable Don’t Stop Prinect
5. Open snapshot tab and supply hostnames and common user
6. Press Save + Check Button to verify your settings and the communication environment
If you receive errors follow [5] to identify and solve your problem
7. Run Set Errorlevel ON (all active servers)
8. Mark Task enabled at and select your schedule time.
9. If desired, mark Save Database Dumps to Backup Area and set the path where to keep the dumps
10. Configure and test your mail settings
11. Press Save + Run Backup now if you want to check the first run. This will open a command window
and run the script within this window, so you can observe, what happens.

Creating a Database Dump on a Singular Database Server


This applies only to database instances not containing the Archive System or Content System Scheme !

1. Install most recent version of HDM_PrePostBU_10.0.xy.exe on this server


2. Start configurator on this server.
3. Switch to Classic mode( this is not harmful in an none workflow server)
4. Enable Don’t Stop Prinect
5. Open snapshot tab and supply hostname of your server in the Prepress Manager input field and a
common user
6. Press Save + Check Button to verify your settings and the communication environment
If you receive errors follow [5] to identify and solve your problem
7. Mark Task enabled at and select your schedule time.
8. Run Set Errorlevel ON (local server)
9. If desired, mark Save Database Dumps to Backup Area and set the path where to keep the dumps
10. Configure and test your mail settings
11. Press Save + Run Backup now if you want to check the first run. This will open a command window
and run the script within this window, so you can observe, what happens.

Create Snapshots in a Multi Server Environment


1. Install most recent version of HDM_PrePostBU_10.0.xy.exe on each participant server
2. Start configurator on Prinect workflow server
3. Switch to Advanced mode
4. Open snapshot tab and supply hostnames and common user
5. Press Save + Check Button to verify your settings and the communication environment
If you receive errors follow [5] to identify and solve your problem
6. Run Set Errorlevel ON (all active servers)
7. Mark Task enabled at and select your schedule time.
8. set the path to the backup area
9. If desired, mark Save Database Dumps to Backup Area
10. Configure and test your mail settings
11. Configure your Prinect BU settings. Select the components to save (all are
required),
select include Jobs and include external job homes, deselect only idle or
processing jobs
12. Press Save + Run Backup now if you want to check the first run. This will
open a command window
and run the script within this window, so you can observe, what happens.
Make sure this will cause no obstacles to running production

Configure for 3rd Party Backup


Heidelberg evaluates Networker and Symantec Backup Exec for 3 rd party backup. See [2] and [3] for a detailed
description.

Here we will give a short overview in concern to the Configurator tool.

1. Install your backup server


2. Install the 3rd party backup client on each participant server
3. Install most recent version of HDM_PrePostBU_10.0.xy.exe on each participant server
4. Run Configurator to setup your E-Mail settings
5. On the Prinect Workflow server: switch on classic or advanced mode
6. If advanced is selected: Make sure you selected a suitable backup area path. If you use an UNC path
make sure your common OS user has sufficient access rights
7. On each participant server: Run List Local BU Items and use the list that will be created for client
backup save set definition. You will find the
TeBeBackedUp_... file in
c:\Backup Commands
on each server

Recover Components from a Snapshot


Perform all these tasks as user administrator !!

CommonDatabase
Your snapshot area will
contain a dbdump folder for
the database host to recover.

This folder should contain zip


files of the last 3datbase
dumps.

In order to apply the most recent dump you have to make sure, our Oracle installation is up and running.
Depending on the incident it might become necessary to reinstall the CommonDatabase. You have to make sure
that you use the same disk layout as before.
So in this case open the ZIP file to be used. The folder misc will contain a file called environment.log.

Unpack the ZIP file to BACKUP_HOME and follow the instructions in [4] to recover your database.

RemoteAccess
A snapshot will contain these RemoteAccess
components:

Database dump
Exchange area snapshot
RADATA snapshot

Depending on the incident all three compo-


nents might be to be restored. If you are un-
certain about EXCHANGE and RADATA
locations look into the corresponding database

The snapshot area will contain subfolder with zip files for EXCHANGE and RADATA.

Sequence of operations:

1. Make sure that no RemoteAccess services are running. If they still are available you may want to stop
and disable them.
2. Reinstall CommonDatabase, if necessary and replay database dump.
3. Replay exchange aera content from ZIP file, if necessary
4. Reinstall RemoteAccess services ( PRASetup.exe), if necessary
5. Open ?:\Remote Access Data\Web Server folder

and open the RDATA zipfile

Compare the subfolder contents and extract missing profiles and themes.

Prepress Manager
In order to apply a replay of our configuration data, meta data and jobs you first have to make sure that your
Prepress Manager software is in proper state.

To start the restore process open folder c:\Backup Commands:

Rename restoreBU.cmd.secure to restoreBU.cmd.


Open command prompt and go to c:\Backup Commands
Invoke restoreBU.cmd
