GUIDELINES FOR IT REPORT WRITING (2018/2019)

While in industry students are advised to keep a log-book in which daily activities are
recorded. A daily activity record book can be used but must have the format of the official
log-book provided at the Faculty of Science. This helps students to produce a report at the
end of IT period. The IT report must be endorsed by the Supervisor/Instructor in Industry and
must be submitted to the University Inspector within the first week of Semester 1 of the
subsequent academic year. Reports must be written in Times New Romans of font number 12
and double-spaced. Reports should include the following:
1. Title page
The title page should have the following words or phrases for:
Kyambogo University,
Industrial Training Report,
Name of Student,
Reg. No.
Year of study
Program of Study,
Name of Industry,

The student declares that this is his/her original work and signs
3. Approval
Name and signature of Supervisor and company stamp,
&
Name and signature of University Inspector
4. Acknowledgement
Identify and name the people who have been of help to you with regard to the training
and your general up-bringing. Acknowledge and recognize them by mentioning briefly
their contributions in your life.
5. Table of Contents
Outlining all the contents of the IT report with the corresponding page numbers and it
must be automatically generated in Microsoft Word
6. Abstract
A summary of the contents of IT report mentioning important findings or discoveries,
conclusions and recommendations.
NB. The content of each of the numbers 1, 2, 3, 4 & 6 must be on its page, but table of
contents can go on more than one page.
7. The Body
The body should have the following:
a) Introduction: This presents the nature or type of the practice done and the scope of
the training. The name and physical location of the Industry. The services
provided by the Industry. Explain briefly the tasks involved in while in the
industry
b) Management and Organizational Structure of the Company: Mention the different
departments or sections of the Industry and the flow of roles and responsibilities
c) The process flow chart for Industry: Those producing a product from raw material
procurement to finished product on the market. Those providing a service from
client conception to a satisfied customer
d) Activities: These include the detailed technical account of the activities which a
student got involved in while in the industry. The information here can be derived
from the log-book or the daily activity record book. Similar activities should be

placed in the same chapter even if they were done on different days. Drawings
and other relevant illustrations and sketches can be included to boost the report.

8. Challenges
A student is expected to give the challenges that were encountered during the training
exercise.
9. Conclusion
The IT report should be ended by mentioning your views based on the experience about
the place of training, the training itself or the training environment, financing and
duration, the support from University and the Industry. Give your critical view of the
activities and experiences.
10. Recommendations
Suggest possible way forward to foster the activities of the Industry, the University, the
training etc to ensure long term and sustained continuity of the Industry and activities.
11. References
Include any documents e.g Text books, manuals, website, e.t.c that you may have used
during training. (Here you only state Author’s name, year of publication, Title,
Edition/Volume, publisher)
12. Appendices
The first appendix should be the used pages of the log book.
Any other relevant document used can also be included.
