CHOICE Asian Conference (CAC) working teams

Proposed Description of Work for CHOICE Asian Conference 13-15 August 2008 1. Secretariat The team will be helping out on the actual dates of the conference itself. Tasks include the recording of the conference proceedings and producing the minutes (Liaise with Team 7 on laptops and projectors) 2. Finance & Fundraising The team will assist to plan out the fundraising and budgeting for the CAC and be in charge of the funds for the event. Tasks include recording all incoming/outgoing funds, payment to suppliers/vendors for goods and services, and planning out fundraising events (as and when required). 3. Transportation & Logistics The team will be helping out by arranging for drivers / bus to pick up delegates from KIA and sending them to the hotel. When the CAC is over, the team will help to send the delegates to the KIA. During the CAC, the team may need to help transport equipment as well (eg PA system, projectors) (Liaise with Team 7 on transportation of equipment like amplifiers, etc if needed during CAC) 4. Spiritual This team assists in all matters pertaining to Masses during the CAC. This includes getting the readings / projection and Mass venue ready, hymnals, coordinate musicians and instruments if needed. This team coordinates prayer and prepares spiritual bouquet (liaise with Team 8 on souvenir) 5. Registration & Accommodation This team will assist to prepare proposed CAC registration form (to be proposed to CAT), a travel guide, illustrating the possible routes to Kuching and some travel tips for Delegates. This guide will also showcase some of the attractions in Kuching. This team handles registration of delegates upon arrival and coordinates accommodation with Hotel. It assists in the booking of additional accommodation if the delegates decide to stay on further for a holiday (pay their own). 6. Hospitality This team will be in charge of the welcoming of the delegates and making them feel at home. This will help to prepare a welcome evening on 12 August. Visit to SCV is now proposed on 16 August after CAC (for delegates who want to go and pay their own to indicate on Conference Registration Form) The team may need look into adapters fro phone chargers, call cards, Malaysian SIM card, etc. The team assists in the setting up and planning the main fellowship dinner on 15 August.

7. Design & Publication a. Graphic design team to handle the designs of the various items for the CAC b. Multimedia team - to be in charge of the sound system, laptops, printers, LCD projectors
during CAC. (Liaise with Team 1 Secretariat on laptops and.Team 3 Transport for large equipment, if needed).

8. Conference Kit & Souvenir This team prepares a Conference Kit for delegates (bag, file, paper, pen, etc). The team needs to source out a door gift/souvenir for the delegates. (Liaise with Team 4 Spiritual Team on spiritual bouquet cum souvenir and Team 5 Registration Team for conference kits distribution in Hotel) 9. Ticketing and Inbound Tours A Catholic Travel Agent will assist any delegates with travel and ticketing ticket confirmation and change of dates, etc. Sin Hua Travel will also help to book tours for those who would like to stay additional days and visit Sarawak.
