Quality Assurance: Fit and Seal

Supplier guidelines

SUPPLIER GUIDELINES PURPOSE:

This guideline document has been developed to ensure that a standard approach to the fit and seal
process is taken across all Truworths Suppliers.

SUPPLIER GUIDELINES:

General

1. Suppliers must utilise the Truworths approved Fit dummies. See Truworths approved Dummies list available
from QA Technologists.
2. Samples must be submitted in the appropriate sample size and to include the correct main label and size
numeral. Contact a QA Technologist for sample size details.
3. All fit submissions must be submitted to the Buying division (Buyer and/or Buyers Assistant) and not to the QA
Technologist.
4. Delivery dates to be included on all documents.
For local: specify TDC date
For import: specify Shipment date and TDC date
5. Suppliers to critically appraise all sample submissions for quality of make, fit and measurements prior to
submitting to Truworths for approval. This will avoid unnecessary delays due to poor quality samples.
6. Suppliers to note on the fit-log any deviations from requirements or specifications.
7. Measurements on fit-log to correspond with sample submitted and specification requirements.
Overseas and Concept Samples

1. Suppliers to submit the Concept/Overseas/Prototype sample used for development with the 1st Fit sample
when submitting to Truworths for approval.

written consent of the Chief Executive Officer for the time being of TRUWORTHS LIMITED. The receiver and/or user undertakes to use the document and/or
the information contained herein solely for the purposes for which it has been provided and to at all times preserve the confidentiality of the information, and
furthermore indemnifies the TRUWORTHS GROUP from any loss arising from any unauthorized use, publication or disclosure of same.”
Fit Samples
1. Fit samples to be submitted with a fully completed hard copy fit log.
2. All electronic fit logs must be e-mailed to the QA Technologist in advance of the Fit Session.
3. 1st Fit samples to be as per Truworths guideline measurements and/or Truworths approved blocks.
4. The fit sample must be in the correct fabric base and of a similar colour/design to the intended bulk. Substitute
trims of a similar nature to the bulk are permitted.
5. Substitute fabric and trims must be noted on the fit log.
6. 2nd Fit sample measurements should be entered into the relevant column of the previous fit log and submitted
together with the 2nd fit garment and the previous fit garment. Fit log to be emailed to the Technologist in
advance of submitting the 2nd fit sample.
7. If at the 2nd Fit stage the sample is not fit approved, be aware that there is a risk of losing the order unless the Pre
Production submission can be approved at the next fit. Supplier timeline management of this process is essential.
8. For Fit samples to be approved, a maximum number of fit comments are allowed: 4 minor and no major.
9. When a sample is fit approved, the QA Technologist must seal the sample with a Red Seal and record the seal
unique number on the fit log. This Red seal may not be removed from the Fit approved sample.
10. If two Fit Approved samples are submitted in the correct fabric and trims (Truworths bulk fabric) and the
sample can be fit approved, the sample can be sealed with a Fit approved Red Seal and a Pre Production
approval Yellow Seal which gives the approval to commence with bulk production. Both Red and Yellow seals
to be present and visible on the sample and may not be removed from the approved sample.

Pre Production Sealed Samples (PPS)


1. Pre Production sample submissions must be representative of bulk production. Sample must be the correct fit,
styling, bulk fabric and trims.
2. Two identical Pre Production samples (PPS) to be submitted with a fully completed hard copy data sheet
attached to the sample.
3. All electronic data sheets must be e-mailed to the QA Technologist in advance of the Fit Session.
4. All Pre Production Sample submissions must have the correct main label and size numeral.
5. Declare % fibre content, fabric weight and country of origin on the data sheet.
6. When submitting Pre Production samples for approval, ensure that samples have an identification swing-ticket
which contains the following information:
o Date submitted to buying department
o TDC delivery date
o Shipment date (if applicable)
o Department name
o Buyer name
o Contract and/or Order number
o Type and style (if available)
o Supplier style number
o Sample status (Fit Sample, PPS or Shipment Sample)

7. For Pre Production samples to be approved, a maximum number of fit comments are allowed: 3 minor and no
major.

8. When the two Pre Production sample submissions are approved for production, the QA Technologist will seal
both samples with a Yellow Seal and record both seals unique number on the data sheet. The Yellow seals may
not be removed from the approved sample/s.

9. When sealing the Pre Production sample/s, Truworths WILL retain 1 of the 2 approved samples for bulk
referencing purposes.
