Accomplishing reports and documents are common in every workplace. In Computer


System Servicing, proper reporting and documentation are necessary. It may be written or
printed depending on the record or confirmation of actions and work undertakings.
Documentation and reporting offer continuity in the maintenance and legal requirements
showing technical activities performed and not performed.

In this Learning Activity Sheet, you will be guided in understanding the concepts of
reporting and documentation.

documentation. Present your output in a short size bond paper. Refer to the criteria in Part IV
for scoring.

In receiving the materials we have to consider the following:

A. Receiving Items:
1. Ensure that the packing slip is match to the items received.
2. Receive the items indicated on the purchase order with regard to quantity and
discount.
3. Items are in good and acceptable condition.
4. Terms regarding installation and/or set-up of equipment are met.

B. Receiving Reports
Each time items are received:

1. There must be a receiving form to fill up that indicates document stating


that all items were received for each requisition before handing any
payment to the vendor.

2. Exceptions must be clearly noted in so partial payments can be


processed and defective items can be returned.

C. Return of Merchandise

If merchandise received with defect and incomplete, the supervisor will return
the materials to the supplier or to the store where it was bought and arrange for
replacement.

D. Creating Inventory Report of the Materials

List all the items received and report to monitor the number of items on
hand, purchased or damaged.

Best practices in management checks are important to provide accurate

Two categories of Computer Documentation
1. User Documentation – designed for end user of the computer hardware or
software.

Examples: Manuals, on-line help, wizards and on-line tutorials.

Types of User Documentation


 Instructional Material – provides information on how to use the system or particular
aspects of it.
 Training Material – teach people how to use a computer system, usually a software
application. It can be used as self-study guide or as a resource by a trainer.
 Policies or Procedure Documents – describe organizational guidelines and explain
how to do a particular job. This help with quality assurance as a check that
standard procedures are being followed.
 Reference Documentation – provides neither an instruction nor training role; used
by users who are already trained, to remind them of intricate details that they
cannot be expected to remember.

2. Technical Documentation – designed for the people responsible for producing or


maintaining the hardware or software. It also describes the design and
construction of a hardware or software product and intended for the people build
and maintain the product such as Computer engineers and programmers.

Technical Documentation can be either

Includes information that describes


 The construction of the computer (hardware) or
 The software that runs the computer

Examples of Technical Documentation are Data documentation, Program


documentation and Hardware documentation.

Media for documentation
