Introduction

About the Organization

Rhangels Trading started as a trading company, subsequently shifted to a

design, manufacturing, and sales company for bags and accessories, and is now

considered a functional structure. Rhangels Trading was founded in 2014, however

product manufacturing did not begin until late in 2019. The Rhangels Trading

Company sells and distributes Bags & Accessories manufactured by Filipino

manufacturers, and they continue to make products using their own handiwork and

certain machinery on site. The Mission and Vision of The Rhangels Trading aims to

bring the unique and handmade products of Filipinos to the West (Europe) and

eventually to the world also to uplift the lives of fellow Filipinos by giving more jobs

and supporting local livelihood and manufacturing. Rhangels Tradings' goal is to

provide exceptional and handmade Filipino products to customers all over the world,

as well as to improve the lives of other Filipinos by creating more jobs within the

company and by creating and producing products made by Filipinos to promote local

livelihood. Cultural products can be thought of as regional marketing channels, which

provide an easy-to-communicate touchpoint for showcasing culture. They are clearly

focused on producing high-quality products through handcrafting items that are

reflective of Filipino culture in order to preserve and promote local culture. The

company is mostly focused on product exportation to other countries inside the

Philippines. Since the company focuses on exporting its products, it is critical that all

manufacturing processes are recorded and that rigorous compliance to written

documents is maintained in order to attain product quality.

About the Jobs

The Rhangels Trading has six departments such as Sales Department,

Manufacturing/Assembly, Creative Department, Quality Assurance, Embroidery, and

Purchasing/Accounting Department. Each department as the name performs

different roles and responsibilities inside the company. The Sales Department of

Rhangels trading consists of a collection of business activities and procedures that

enable a sales organization to perform successfully, efficiently, and in support of

corporate strategy and objectives. The sales department may contain sales, sales

support, or company operations. Also, it is responsible for selling bags and they are

also incharge of how they sell their product. In the Manufacturing/Assembly of this

organization, manufacturing includes the manufacture of new goods from raw

materials or by assembling various components using physical, chemical, or

mechanical processes. Manufacturing can exist or make more items of bags. While

in assembly, is a specialist who assembles various items, such as service

equipment, by following comprehensive instructions to guarantee that things are

produced effectively and accurately. Furthermore, they maintain assembled

equipment, assess it, and guarantee that any concerns are addressed appropriately.

The Creative Department is the one who is incharge to advertising their product

which is bags. Artists, creators, and producers collaborate to create bags that suit

the goals, aims, and satisfaction of the buyer. A creative department should have an

impressive conceptual outlook and ability to produce original ideas, high-level

creative thinking and the confidence to use it, multiple disciplines embracing the

various roles required throughout a project, strong experience in relevant fields, the

confidence to share and present ideas internally and externally, and motivation and

the desire to execute every job to the highest standard. Also, in the creative

department the employees are in charge of creating the products within the

company. There are various responsibilities in this department that include

implementing and introducing ideas and creating products that are related from the

ideas given within this department. While the Quality Assurance guarantees that the

finished product meets the quality requirements of the firm. In general, these detail-

oriented specialists are in charge of developing and implementing inspection

operations, detecting and resolving issues, and delivering satisfying results. The

essential duties and responsibilities in quality assurance includes documenting and

reporting product or service quality levels, developing and implementing standards

for inspection, developing a workflow for product inspection, developing plans to help

a company manage waste, communicating with other team members to solve

problems, following up with the appropriate channels when mistakes are found,

training other quality insurance members on all inspection processes. The

Embroidery must be able to sew a range of Flat stitches, Loop stitches, and Knotted

stitches, as well as have coordination, motor skills, and eyesight. Responsibilities for

embroidery are operates, maintains, and performs routine service on any equipment

used in the completion of these tasks, maintains a clean, well-organized work area,

and adheres to safe work practice, add customer specific direct embroidery to

garments, thorough understanding of quality program and objectives, obtain

embroidery design files and download from database to embroidery machine,

promote a safe and clean work environment, good preventative thinking and

proactive capability, sew utilizing all available industrial embroidery machines, follow

established designs and specifications, and maintain accurate embroidery logs. The

Purchasing/Accounting Department is in charge of managing Rhangels Trading's

purchases of products and services, including counseling workers on the complete

spectrum of procurement and risk management tasks, as well as conducting

associated accounting and budgeting functions. In addition, this job will help with

asset management and grant administration. The position involves extensive supply

chain management expertise, understanding of interprovincial treaties and

international trade requirements, as well as abilities and knowledge of the

organization's accounting rules.

About the Rewards

The Rhangels Trading regulates employee productivity within the organization

by showing leadership, delegating, and acknowledging employee work. Additionally,

the company provides employee rewards and benefits that are essential to both

employees and the company in order to improve and retain employee productivity

and engagement. When an employee works for a company, they are rewarded with

bonuses and incentives. These incentives and bonuses are crucial in keeping

employees motivated and productive at work. When employees are rewarded and

supported, it also helps the company enhance its overall performance. According to

the interview, existing rewards/benefits that employees may have gotten from the

organization aside from the above minimum salary, the employees may get

additional wage which exceeds sales, quotas are given to the employees during

overtime, also employees are given christmas bonus, birthday bonus and overtime

pay. These bonuses and recognitions have also been shown to keep their

employees motivated in their work. Aside from offering well-compensation to

employees, they also keep them engaged and motivated by creating a less stressful

and more friendlier work environment and providing the employees challenges to

help them reach their full potential.

Any other Information

However, owing to the pandemic that is now occurring, the Rhangels Trading

Organization continues to function without a performance management system

within the company. However, the Rhangels Company stated that if the pandemic is

now under control, they expect to introduce a performance management system

eventually. Since they believe that having a performance management system in

place inside their company is still vital because it allows them to identify, encourage,

measure, evaluate, improve, and reward employee performance. It is also important

to the organization because it encourages employees to work to their full potential,

resulting in increased product output and improved employee performance, which is

required to boost employee productivity and motivation in the creation of handmade

products, as well as improve overall employee performance. And, if the performance

management system is implemented inside the company, the corporation states that

all workers should be assessed on a semi-annual basis.

Proposed Performance Management Plan

Performance Management System

The performance management can help you monitor the performance of your

employees, you will also know their strengths and weaknesses and it is important to

have structured performance management and process monitoring to maintain high

standards for your organization.

One of the existing issues of Rhangels Trading Company is the lack of

productivity of an employee when it comes to developing a product. The company

has a so -called sales quota, this is what employees must reach the required number

of bags that must be made in a one day. There are some employees who do not

show much productivity, maybe one of the reasons is the not even implementing any

performance management system.

Our proposed performance management

system will be a reviewsnap, it is a software tool

that can be effectively used to review the past

and current records of employees. It contains

records about the profile of employees, the

results of the evaluation and more on. Also through tracked records, the manager

can see if the employees meet the required quota of the company in the

manufacture of various bags and accessories, and this will further help them to

easily evaluate the employees. The reviewsnap system also contains records related

to the product being sold.

Performance Management Process

These are 4 processes in implementing a performance management system are as

follows:

Planning

A manager will first determine the actual work of the employees, what is the

purpose of the employee himself in the work they will perform within an organization.

It is important to know the things and information within the company and the people

in it, through the reviewsnap system a management can easily create a planning

stage.

During the planning stage, each employee in a higher position needs ideas,

collaborative thinking and whether they agree with the process that will be carried

out in the company. The process to be carried out must include the welfare of the

employees, which will determine that they are part of the company's goal setting.

Employees must also provide input (or what is possible to be contained in the

material to be used in evaluation). Supposedly, that input is about what kind of skills,

abilities and goals they have that will help the company itself to achieve the goals of

the organization.

Coaching

Once the parameters of the job or the goal for the future have been set. One

of the most important processes that can be started is a teaching or a meeting

together. Teaching should be conducted regularly. The goal of this coaching process

is focused on solving the problem that the employees sometimes experience when it

comes to their performance. A management can determine the employee's problem

or issue based on the records in the reviewsnap system. They can be trained

especially based on the weaknesses they have, the employees will be given

guidance on what they should do and this is through proper meetings.

During this stage, management can ask for feedback from employees on

whether the process they have implemented within the company is really effective.

As the coaching process continues, employees in higher positions should

revisit their objectives towards the company and employees to see if it is effective

and possible to provide opportunities to the employees in a lower position. This step

involves evaluating the overall performance of the employee, how well the process

itself is, and it also includes reward - which is a very important part of the overall

process.

Reviewing

There will be an evaluation of the performance of the employees, it will be

held twice a year (it means, every six months) to further observe how well the

employee is performing during that time period, then after the final evaluation. One

week will be spent to review the results of the feedback. After reviewing a

performance of an employees, if the employee has a good or high feedback results it

will be given recognition or rewards; and these are the Commissions, Variable pay,

Extra time paid off, Merit pay, Incentives, and Bonuses, while an employees with low

feedback results, they will still be given rewards and benefits but this is only the

same as what they received before, such as additional wage which exceeds sales,

Christmas bonus, birthday bonus and overtime pay but they can still receive new

rewards and benefits if there is changes will occur in their performance once it is re-

evaluated, such as Commissions, Variable Pay, Extra Time Paid Off, Merit Pay,

Incentives, and Bonuses.

This is the last to be evaluated on the employees, it is based on the

performance of the employees throughout the year "whether the employee reached

their goals?” and “how did the employee achieve success based on the tasks given

to them throughout the year?”

Action

The employees' efforts will be rewarded and recognized in order for them to

remain more motivated in terms of performance. It is not solely based on monetary

compensation; it may also result from new projects, company-wide recognition,

retirement, or leadership opportunities.

Through the reviewsnap system, the performance and total finish output of the

employees within the company can be seen. In this way the engagement and

motivation in the work of the employees will be further enhanced and the possible

incentives and rewards that the employee will receive based on the performance

they have been given to the company will also be seen.

Performance Management Process for Creative Department

One of the goals of Rhangels Trading Company is to provide exceptional and

handmade Filipino products to customers worldwide, as well as to improve the lives

of other Filipinos by creating more jobs within the company and by creating and

producing products made by Filipinos to promote local livelihood.

One of the areas that should be given a strong and effective implementation

of Performance Management is the “Creative Department '' which has 6 employees.

The duties and responsibilities performed by the creative department are those in

charge of advertising their product which is bags. Artists, creators, and producers

work together to create bags that suit the goals and satisfaction of the consumer,

they also focus on creating great products. Proper, clear and effective evaluation of

the employees within this department must be maintained, because if the employee

continues not to be diligent in their work they will not be able to develop new

innovative products and they will not be able to meet their goal even if handmade

products can be exported abroad.

Appraisal Form

With two appraisal forms, the manager can easily evaluate the performance of

an employee. Also, the results of an evaluation can easily be saved and recorded

because it is computerized, moreover the results can be saved directly in this

reviewsnap system. Managers, subordinates or anyone who can evaluate

employees can use the two appraisal forms.

These are as follows:

Performance Notes

It is difficult to manage an employee's performance when there is no precise

and orderly method in place. An individual's performance can be easily monitored

and concerns identified by using performance notes. It will also assist employees in

succeeding in their roles. Not only the performance of employees is referred to here,

but also the concerns, documenting performance concerns is also important when

there is a clear and solid disciplinary action. In short, apart from evaluating the

manager's employees or anyone higher than him, the manager can also say that he

sees something wrong with this employee, as if the manager sees an issue.

360-Degree Feedback

A 360 degree feedback can be used for evaluation, with anonymous feedback

coming from a staff member as well as their managers or subordinates. Not only the

manager can evaluate employees but also other subordinates within the company.

The performance of a manager can also be evaluated, this evaluation can also come

from employees or any staff of the company. That is why it is called 360 Degree,

because it is intended for various people to share their thoughts or provide a positive

perspective on the individual. It can also be used as a development tool because it

allows employees to better identify their strengths and weaknesses within the

organization and to make the desired goals more effective.

Contingent Reward System

Rhangels Trading may use the contingent pay plan system to reward people

who fulfill their goals, because it gives intrinsic rewards for a task successfully done.

Work effort and output. Employees' effort and performance should increase if they

believe their rewards are based on their performance, according to expectancy

theory. As a result, as long as we identify the organization is more focused on pay

performance of the employees, reward systems serve a very basic motivational

function. The contingent reward is a motivation-based system that is used to reward

those who meet their identified goals by providing positive reinforcement for a job

well done. Reinforcement measurement motivates employees to execute jobs

efficiently and fulfill goals in a professional and timely manner. Unlike conventional

performance reviews and evaluations, the dependent incentive system delivers more

regular assessments of the employee's work with suitable awards when eligible. The

incentive system should be clearly defined to assure that all Rhangels Trading

employees know what is necessary to qualify. Even though the contingent

compensation system must be organized in order to achieve efficiency, it also has to

be individualized and pleasant in order to pique the attention of personnel. Offer

employees valuable prizes and keep the reward system reachable. Contingent

Rhangels Trading executives and managers use this method to improve

Data Gathering Procedure

Our Team set a date and time to have a virtual meeting through Google meet

to discuss step by step on how we accomplish the flow of our PM proposed plan.

First thing that we did was to create a questionnaire and after that we made a

request letter that will be forwarded to every company that we choose to ask if there

was performance management in their company. The organizations that we choose

to send and bring a letter to are Baymall, Nuciti, Pioneer, Novo, City Hall, Uniciti,

Unitop, Puregold, Citimart, Herocco, Waltermart, Sidc, South Star Drugs, and

Bangko Kabayan. Most of the organizations said that they are implementing a

performance management system in their company and there are some

organizations that choose to not tell us about their performance management

system. Until, one of our members (the leader) received an email because she sent

an email to his cousin's company and the manager agreed to do an interview

through email and that's where the leader and manager started a formal

conversation, and then we decided to send the questionnaire through email. And on

Sunday afternoon the manager answered all the questions that we gave, after that

our team decided to conduct a virtual meeting again to divide each part of the papers

that need to be done and lastly we start making the papers but while we are working

each part there are questions that are not very clear for us from the info he given to

us, so we decided to call her wife through Video Call for follow up question because

sir Lito are no longer response and Sir Lito's wife is the leader's friend on Facebook

so we contact her to ask some questions And Mrs. Rufina Mansilla is also manager

at Rhangle’s Trading Company. Finally, by Thursday we had already class at Ma'am

Jaika's time and had a meeting for consultation, and Friday to Saturday continuation

of creation of the PM Proposed Plan and Sunday finalization of papers and PPT.
