LAB EXERCISE 1: WORKING WITH A KNOWLEDGE MANAGEMENT


SYSTEM

Objective
In this exercise, you will create new site collections and sub-sites for knowledge management in your
organization. You will create a top-level site collection by using the Central Administration web site.

Requirements
SharePoint 2016 site collections

A site collection is a group of SharePoint websites that share common ownership and top-level
administrators, as well as common settings, such as quotas and locks. When you create a site collection,
you also create a top-level site in the site collection.

You can create any number of sub-sites in a hierarchy under the top-level site, and a sub-site can inherit
permissions and navigation from its parent site or you can specify them directly at the sub-site level. Site
collections must be created by site collection administrators, but sub-sites can be created by any users
who have been delegated the right to do so.

Site Templates

When you create a new site in SharePoint 2016, you can start with a blank top-level site by choosing
Custom as your template, and then selecting a template later. However, it is more common to choose a
template such as Team Site or Publishing Portal to base the new site on.

The site templates available in SharePoint 2016 are grouped into the following categories:

• Collaboration. This category contains the following templates:

 Team Site
 Blog
 Developer Site
 Project Site
 Community Site

• Enterprise. This category contains the following templates:

 Document Center
 eDiscovery Center
 Records Center
 Business Intelligence Center
 Enterprise Search Center
 My Site Host
 Community Portal
 Basic Search Center
 Visio Process Repository

• Publishing. This category contains the following templates:

 Publishing Portal
 Enterprise Wiki
 Product Catalog

• Custom. Select this category to create a blank site and select a template later.

Site collection Administrators

Site collection administrators are administrators of the site collection. They are given full control of the
site collection and always have the ability to change permissions on objects within the site collection.

Task 1: Creating Site Collections


When you create a site collection, a top-level site is automatically created in the site collection. You can
then create one or more sub-sites below the top-level site.

Use Central Administration to create a top-level site collection in the sharepointsvr web application with
the following properties.

Perform the following steps to create a site collection in Central Administration:

1. To get to the class SharePoint 2016 central administration page go to


http://sharepointsvr.usiu.ac.ke:2184/

Log on as follows

Username: <your logon username>@usiu.ac.ke

Password: <your password>

2. In Central Administration, navigate to

Application Management > Site Collections > Create site collections.

3. Verify you are focused on the http://sharepointsvr web application

4. Type a title, and optionally, a description for the site collection.

5. Specify the web site address URL. It should be something like


https://sharepointsvr/sites/<yourname>

6. Select an experience version and language for the site collection. Select the 2016 experience.

7. Select the template category and the template that you want to apply to the top-level site of the new
site collection. Select the custom category so that we can come back and select the template later.

8. Provide the user names of the primary and secondary site collection administrators. Enter your
username as the primary site administrator. Add pokanda username as the secondary administrator of
your site

9. Select a quota template for the site collection. Select no quota for now. We will come back to this in a
later exercise.

9. Repeat the same process to create another site collection of your choosing

Test the new site collections

• In Internet Explorer, browse to the https://sharepointsvr/sites/<yourname>. Verify that the browser


displays the site.

Select team site when prompted to select a template

• In a new tab, browse to the https://sharepointsvr/sites/<yoursecondsitename>. Verify that the


browser displays the second site.

Select Document Enterprise

Task 2: Deleting a Site Collection


When you delete a site collection, you permanently destroy all content and user information in the site
collection, which includes the top-level site and all sub-sites. You can delete site collections using either
Central Administration or Windows PowerShell cmdlets.

Perform the following steps to delete a site collection in Central Administration:

1. In Central Administration, navigate to Application Management > Site Collections > Delete a site
collection.

2. On the Delete Site Collection page, expand the list of site collections, and select the site collection
you want to delete. In this case delete the second site you created in Task 1

3. Under the URL list, click the relative URL of the site collection that you want to delete, and then click
OK.

4. On the Delete Site Collection page, read the Warning section, and then delete the site collection.

Task 3: Applying Quota Templates to Site Collections


A site collection can be associated with one of the farm's quota templates. When a new site is created in
the site collection section, the properties of the quota templates are applied to the site.

To apply a quota template to a site collection in Central Administration;

1. Open Application Management, and then under the Site Collections section, click Configure quotas
and locks.

2. On the Site Collection Quotas and Locks page, ensure the site you want to add quotas to. In the Site
Quota Information section, under Current quota template, you can do one of two things:

• Choose an existing template in the list. This selects an existing quota template to use for the site
collection.

Select the Template 1 option as shown below

• Choose Individual Quota in the list. This enables you to manually configure individual quota settings
for the site collection.

Select individual quota and add the following details

Quota Setting
Limit site: 1024
Send warning e-mail when site storage reaches: 912
As shown below;

Task 4: Creating a Sub-Site


1. In Internet Explorer, browse to the https://sharepointsvr/sites/<yourname>.

Log on as follows

Username: <your logon username>@usiu.ac.ke


Password: <your password>

2. Go to settings (located on the upper right hand side) then select Site Content

In the site contents page, select new subsite

3. In the New SharePoint Site page select Create and enter the following details

4. Repeat the steps to create a Blog, and a Project site.
