A great opportunity for the researchers to write "Inventory of System of Thadz

Pulutan" which talks about the current system of Thadz Pulutans in term of doing their

manual inventory system which the proponents decided to propose to integrate their

system to an automated inventory system, which will soon be helpful to the business

itself. Doing this study the proponents find source to help them and to make it easy to

understand. I acknowledge with gratitude to our System Analysis and Design professor

Engr. Joy Naguit Sadol who help us finish this study and give some advice to make our

Chapter I
INTRODUCTION
1.1 Background of the Study

The inventory system is the process which tracks the entire stocks to provide the

customers demand. The proponents have decided to come up with this study entitled

"Inventory System of Thadz Pulutan”, that shall be converts their manual process of

managing their inventory into computerized one.

1.1.1 Company Background

1.1.1.1 History of the Company

Jayson Tado, the owner of the business borrowed some money to his 2 friends,

Bryan Reyes and Toti Villas (the 2 Managers of Thadz Pulutan) to start a business called

Thadz Pulutan which is a food delivery service where the order is placed through the use

of Facebook Page and the communication between buyer and Thadz Pulutan is through

Messenger.

Thadz Pulutan officially started August 21, 2020 located at Arasity, Malabon City

in the middle of the Covid-19 pandemic. They first started selling pulutan and when it

begins to have a 100 to 150 customers per day and decided expand their business and add

more products to their menu.

1.1.1.2 Nature of the Business

Thadz Pulutan is a food delivery service that sells pulutan, silog and other

products that they offer through the use of Facebook and Messenger application and

deliver it to the customer/s who placed an order to their Facebook page. The following

pictures shows the products they sell:

1.2 Statement of the Problem

1.2.1 General Problem

Thadz Pulutan does not employ full computerized system, which causes problems

especially when it comes to inventory that results to a lot of time spent in counting and

tallying stocks used, stocks available, and stocks to order, to be able to fulfill daily

orders.

1.2.2 Specific Problem

In terms of inventory of the business’s stocks and products, the following specific

problems arise:

 Inaccurate and inconsistent stock tallying and tracking.

 Manual documentation in making an inventory process is tedious and not secured.

1.3 Objectives of the Study

1.3.1 General Objectives

The proponents decided to design an inventory system that is efficient, user

friendly and easy to manage.

1.3.2 Specific Objectives

 Computerized tracking and documentation of stocks

 Updating the system to monitor stocks efficiently

 To lessen the time, effort and money consumed in conducting inventory process.
1.4 Significance of the Study

The significance of this study is to undergo a process of learning and investigation

on the work flow of a business called “Thadz Pulutan”. This study aims to identify the

business’s problem/s inside and give a solution to a problem that the proponents chooses

to solve. Thus, the results of this study are beneficial for:

1.4.1 Company or for the Users of the System

This study will be beneficial to the users of the system for them to easily solve their

entire problem about their manual inventory system and to improve their company for a

probable growth.

1.4.2 Future Researchers

This study can be served as a source of information and a reference for the future

researchers specifically to those who are in Information Technology students that will

undergone to Systems and Analysis subject.

1.4.3 Proponents

This study is significant for the proponents because this will serves as an

experience to the proponents in terms of solving a problem within the chosen company

as a systems analyst and as a partial fulfilment of the subject.

1.5 Scope, Limitations and Delimitations

1.5.1 Scope

The study covers the development of an automated inventory system for

"Thadz pulutan " it supports updating inventory information for all the items,

monitoring inventory depletion , inventory information to and from external

system or record.

1.5.2 Limitations

The limitation of this study is that the proponents has a limited movements

due to Covid-19 Pandemic which hinders the proponents to gather information

and conduct face-to-face transaction with the business. Also, the proponents

cannot make a real system for the business since schools, universities and colleges

are prohibited to open due to the pandemic. The professor gives that consideration

because it can be time taking and cannot be perfectly done due to lack of

information about the business. In addition to that, this proposed system will still

help the business for their success and their growth.

1.5.3 Delimitations

The proponents decided to exclude other manual process like their sales

because the inventory is the most important part of having a business, as said, it is

the process which tracks the entire stocks to provide the customers demand. Which

means, if you manage the inventory well, other processes will follow or can also be

involved to it.
1.6 Methodology

The proponents used the classic methodology in solving Thadz Pulutan’s problem

in their Inventory System, the Waterfall method. Waterfall model is also called as Linear

– Sequential Life Cycle Model. It is the earliest Software Development Life Cycle

approach that used for software development (SDLC). Waterfall Model illustrates the

software development process in a linear sequential flow. The phases in the development

process will only begin after finishing the previous phase.

1.6.1 Requirement Analysis

In this stage the proponents seek for companies or businesses and send them a

letter of approval given by the professor to ask permission for asking the information of

the company that is needed in this study. Then after, the proponents wait for the response

of the companies’ approval. After the approval of the company or business, the

proponents asked for the information that is listed in the letter of approval. The

proponents also asked common problem about their information system inside the

company for initial knowledge.

1.6.2 System Design

In this stage, the proponents will analyze and study the information that is given

by the company or business. The proponents also identify the problems that is currently

encountered by the company/ business. After identifying the problems inside the

company, the proponents prepared the system design that can help the company /

business to identify the hardware and system requirements that will help to identify the

overall system architecture.

1.6.3 Implementation

In this stage, the system design that is propose or planned by the proponents will

be implemented using the inputs that is gathered from the system design, the proponents

will start to develop small programs that is to be integrated afterwards. Each small

programs is developed and tested for its functionality and purpose.

1.6.4 Testing

In this stage, the proponents will test and integrate small programs into system.

The proponents do the testing to know if there are errors, faults and failures inside the

system design.

1.6.5 Deployment

Once the system design is functional, the proponents will deploy and introduce

the system to the business environment where the users can finally check and use the

system.

1.6.6 Maintenance

The proponents will monitor the designed system in one month and ask for the

comments and suggestion about the system. After identifying problems using the user’s

comments and suggestions, the proponents will update or add necessary programs and

remove some unnecessary programs to be able to achieve ease of use. After that, if there

is no problem encountered, the proponents will check the system design every 3 months

for maintaining the system.

REVIEW OF RELATED LITERATURE AND STUDIES
This chapter discusses the concepts and conducted studies where it is relevant to

deal with this study. This review consists of books, newspapers, magazines, web, articles

and documents devoted to the same topic. Through the various elements of the concept it

further expands the purpose of a study because of the articles, it provides adequate

interaction and communicate with the person.

2.1 Review of Related Literature

2.1.1 Foreign Literature

According to (Johnston,2016), modern inventory systems help your business

maintain profitability. Without a system, you could be wasting money on inventory

without being aware of it. You may be buying too much or not buying enough. You could

be spending money counting and trying to value your inventory. You may also be losing

money because you don’t know where your inventory is.

According to Markgraf, effective inventory control is founded on the principle

that the warehouse operator must be able to satisfy all demands for material out of

inventory while keeping inventory as low as possible. To fulfill this objective,

inventory control systems need characteristics that allow companies to keep material

secure and identified and functions that facilitate the satisfaction of demand. Inventory

control systems that track material securely and predict demand accurately can satisfy

the main principle.

According to Janes (2011) stated that computers are extremely reliable device and

very powerful calculators with some great accessories applications like word processing

problem for all of business activities, regardless of size, computers have three advantages

over other type of office equipment that process information because computer are faster,

more accurate when it comes to inventory system.

2.1.2 Local Literature

According to Bisagas, and et. al (October 2009). The process of counting the

sacks of rice is done manually, which corresponds to difficulty in tallying the number of

available stocks and sold items. The Manual generation of inventory reports such as

daily, weekly, quarterly and annual inventory list of records remains as one of their key

problem since the establishment of the business. The transaction processing system for

Best Choice Rice Dealer will minimize the difficulty the owner in processing inventory.

It will monitor the availability of product items for reorder to prevent under stocking,

overstocking or running out of stocks. The system will also generate necessary reports of
inventory such as sales reports which helps to prevent a problem in consuming time in

monitors their inventory.

According to Arivada, and Tanteo (October 2009). The process of counting the

2.2 Review of Related Studies

2.2.1 Foreign Study

According to IBM(October 2012) Innovations such as just-in-time manufacturing

bar codes and RFID tags have revolutionized supply chain management. Unfortunately

these innovations have brought with it staggering amounts of data to deal with. This

paper outlines some of the major factors affecting inventory and supply chain

management. With the help of inventory system they much monitors and deal with every

data much easy and less hassle to monitor.

2.2.2 Local Study 13

Based on the research entitled “Computerized Sales and Inventory system for

Ronmon Trading” (de Alday, Espino, Ragudo.2010), the replacement of the manual

system with the proposed system provided more efficient and accurate processing of

transaction. The said system is much reliable, eliminated errors and inaccurate

information, and provided valuable reports with integrity.

THE CURRENT SYSTEM
3.1 Current System Overview

Thadz Pulutan’s Inventory System is currently using the oldest and most time

consuming way of documenting inventory process to track and manage their stocks

where their record maintenance is done by hand, without using a computer system or any

automatic system. Stores like Thadz Pulutan needs to have a reliable system that helps

the business and the user to improve the growth of the business using an efficient, user

friendly and easy to manage inventory system.

3.2 Current System Outline / Procedure

I. Ordering Ingredients from the Supplier

A. Owner, Co-owners, Manager, and other staffs rechecks the stocks that is

available, few and out of stocks using the documents from yesterday’s inventory.

B. Manager lists the amount of ingredients that is few and out of stock.

C. Two of the staffs goes to the market place with the list of ingredients.

D. Buy the list of ingredients to the supplier.

E. Go back to the working place.


F. Manager checks and document the ingredients that has been added to the stocks

with the current date indicated at the uppermost part or the log book.

II. Identifying of Ingredients Used for the Orders

A. Manager and head chef portions the ingredients needed in each dish.

B. Staffs prepares the ingredients.

C. Thadz Pulutan staffs post available products for the day’s menu to their

facebook page and to facebook market.

D. Customer/s inquire products / food from the Thadz Pulutan Menu through

messenger.

E. Customer/s placed order through messenger.

F. Once the customer is sure of their list of order, manager approves and list the

order/s of their customer.

G. Manager writes the customer’s name, list of order/s, mode of payment and

price of the product to their log book.

III. Identifying the Quantity of Ingredients to buy in the next day

A. Co-workers and Manager, counts how many products has been yield using

ingredients prepared per portion in the current day.

B. Co-workers and Manager, counts the total sales for the day that is documented

to the log book.

C. After counting the sales, Staffs count the current stocks.

D. They tally the total sales, available stock and the stock that has been used.

THE PROPOSED SYSTEM
4.1 Proposed System Overview

The proponents focuses on the automation of the inventory system of Thadz

Pultan. It revolves around employees’ quick processing of things inside the work place.

Thadz Pulutan has its own facebook page where you can see all the products that they

offer. Instead of manually documenting customer’s information and orders, the inventory

system of Thadz Pulutan will be processed by automatically documenting information to

track the entire stocks to provide customer demand. It can also be used to update the

inventory information for all the items and monitoring stocks.

4.2 Proposed System Outline

Introduction of Automated Inventory System

A. Opening of the Software Application

B. Asking for product list and details including the raw ingredients used per

product.

C. Entering product list and details.

D. Saving product list and details once it is accurate and correct.

E. Asking for yesterday’s Inventory document such as products sold and raw

ingredients used.

F. Entering the yesterday’s Inventory document.

G. Saving yesterday’s Inventory document once it is accurate and correct.

H. The system will automatically generates inventory document from yesterday’s

inventory.

I. The system will automatically identifies the stocks that are few and out of stock

raw ingredients, generates a list of it and prints the list of it.

J. Users can print the updated inventory documents if they wanted to have a hard

copy.

SUMMARY AND RECOMMENDATION


5.1 Summary

To sum all the information and knowledge about having an automated system in

Thadz Pulutan’s food delivery business will give a big help in minimizing the time

consumed in manual inventory and manual tracking of stocks. It also helps the staff to

have an easy transaction to the customers.

5.2 Recommendation

The proponents recommends to future researchers to try to include sales system to

further explain or demonstrate the efficiency and importance of having an automated

system inside a company or business.
