Data Processing Cycle

INPUT PROCESSING OUTPUT

Data processing is the reorganization or rearranging of data by individuals or machines to make it


more valuable and usable for a certain purpose.

Input − In this step, the input data is prepared in some convenient form for processing. The
form will depend on the processing machine. For example, when electronic computers are used,
the input data can be recorded on any one of the several types of input medium, such as
magnetic disks, tapes, and so on.

Processing − In this step, the input data is changed to produce data in a more useful form. For
example, pay-checks can be calculated from the time cards, or a summary of sales for the month
can be calculated from the sales orders.

Output − At this stage, the result of the proceeding processing step is collected. The particular
form of the output data depends on the use of the data. For example, output data may be
pay checks for employees.

Question 1. What is computer software? (10points)

Computer software refers to programming code that is executed on the computer hardware
that facilitates the completion of tasks by a computer. It is important because it allows your
computer to perform important tasks while also allowing you to work efficiently on your device.

Question 2. What is the difference between computer software and computer hardware?

Computer software is a set of instructions, data or programs that are used to perform different
tasks on a computer system and it can either be a system or application software. Examples of
this are Windows, Linux, browsers, MS Office, and Adobe PDF reader. On the other hand,
computer hardware is the physical parts of a computer which provide support for significant
functions such as input, processing-system unit (internal storage, computation, and control),
output, secondary storage (for data and programs), and communication. Examples of
computer hardware are monitor, memory device, printer, mouse, keyboard, and CPU (Central
Processing Unit).

life more comfortable and faster but, some of this software is created by hackers to harm and
destroy our computers, not just computers but also the users of the computers.

What Law punishes the one who uses the computer to commit a crime? (10 points)
Republic Act No. 10175, also known as the “Cybercrime Prevention Act of 2012” is an act
defining cybercrime, providing for the prevention, investigation, suppression and the imposition
of penalties therefor and for other purposes. It also provides rules of conduct and standards of
behaviour for the use of the Internet, computers, and related digital technologies, and the
actions of the public, government, and private organizations.

2.Give at least 5 ways on how to prevent malwares in your computer.

Microsoft Word is a full-featured word processing program for


Windows and Mac operating systems. MS Word is a popular
word-processing program used primarily for creating

tests, quizzes, and students' homework assignments.
Microsoft Excel is a spreadsheet program that features
calculation, graphic tools, pivot tables, and macro
programming language support for Windows and Mac
operating systems. That means it is used to create grids of
Microsoft Excel text, numbers, and formulas specifying calculations. That is
extremely valuable for many businesses, which use it to
record expenditures and income, plan budgets, chart data,
and succinctly present fiscal results.
Microsoft PowerPoint is application software used to present
data and information by using text, images, diagrams with
Microsoft Powerpoint animations and transitional effects, etc. in slides that help to
explain the topic or idea in front of the audience quickly and
practically.
Microsoft Publisher is an Office application that allows you to
create professional documents such as newsletters,
Microsoft Publisher postcards, flyers,
invitations, brochures, and more using built-in templates.
Microsoft Access is a database management solution for
Windows operating systems. Microsoft Access is an
information management tool that helps you store
Microsoft Access information for reference, reporting, and analysis. Microsoft
Access helps you analyze large amounts of information and
manage related data more efficiently than Microsoft Excel or
other spreadsheet applications.
Microsoft OneNote is a free-form note-taking program for
Windows and Mac operating systems. Use it to capture and
organize digital notes. Add images,
Microsoft OneNote diagrams, audio, video, and related content.

Microsoft Outlook is an email program for Windows and Mac


operating systems. Microsoft Outlook is an application that is
Microsoft Outlook used mainly to send and receive emails. It can also be used
to manage various types of personal data,including calendar
appointments and similar entries, tasks, contacts, and notes.

Activity 5.2

Directions.
A. Write the steps on how to Create a new Document in Microsoft Word.
1. Open Microsoft Word 2010 on your computer. Once it is selected an opened a window
will appear and looks like this.
2. You can also Open Word by double-clicking on the desktop icon for Microsoft Word
2010.
3. To start your document, notice the cursor or the blinking line that appears on the
screen. It indicates where your text will appear. Now, you are ready to start with your
document, but before that, let us determine first the different tabs, groups and
commands in the Ribbon. With this, it will be easier for you to locate and determine
what command to use in editing your document.

B. Write down the steps on How to Save the file for the first time.
1. Click on the File Tab.
2. Click on the Save As button. We use “Save As” instead of “Save” the first time we save
a file because we need to tell the computer where to put the file (the file doesn’t have
a “home” yet). “Save” assumes you’ve saved it before.
3. Notice that a smaller window appears in front of our work. This small window is called
a dialog box. Because the computer needs to know more than just “OK, save,” the
dialog box is where we tell it how we want to save our work.
4. When it comes to saving, there are two important things to identify for the computer:
1. The location where the file is going to be saved to.
2. What name you want to give the file.
5. The location where it will be saved is displayed for us in the Address field. In this
case, note that the Documents directory is the default save location, but we want to
save our file to the flash drive.
6. Notice other available folders and devices can be seen in the left pane, called the
Navigation pane. If we wanted to save to one of these alternate locations, we would
have to click on it.
7. Find the location labeled Kingston (I:) and click on it. Kingston is the name of the
company that created our flash drive.
8. Your address field should now read Computer > Kingston (I:).
9. Now we need to name our file. Notice that the file name field is towards the bottom of
the dialogue box. By default, Word names the file after the first few words that were
typed into the document.
10. Click into this box and the words will be highlighted. Then type the word first to name
your file ‘first’.
11. Once we have given the computer a file name and a save location, we are ready to
save. At this point, your Save As dialog box should look like the image below. To save,
you will click on the Save button.

1. Click _Page Layout_ tab.
2. Select _Orientation_.

B. To add columns to a document:


1. Select the _text_ you want to format.
2. Click the _Page Layout_ tab.
3. Click the _Columns_ command. A _drop-down_ menu will appear. Adding

4. Select the _number of columns_ you want to insert. The text will then _format_
into columns.

Directions.
1. Write down the Steps you used on How to print the document in Microsoft Word.

Steps on How to print a document:


1. Open the File tab, and click on Print.
2. Notice the Print Preview pane on the right. This shows you what your document will look
like when printed.
3. Note how the page color is not being displayed. This is because printing background
colors and images is an option you have to select in the Print Options. By default this
option is not checked because printing background colors uses a lot of toner.
4. Check the number of pages in your document by looking in the lower left of the Print
Preview pane.
5. Scroll down or use the right arrow to see page 2.
6. To see both pages of your document side by side, lower the zoom using the zoom slider
at the bottom right of the Print Preview pane.
7. Choose the number of copies, and any other options you want, and select the Print
button.
8. If you need to amend your document, click on the Home tab and make all necessary
changes.

2. Create a one page “Love Letter” in Microsoft Word using the commands and formatting
discussed in the previous lesson and print and attach a copy of your letter in this module as
for your output next meeting.

A. Write the steps on how to enter text or data in a worksheet.

B. Write down the steps on How to Save a spreadsheet file for the first time.

1. Click the File tab and choose Save As. The Save As dialog box appears.
2. Click the Browse Folders button (with the triangle pointing downward) to expand the
Save As dialog box if necessary. When you expand the Save As dialog box, the
dialog box displays the Navigation pane, where you can select a folder.
3. Type a descriptive name for the file in the File Name box.
