1.1.1.1. Exception:
a) For type B suppliers, the sample provided by factory could be supplier's own approval
sample; the sample sealing should proceed and the inspector should write remark on the
sealing information form clearly. Please find supplier type from supplier classification stated

1.1.1.2. Inspector/OO should understand ‘supplier type’ per Booking/PO sheet. To make sure who are
authorized to sign off sample. Before using approval sample, verify its identification according to
supplier type which would be listed on Confirm Booking. If no show the supplier type on booking,
should call back OO to get this information from the supplier, otherwise, the job should not be
proceeding.
Note: For type B supplier and department 07, retail market is Canada, which approval sample for
Toys belongs to private label ( listed as below)products are required to follow type A process of
approved sample. So It needs the WGS Sourcing team or MQE sign and approval. It is invalid if
sign by supplier or buyer. Private label involved:

1.1.1.3. Wal-mart approval chop format for reference (sometimes with somebody’s signature from Wal-mart.
The dept. No., location, or signature may be varied case by case.)
1.1.1.4. For “Random Assortment”, approved sample requires full style (shape) cover full color. No
additional confirmation need actually. If inspector find approved sample not cover full color, he should
call back BV office and wait for further instruction (BV office need to contact WGS on-site staff to get
further instruction).
1.1.1.5. If there is any color deviation found between the approval sample and mass products, inspector
should call back BV office and wait for further instruction. (BV office need to contact WGS MQE to get
further instruction, e.g. whether or not abortive for Color Deviation)
1.1.1.6. WGS will ask their team who signed the sample to indicate if the product is “"Random assortment”.
Meanwhile, if the Supplier/ Factory showed BV inspector evidence of “Random Assortment”, inspector

and constructions, but for size, WGS will not sign off the complete samples for each size,
inspector can refer to the dimension claimed on the approved packaging

3) PO doesn’t require slip sheet/inner carton/palletainer, but actual
production with slip sheet/inner carton/palletainer. Sourcing can
approve it.
Special authority 1. If no approval sample available
for MQE and MQE can empower supplier to sign off sample by email.

proceed inspection by email (with product photo). Inspector should
follow photo for comparison.
Note:
- 1 year validity of email issued date.
- Tick ‘NO’ in the field of ‘Approved sample ‘in the Inspection
Report as per below screen.
- Put an informative remark. MQE XXX approved to proceed

inspection per photo (Approved date: DDMMYY)” in the
Inspection Report.
1. If no PO# available, MQE can approve to proceed sample

sealing as per “Quoted ID”, But factory should put the quoted
ID on each shipping package for identification. For such
condition, factory should provide 500pcs packed product at
least (PO qty>500)
In case, factory have no AD label on the package for PO verification.
The sample sealing still can be proceed only if the actual PO number
has been marked on individual cartons as alternative way.

Note 1: The approval from MQE/Sourcing team regarding any changes of approved sample’s artwork
(label, card, tag. user manual …etc.), it is acceptable. However, if the approval regarding the nature of
product itself such as, style, accessory, size, material… it will not be acceptable because it only can be
approved by WGS QA Operations (Shenzhen) Team.
Note 2: For supplier B inspection, any changes of approved sample’s artwork (label, card, tag. user
manual…etc), the approval email from supplier B, it is acceptable. However, if the approval regarding the
nature of product itself (such as style, accessory, size, material, etc.), it will not be acceptable because it
only can be approved by WGS QA Operations (Shenzhen) Team.
1.3.2 Special requirement for samples send to PD (Product Development Team) for D71 & D74: For
D71 and D74, a sample tag should be attached to the sample in the sealed package intended for the PD
team. The factory would inform and provide the tag to the inspector during the process.
Note:
a) The sample tag format provided by the factory is not required to check.
b) It is the supplier/factory’s responsibility to complete the information on the Sample Tag and
inspectors only need to verify if the Vendor Stock Number on the tag is for the sample they will be
sealing.
c) There is no specific guideline on how to attach the sample tag as long as it goes with the product
intended for PD (The inspector may ask the factory for 2 copies. 1 copy placed inside the
package and the other on the outside similar to what we were doing for PT sample sealing.).
d) If the factory could not provide the sample tag, no need to abort. Remark on the report that one
set of sample is intended for PD but sample tag was not provided by the factory. (WGS can help
remind the factory that the tag is required for samples intended for TD on the department
mentioned.)
e) For D71 US DOTCOM order, Dotcom items which did not include any dimension on their packing
are acceptable. Just make sure production is same as approved sample is ok.
2. Production Status Check

2.1. Visit In Vain and BV standard procedure and use SD036 to record practice.

- If the approval sample expired, the sample picking should be aborted. Factory/supplier need to get
the approval from WGS QA staff (MQE) to continue the sample sealing if the approved sample
already expired.
- WGS MQE can extend the valid date of approval sample for sampling service.
- Invalidated or incomplete sign-off sample will lead to abort if no related approval email available in

2.1.5 For “Random Assortment” product color deviation is not a discrepancy, if the Supplier/ Factory showed
you evidence of “Random Assortment”, OO needs to inform On-site to check the PO firstly before an abortive
for Color Deviation.
2.1.6 Product scope: HL furniture,
1) For individual sampling serving for lab test, assembling the approval sample is not required for
verification.
2) For combined service with inspection and sampling for lab test. It is required that approved sample
need to be assembled for verification.
2.1.7Effective from 15 Nov, 2016, WGS requests to block the production test sample seal process for
WM USA Department 3 private label “Casemate” as attached photo.
2.1.8For HL, EE and soft home product, if Main body of product was sign off by WM, however some small
part or accessories was missed, it can be approved by MQE or sourcing team and then won’t affect the
sampling result.
2.1.9For all Direct Import sample sealing service: Sample sealing can be proceeding even the actual
department number on the shipping mark is not same Booking Form claim. Put a remark on the
sampling form
3. Independent Sample Collection Service

3.1. Report Format: Generic Sample Collection Report Format（SD037）+ Walmart “Production Testing Sample Selection

3.2. Production 3.2.1 Production test samples of each new item (item = individual UPC) must be collected and sealed
Completion: by the third party when at least 10% of the units from the initial PO(s) are produced and packed in
final packaging, which means in master carton, not in Retail Packing. If the quantity does not meet
the required minimum, sample seal Must not be conducted and treat as “visit in vain”.
Remarks:
- Initial Pos = the Pos scheduled for production during the first month).
- AD label is required for WGS US retail market. And AD label has PO# for tracking. If production has
no AD label available, sample sealing also can be proceed as long as the PO# available on the
shipping package.
- When POs are combined, the total quantity for sample sealing is calculated based on the combined
quantity of these POs. Means if there are more than 1 POs cover same item, it’s not require each
PO to arrive minimum finished products. When finished and packed into master carton qty of all POs
meet the 10% request, sample sealing can be proceed.
For example: Factory combined 2 POs (Combined quantity is 5000 units) for sample sealing purpose
to cover all the SKUs required to be sealed. In case factory can get 500 unites completed and packed
into master carton, no matter for which PO, sample sealing can be arranged.
- For PO contents multiple items:

 If it is combined testing (multiple items are combined in one report), only the total quantity need
to meet the minimum quantity requirement, but each item should be prepared in proportion to
the order quantity.
 If it is an individual test (each item has separate testing report), each item must meet the
minimum quantity requirement.
- For Multiple items with multiple POs:

 If it is combined testing (multiple items are combined in one report), only the total quantity need
to meet the minimum quantity requirement, but each item (each PO not required) should be
available in proportion to the order quantity.
 If it is an individual test (each item has separate testing report), each item (each PO not
required) must meet the minimum quantity requirement.
 For shoes, minimum 500 pairs of shoes must be produced during sample sealing even the PO qty is
smaller than 5000 pairs.
 For US Market only: A Minimum of 500 units must be produced and packed in final packaging for PO’s
where fewer 5000 units are ordered. Please see the following detailed example about the requirements.
Inspector should check with factory it is combine testing or separate testing. Normally Auto define the
individual item application is separate testing. If the factory claim some items are combine test. Then
record and follow it.

 Special requirement for Canada clothing order packing status.

The requirement that at least 10% of the order made, labeled and be in the retail packaging remains
unchanged, but factory need not pack the finished goods into the master carton. Please find “order
destination” from Retail market stated on “Production Testing Sample Sealing Application”, left column of
“supplier classification”.
3.2.2. Inspector need to check whether the product is children product refer to “Production Testing Sample
Sealing Application” form – “Children product Yes__No__” column as below Print Screen:
3.2.3 For Top Sample sealing for footwear, the production status requirement should be same as
testing sample sealing.
3.3. Sampled Quantity As per the guideline: Sample requested refer to “Production Testing Sample Sealing Application” form –
“Sample quantity requested (Pieces)” column as right PrtScrn.

Note:
1. The supplier may need to seal some additional samples of trim (I.e. zipper, snap button…etc) and
inspector can seal them together with the products per request.
2. For WGS footwear, BV inspector needs to seal Top sample when proceed Lab sample sealing for
the product only with WM private brands (refer the list in below) for US market.
1) Need to follow below guideline to handle:

- 1 pc of each color Top sample size is the same as approval sample
- Seal 2 sets Top sample at factory.
- Ask the factory to provide Walmart Footwear Sample Tags (refer to the example below),
and attach them to the TOP samples before sealing.

“Production Testing Sample Sealing Application” information, and product own self information if have.

3.4.2 Refer to the “approval sample” in the factory, but no need quality check for approval sample or sample
from shipment. If the approved sample is sealed by polybag or box. The inspector may break the sealed
‘approval sample’ when necessary for their reference check, and it need to be sealed after use
immediately with the egg crack labels. Please record down the no. of egg crack label at BV report.
Remark: Walmart need the pulled sample is truly reflecting the real production, so inspector does not
need to pull “good” samples. Inspector just needs random pull samples from the packed cartons.
3.4.3 Count the production quantity (packed).
3.4.4 Randomly pick the samples from the finished production from packed cartons only. A sample should be
drawn completely, with full selling packaging. Do not draw any sample from unpacked production. Do not
draw any sample picked / provided by supplier / factory.
- If factory request inspector to seal additional sample of sprayed, dipped or painted parts, the
inspector may follow it, but must remark it at Wal-mart “Production Testing Sample Selection
Information” sheet. Those dipped/sprayed/painted parts must be of the same material used for
production or a plain glass plate.
- The inspector should visual check if the dipper/sprayed/painted parts material is same as
production, then pack them into a polybag (or inner carton).
- Individual component part is not necessary to have egg-cracked label stuck on it as it will hinder the
surface coating test afterwards, but the polybag (or inner carton) should be sealed by egg-cracked
label. Then the sealed polybag (or inner carton) will be packed together with the product samples
into the same master carton following normal sample sealing procedure.
- Liquid paint/print/ink contained in bottle is not acceptable and will not be sealed.
3.4.5 Apply to Retail market Seiyu:
Refer to the sample sealing application booking form, if the Retail market is “Seiyu”, then inspector
need to seal two sets of samples separately during the same visit.
For Garment:
- 1 set for testing – use Egg-cracked labels and follow the current IFI instructions.
- 1 set for Seiyu inline reference - Do Not use Egg-cracked labels, attach “BV seal” on each sample
by color way by size. The samples will be put into another carton (not the same carton as the
testing samples). Inspector need to fill in another “Production testing sample selection information”
form and insert it into the carton (The “Remark” portion of TSSI form shall indicate “Seiyu In Line
Reference Samples” for identification.). There is not necessary to put egg-cracked labels or BV
logo tape on carton.

- Sample sealing for Seiyu inline reference can be conducted when garment is in polybag/retail
packaging stage with trims and accessories but not necessary be packed.

For Footwear:
- SAMPLE SEALING PROCESS for Production Testing purposes remains the same as the normal
procedure.
- SAMPLE SEALING PROCESS for TOP (Top of Production) or as required by SEIYU done
concurrent with PT sample pick-up/sealing should be attached with one EGG CRACK label on
every pair and be applied to the flat surface of the sample. Supplier will provide the specific
size/color of the required samples.
- Both set of samples has to be sealed in separate boxes/carton and closed with the 3PS tape as the
normal procedure.
3.4.7 For Softline (Apparel, soft home & footwear categories defined by WGS) production only:
- “Inspection file” is available with approved sample for each sample picking, in which UPC info is
part of inspection file.
- Inspector needs to copy UPC info, and put the copy into package with picked sample, so UPC info
can be sent to lab together with sample.
- In case there is no inspection file with approve sample, inspector need to leave a remark in the
sample sealing summary, so testing staff will check hang-tag as WMSL domestic order.
3.4.8 Production sample sealing for retail market Canada only – Footwear & Apparel: If the factory requests
our inspector to draw 2 extra pairs of production samples at the same time of sole PT Sample sealing, we just
follow it although it is not mentioned at booking form. The 3rd party tape is used for production sample sealing,
please seal one pairs in one parcel as one parcel will be sent to Canada, and the other will be sent to WGS
Shenzhen.
3.4.9 For multiply item going to be selected and sealed, Check with supplier / manufacturer to ensure
whether combined or separated pack for sealing is correct because they are the one who know clearly how is
the correct method to submit the test samples for lab testing.
b. “Egg Crack” label 3.5.1 “Egg Crack” label with ‘’BV” wording and serial number is used for sealing every sample and carton.
Every “Egg Crack” label has one individual serial number. Once “Egg Crack” label is stuck on product
or packaging, removing the label only cause crack pieces. 2 types egg crack label are used at present,
one is thicker, and starts from number directly. E.g.: 000203. This is used for hardline products job. For
the special character of textile product, there is another thinner egg crack sample with letter “S” at pre-
fix of the label No. E.g.: S020002. That is used for sticking textile made product, mainly for garment,
home textile (towels, table cloth, handkerchief, etc.), Footwear, Softline accessories (socks, scarf,
gloves, hats).Whatever, only one egg crack label type could be used in one job.
3.5.2 When OO has used up those hardline type egg-cracked labels for hard goods, OO can use Softline type
egg-cracked labels (thinner) on hard goods.” However, OO cannot use hardline type egg-cracked labels
(thicker) on soft goods.

 Inspector need to follow the below steps for correctly sticking the labels.
Step 1. Stick the label on the textile surface.
Step 2. Grasp the label with hand to make the label become wrinkle and crack.
Step 3. After grasping, the label should be wrinkled and with many and obvious cracks on it. Under such
cracking condition, label will be difficult to be peeled off completely for changing sample purpose.
3.5.3 “Egg Crack” label cannot cover any wording on product or packaging. If cannot find a suitable space to
stuck “Egg crack” label, may use extra wrapping material (I.e. polybag) to wrap that product and sealed

by “Egg Crack” label. Mark it on wrapping material with “For transportation only” and take the photo for
record. Also the correct way to seal polybag is firstly applying the tape on the open seam of polybag,
then apply “Egg Crack” label partially on the tape and partially on the polybag.
3.5.4 For three-dimensional joint seam (open seam) of packaging, one “Egg Crack” label should be stuck on
seam, and over 2 faces.
3.5.5 Do NOT cover “Egg Crack” label with any adhesive tape on top of it, due to such adhesive tape may
disclose egg crack label fully without missing small piece. That affects security of egg crack label
sealing.
3.5.6 DO NOT cover the claim info with Egg-Crack label, claim info is very important for lab testing, when stick
Egg-Crack label to the production, inspector should avoid claim info.
3.5.7 Footwear: egg crack label should be pasted on upper only, prefer on vamp or counter. Press the label on
upper, create the cracks, and make sure the egg crack label could not be peeled off from upper
completely.
Note: For Footwear TOP sample sealing: BV egg crack label can NOT be used on the TOP sample,
inspector just need to seal the sample packaging with the egg crack labels.
3.5.8 For seal sample, Within one sample sealing report No., try best to keep the sequential serial numbers of
“Egg Crack” label that stuck on samples. E.g: Total sealed 8 samples, the serial numbers should be from
000001 to 000008, or 000016 to 000023. It is for easy tracking and record.
3.5.9 For food contact products, the egg crack label is not allowed to stick on the food contact area of the
selection sample, but still needs to stick in other suitable place which will not cover any wording of the
sample. For example, at bottom of the food container (I.e. Bowl, disk, cup, pan, etc).Below are False
examples:

c. Seal carton and Client Specific, please see below detail :

BV Chop and
Tape: 3.6.1 Use BV-logo sealing tape to seal carton by “H” shape seal at both top and bottom sides, and carton
vertical jointing seam(s) (1 or 2 seams according to carton type).
3.6.2 Stuck Wal-mart “Production Testing Sample Selection Information” sheet (the original copy) on top
opening of the carton, and insert another carbon copy into carton. The sheet on outside of carton must
be readable, and cannot be covered by any label, non-transparent gummed tape, or express sheet.
3.6.3 Inspector should double check and ensures all filled information on “Product Test Sample Selection
Information”(TSSI) form is complete and accurate before sealing the carton.
3.6.4 If any change is made to TSSI form after the carton is sealed, e.g. revising egg label no., and lead to the
original TSSI on top of carton is different than the copy one inside carton, then inspector should follow
below rule:
- Write down all revised points in “Remarks” section of TSSI form, and highlight “the original one is
different than the copy inside carton”
- Take clear photo on original TSSI
- Report the discrepancy in BV sample collection report
- Notify BV office supervisor immediately, also update factory if necessary
3.6.5 Choose proper position to stuck “Egg Crack” label nearby BV-logo seal tape, and keep the sealing
security. “Egg Crack” label position at top side of carton as below: - half on BV seal tape and half at
cardboard.

3.6.6 Do not place an “Egg Crack” label on sealing tape fully. The correct method should be half on sealing
type, half on carton’s cardboard.
3.6.7 Not necessary to keep a sequential serial number for “Egg Crack” label that stuck on cartons.
d. Reporting / Photo Client Specific, please see below details
Taking:
3.7.1 Seal sample and carton according to Wal-mart “Sample Sealing Guideline” photo examples”. If the
wrapping material (e.g. polybag) is not part of the product or part of packaging, mark it on wrapping
material with “For transportation only” and take the photo for record.
3.7.2 Wal-mart “Production Testing Sample Selection Information” sheet filling:
3.7.2.1 All columns on “Production Testing Sample Selection Information” sheet should be filled
completely.
Note: please refer the comment in enclosed file for how to fill the information for below 3 columns.
3.7.2.2 New version of the production testing sample selection information (form) will be effective on 5th
August, 2014.
 Inspector needs to tick “Yes” if finished products meet the minimum quantity requirement.
 Inspector needs to tick “NO” if finished products NOT meet the minimum quantity
requirement.
 Inspector needs to have MQE e-mail to approved when inspector tick the “NO”.
 The inspector need record the name and e-mail address in the selection form when WGS
MQE is approved the finished quantity not meet the minimum quantity requirement
 Inspector should take a photo showing that MQE name & e-mail address, and keep in BV
sample sealing report for record.
3.7.2.3 Effective July 1, 2015: The new format was added a new column as below to record 3

documents (Sample tag, BOM & Toxic in package) submit status check. (The inspector is
no need to check the information in the documents but just tick the status.)It is required to
tick “Yes” if supplier/ factory provide these documents to seal together with the selected
production test samples. It is required to tick “No” if supplier/ factory did not provide these
documents to seal together with the selected production test samples.
Note: The inspector must refer to example documents (Sample tag, BOM & Toxic in package) in
ftp for reference.
3.7.2.4 Observed Produced Quantity for seal sample.
 This means actual observed finished goods quantity instead of quantity of sampling. When
complete this info in “Production Testing Sample Selection Information”, inspector shall
make sure to fill info correct info.
 Inspector must indicate the detailed quantity breakdown on the two sections of Supplier
Claimed PO Quantity and Observed Produced Quantity for Seal Sample of “Production
Testing Sample Selection Information” form as below example:

3.7.2.4 For WM CA D17/ D20/ D22: BV Inspector will ask factory/supplier to provide “Online
Content”.
1) If supplier confirms they have and provide it, then put “YES” and take a photo insert into sample
sealing report.
2) If supplier confirms they do NOT have it, then put “NO”. And record who confirmed this. (Name,
email, phone number).
3.7.3 No need copy BV sample sealing report to factory. However, need copy Wal-mart “Production Testing
Sample Selection Information” to factory.
3.7.4 A copy of Wal-mart “Production Testing Sample Selection Information” sheet should be took back BV
office.
3.7.5 Inspector need to take photos as below:
- The factory front gate
- Wal-Mart approved sample(s)
- Finished good warehouse where sample selected
- Finished goods condition when samples are selected
- Over view on all selected samples before they are packed into the carton
- Over view on samples after they are packed into the carton but before closing of carton
- Over view on carton sealed with the ‘Production Testing Sample Selection Information’ form.
