1. What is Project Scope Management?

Project Scope Management is concerned with determining what work is to be


done by the project and what is not part of the project. Project scope management
includes the processes involved in determining the project activities for successful
project implementation.
A project scope is the work that needs to be done to create a product/service or
an outcome with predefined performance characteristics and features. The output of
the project provided to the customer can be a product, service or a report. [1]
For example, a market research project that a consulting firm undertakes under
a contract with a client will include research activities conducted to produce research
results that meet the requirements and Certain quality standards have been predefined
in the contract agreed with the customer.
Scope management is critical to successful project execution. Studies have
shown that unclear definition of project scope and outcomes is often a hindrance to
successful project implementation.

2. Project scope management process


Scope management consists of 6 processes :
● Planning Scope Management: is the process of creating a project scope
management plan that describes how the project scope will be defined. Which,
how to check and control. The benefit of this document is to provide guidance
and direction for scope management throughout the project.

● Collect Requirement: is the process of defining, documenting, and managing


the requirements and expectations of project stakeholders in order to achieve
project goals. The benefit of this process is that it provides a basis for defining
and managing project scope including product scope.

● Define Scope: is the development process that describes the details of the
project and product. The benefit of this process is to describe the project,
service, or outcome constraints by defining which requirements are within the
project scope and which are outside the project scope.

● Create Work Breakdown Structure (WBS): is the process of breaking down


deliverables and project work into manageable chunks. The benefit of this
process is that it provides a structured view of the deliverables the project will
deliver.

● Validation Scope: is the formal process of approving completed deliverables.


The benefits of this process are that it provides objectivity in the acceptance of
deliverables and increases the chances of the final products being approved by
the customer through the approval of all deliverables. delivered throughout the
project.

● Control Scope: is the process of monitoring the status of the project and
product scope, as well as managing changes to the scope baseline. The benefit
of this process is that it allows the scope baseline to be maintained throughout
the project and prevents scope slip.[2]

3. Importance of project scope management


The following reasons summarize the importance of Project Scope Management:
● The project scope outlines necessary concepts like the project scope,
deliverables, and other project constraints – so inevitably project scope
management becomes extremely important for any project.
● One of the most important outcomes of effective project scope management is
that the deliverables match the stakeholder’s requirements. Therefore, it saves
any shortcomings when it comes to project requirements.
● Any unprecedented changes in either the project budget, requirements, or
deadlines, is easily dealt with by the processes involved in each of the project
scope management processes. [3]

For a project manager, managing the expectations of the stakeholders and clients is
one of the most challenging tasks. With a definite project scope, managers can easily
stay on track and ensure that all the deadlines are being followed throughout the
project life cycle.

A well-defined project scope management helps avoid common issues like:


● Constantly changing requirements
● Pivoting the project direction when you are already mid-way
● Realizing that the final outcome isn’t what was expected
● Going over the discussed budget
● Falling behind the project deadlines

Effective project scope management gives a clear idea about the time, labor, and cost
involved in the project. It helps to distinguish between what is needed and what isn’t
needed for accomplishing the project. Scope in project management also establishes
the control factors of the project to address elements that might change during the
project life cycle. [4]
