Team 4 topic:
As the Sports Event Head of our college, arrange a second meeting to make this year’s
sports successful. Keeping in mind the space constraint. Indoor as well as outdoor games
to be considered.

8th September 2022

It is hereby informed that the second meeting of the Sports Event will be held in Room No 206
2nd Floor of the college at 2:30 pm on 12th September 2022. The Agenda is attached.

MINUTES

Date: 12th September, 2022


Location: Fr. Conceicao Rodrigues College of Engineering, Bandstand,
Bandra(W), Mumbai 400050

Members Present: Siddharth Nair, Anthony Benno, Amish Nair , Rex Melgibson, Yash More,
Alisha Menezes

Members Absent: Siddhi More, Yayati Nakhate

Reading and approval of minutes: The minutes of the meeting held on 12th September 2022
was read and approved by all the members

Agenda 1: Finalize the games

Discussion: The members decided to keep indoor as well as outdoor games.


Following are the list of the games:
Individual games:- Chess , table-tennis , Badminton
Group games:- Basketball , Football , Kabaddi
For the Group games 5 players will be on the court and 2 players will substitute.

Action: Ms Alisha has been told to make google form to get the participants.

Agenda 2: Finalize the timing for each game

Discussion: As per time constraints the event should get over by 4:30pm,the members decided
to conduct indoor and outdoor games parallelly.

Agenda 3: Referees for each game

Discussion: The members decided to keep professional referees for outdoor games . For indoor
games members suggested for a person who is well versed with the games who knows all the
rules and regulations of the game.

Agenda 4: Arrangement for the snacks and lunch

Discussion: As per the affordability, members decided to give snacks for the participants which
includes soft drinks and sandwiches. Arrangement of filtered water at each game sight.
Providing lunch for the referees.
Agenda 5: Volunteers for the event

Discussion: To compose the event effectively the individuals decided to accumulate college
students to volunteer the same, where 2 or 3 volunteers in a bunch will need to make the
courses of action for the games and ought to jot down the things required to play the same. In
case of injury the bunch of volunteers has to prepare with the health kit/pack.

Action: Mr Rex and Mr Amish have been told to gather volunteers for the event.

Agenda 6: Prizes for the winners

Discussion: As per the decision the winners will be given cash prizes along with the certificates.
First place: 2000 Rs, Second place:1000 Rs, Third place :500 Rs

Agenda 7: Cost of the event

Discussion: Estimates for sporting goods, snacks, and other miscellaneous items will be
compared across different stores. Based on this, the exact amount will be decided.

Action: Mr Siddharth and Mr Anthony have been told to find out the prizes for the same.

Agenda 8: Throughout the event, rigorous discipline should be upheld. The games must be
played fairly, and any cheating will result in harsh action.

Action: Mr. Siddharth, Mr. Anthony, Mr Amish will be in-charge of maintaining discipline as well
as making sure that there are no such malpractices carried out by the participants.
