Medical Emergency Response

Objective - For a large company like MFL with operations spread across the country, it is
extremely essential and critical that we have an emergency response system in place, to
address exigencies and emergencies arising out of both medical condition and accidents.

Process

1. All employees should intimate their family members that in case of emergency, which requires
hospitalization of an employee, they should immediately intimate their Reporting Manager
who in turn will intimate the HOD and the local HR. The main intention of such intimation is
that the employee who needs immediate medical attention and subsequently immediate
operation/ surgery etc should not go unattended for want of finance or lack of knowledge on
the process to be followed.

2. The Reporting Manager or the local RHR or HOD (referred as attending employee), if present
at the location of the occurrence of the incident, is expected to attend to the employee
needing emergency care in the hospital where he/she has been admitted and ensure
immediate assistance/support. The attending employee needs to assess the immediate
financial need for the treatment and intimate the designated officials (see below) at the HO.
The SH/ department head, RM/AM and Regional Control Room is also to be kept informed.
While no liability or responsibility, financial or otherwise, shall be attached to the Company
other than for any incident happening while the employee is on duty, the Company will
examine and provide what best assistance can be provided on a case basis.

3. If the above mentioned attending employees are not available or cannot be contacted, then
the MFL employee who first gets the information of the emergency is authorized to contact
the resources based in HO (as per the list given below in # 4) and keep any one of the below
mentioned resources informed, before intimating the hospital that the company would
initially bear the costs towards the treatment of the emergency. Method and quantum of
recovery of the financial support shall be as decided by the Company Management and
employee shall not be entitled as a right to demand support in any particular form.

4. The attending employee should also immediately contact Deputy Vice President – Operations,
Mrs. Shiney Thomas (mobile # 9446501642), Associate Vice President – HR, Mr. Kanishka Das
(mobile # 9820168838), Chief Manager – Operations (Recovery) Mr. Jebby Mathew (mobile #
9846777179) and the Central Control Room (0471- 3086917 – 921). The employee should
keep them informed about the nature of the emergency, the actions taken and seek their
immediate guidance on any areas needing their intervention. Deputy Vice President –
Operations - Mrs. Shiney Thomas, Chief Manager - Mr Jebby Mathew and AVP HR - Mr.
Kanishka Das are expected to immediately contact necessary authority and guide the
Reporting Manager and HOD of the affected employee for subsequent actions, besides the
family members of the employee.

5. Mediclaim: In case the affected employee is covered under Medi-claim Mr. Harikumar (mobile
# 98478-08958) at Head Office should be intimated for guidance and necessary assistance.

6. ESI: In case of medical emergency of ESI covered employees, Mr. Jose Mani (Mobile
#9387203332) at Head Office is to be contacted for guidance in the matter.
7. The expenses paid directly by the company and which is reimbursed by either the mediclaim
service provider or ESI, should be paid to the company by the employee who received the
assistance. The coordination in this regard will be done by the concerned HO resource persons
mentioned in #s 5 and 6 above.

The detailed process for making a claim under Mediclaim or ESI is available on HRMS and also with
the RHR, AMs and BMs, besides the HODs. The Company prides in its employees being its prime
asset, and is keen to be the source of support in emergencies.
