Week 1 - NY Bids

Stick to the standard process as to walk through NY

Sorting of emails on queue from the main inbox
Usual practice on the first in will first out

Bid process
Take note of the details; date received and contractor who requested/inquired for the bid
Check and will determine if the bid is already existing
If it is existing, check if the contractor is on the bid list for this job
Checking plans and specs if it is the same with the job from the project you are reviewing. Check the
update base on the drawing’s dates on revision. If there are no changes, check if the process for this
contractor is already done.
If the request or inquiry has been reviewed and completed, you can dump it to completed bid
review. Also update the bid list for any changes.

Request from reps for processing a new job


Read the email thread if it is available to know the history
Check if the same project is existing already and if this is also having the same project
drawings/specs or details.
If it is not, go ahead and create a folder for the job and forward to proposal creation. If it is asap,
monitor the proposal is already reviewed by the assigned rep.
When the proposal is already reviewed and send it to bidders requesting it.
Sort out the emails if it has to be placed on "for sending", and "for proposal" (keep this unread if the
proposal is not yet done by the team)

When reviewing bids/project in Manhattan, if rep emailed it, take note of the mechanical designer
for proper allocation of project to respective rep as he will be the one to review the proposal after
the team is done preparing it.

Include the link of the CPQ (requested by Ray Power in Manhattan spreadsheet) for automatic
redirection to the CPQ folder of the project present in the bid list

Adding on teams in Manhattan so that the other rep has access on the folder too

Access on shared drive for the proposal and bid review plans /specs
