Assessment Task 2: Project Portfolio

Information for students


In this task, you are required to demonstrate your skills and knowledge by working through a
number of activities and completing and submitting a project portfolio.
You will need access to:

 a suitable place to complete activities that replicates a business environment including a


meeting space and computer and internet access

 your learning resources and other information for reference

 Project Portfolio template

 Simulation Pack (if you need a case study).

Ensure that you:

 review the advice to students regarding responding to written tasks in the Business Works
Student User Guide

 comply with the due date for assessment which your assessor will provide

 answer all questions completely and correctly

 submit work which is original and, where necessary, properly referenced

 submit a completed cover sheet with your work

 avoid sharing your answers with other students.

Activities
Complete the following activities:

1. Carefully read the following:

This project is about undertaking basic marketing activities. You need to


demonstrate that you can support marketing activities for a product or service,
including researching the marketing practices of the organisation, planning and
implementing a marketing activity and recording the processes you used.
You can do this using the case study provided.
It’s important that the business you choose has marketing objectives and marketing
policies and procedures already developed. Speak to your assessor to get approval
if you want to base this on your own business or a business that you work for.

Vocational education and training is all about gaining and developing practical skills
that are industry relevant and that can help you to succeed in your chosen career.

You will be collecting evidence for this unit in a Project Portfolio. The steps you
need to take are outlined below.

2. Preparation.

Identify the business you are basing your assessment on.


Identify a product, product range or service you will be planning marketing activities
for.
If using a case study business, refer to the Simulation Pack.
Complete page 4 of your Project Portfolio.

3. Identify the task requirements.

Identify the requirements for marketing the product or service you chose by
reviewing the relevant documentation, plans, policies and procedures of the
business you are basing your assessment on.
If you are using the case study business you may refer to the documents in the
Simulation Pack as a resource.
You will also need to conduct research to identify three different activities for
promoting the product or service for the business you are basing this assessment
on.
You will need to:

 List the key points of the marketing policy and procedures

 Identify or set two marketing objectives

 Outline the current marketing activities of the business

 Research industry trends

 Research one competitor

Use your Project Portfolio Section 1 to guide your research and record the
information.

Plan for marketing activities

You will now use Section 1 of your Project Portfolio to plan your marketing
activities. If you are using the case study business you may refer to the documents
in the Simulation Pack.
You will do this by outlining the following:

 Your target audience and market segments

 Your marketing mix for each segment

 Recommendations for three marketing activities based on your research and


specific knowledge of the product or service.

 What you expect the outcome will be

 The metrics you will use to measure and track the activity

Write a Marketing Activity Action Plan

You will write an Action Plan for your recommended activities using the Marketing
Activities Action Plan at the end of Section 1 in your Project Portfolio. Your Action
plan should include:

 three recommended activities

 a list of the actions needed over the course of the next 12 weeks to implement
your recommended activities

 a reasonable estimate of the cost and timelines involved in each activity.

You will need to submit your plan to your assessor after the meeting in the next
activity step.

Seek approval and feedback relevant to task requirements

Participate in a meeting with your manager to discuss and seek approval for the
marketing activities you recommended. The meeting should last for at least 10
minutes and no more than 15 minutes. If you are using the case study to base your
assessment on, your assessor will assume the role of your manager.

Use Section 1 of your Project Portfolio to prepare for the meeting.
During the meeting, you will need to:

 explain your ideas for marketing activities

 the tasks involved in implementing each activity

 contribute to assigning responsibilities to relevant marketing personnel

 Seek feedback on the proposed marketing activities

During the meeting, use suitable language and pay attention to your use of non-
verbal communication such as:

 facial expressions

 body language

 tone and volume of voice

 gestures.

After the meeting, update your Marketing Activities Action Plan by adding a column
with the names and responsibilities of marketing personnel for each activity.

i If you are using the case study you will be meeting online or in person with your
assessor. Your assessor can provide you with more details at this step. Make sure
you follow the instructions above and meet the timeframes allocated.

Complete Section 1 of your Project Portfolio and submit to your assessor.

4. Assist personnel in managing marketing activities

You will use email communication to assist one of the personnel in the marketing
department with a marketing activity.
If you are basing your assessment on the case study, you may assume that your
colleague Alex will set up and manage a pop-up shop at the Queen Victoria
Markets on behalf of your client. Alex needs your assistance to secure storage at
the Queen Victoria Markets. Compose an email to Mr. Jones to request storage
boxes for your client’s stock. Include the days and dates that you will be at the stall
(you may make this up).
Your email needs to be written in clear, concise English and contain all the key
information needed to assist your colleague.
Attach your email to Section 2 of your Project Portfolio.

5. Implement a marketing activity

Assume that you have been given approval to implement a marketing activity.
If you are using the case study to base your assessment on, you may assume that
approval has been granted for writing an article for the local newspaper about your
client’s company and its products. The purpose of the article is to generate
awareness and interest in the company and that will hopefully lead to increased
sales.
If you are basing your assessment on the case study, your newspaper article
should contain:

 A headline

 An opening paragraph (introduction) of about 25 to 40 words in length and


provides the most important and interesting news.
 Three short paragraphs of about 30 to 40 words, each one has a main idea
and different fact. They may also include quotes from people involved or
experts.
 Details in order of importance, with the least important details at the end of the
article, thus allowing readers to skim over the start of the article to gain the
essential facts before deciding to read on.
 A final summary of facts and opinions at the end of the article.
Your article should be written in the third person and combine the following
language features to inform, entertain and persuade as follows:
 Clear and concise writing.

 Use of active or passive voice, depending on the focus and which is more
engaging for the reader.
 Should be factual and accurate.

 Should include quotes, comments, opinions, statements and observations from


people involved or experts on the topic.
 Give people labels so that the reader knows who they are straight away, for
example: "the CEO, Mr Smith".
 Should avoid racist, sexist or religious slurs.
Save your article as a Word document and attach it to Section 2 of your Project
Portfolio.
Record your work in Section 2 of your Project Portfolio and attach proof of your
implementation.

Complete Section 2 of your Project Portfolio and submit to your assessor.

Participate in a meeting with your manager to review the marketing activity you
implemented. The meeting should last for at least 10 minutes and no more than 15
minutes. If you are using the case study to base your assessment on, your
assessor will assume the role of your manager.
Use Section 3 of your Project Portfolio to prepare for the meeting by recording the
outcomes of your marketing activity.
During the meeting, you will need to:

 discuss the results of the activity by comparing it with the activity plan

 use suitable language and support your statements with the relevant evidence

assessor. Your assessor can provide you with more details at this step. Make sure
you follow the instructions above and meet the timeframes allocated.

Prepare a report of marketing activities

You are required to develop a marketing activities outcomes report that is clear and
concise, professionally presented and error free. It should be about one-page long.
Your report must include all of the following:

 A description of the marketing activity undertaken

 A summary steps involved in the implementation and expected outcomes.

 A review of the success of implementation and the metrics used to evaluate


the activity

 Your proposed changes to the activity (frequency, implementation, etc.) or


suggestions for other marketing activities.
Save your Marketing Activities Outcomes Report as a Word document and attach it
at the end of Section 3 of your Project Portfolio.

The text of the email should be in grammatically correct English, written in an


appropriate (polite, business-like) style.
It should introduce and summarise the contents of the attachment.
Attach your Marketing Activities Outcomes Report to the email.

Submit your completed Project Portfolio

Make sure you have completed all sections of your Project Portfolio, answered all
questions, provided enough detail as indicated and proofread for spelling and
grammar as necessary.
Submit to your assessor for marking.
