Recording Time: Business Scenario

! Smart Retail Inc., maintains a centralized payroll for


all its speciality stores. A clerk in the stores’
personnel department reports associates time and
attendance; the staffing director approves the
timesheet and SAP Retail system records the data
and issues pay checks.

" The Cross Application Time Sheet can be used to capture employee working times. As shown in the
overview above, when the SAP Payroll component is active, this can lead to payroll checks being
sent back to the store.
" If the Time Management component is active, that can be updated and used for planning.
" With Controlling active, labor costs can be distributed to the appropriate cost center providing more
accurate departmental costs.

" The General Settings define what functions are available and/or displayed on Time Sheet entry.
$ Profile changeable - If selected, users with the authorization can customize some settings other
than approval required.
$ Target hours,with totals line-Display the expected number of hours per work day and display the
total for each day.
$ With clock times - The normal work times are displayed. System calculates the hours worked
based on start/stop time deducting breaks..
$ No deduction of break times-Select if you do not deduct break time from total work time.
$ Highlight rejected records and additional information- visually indicates days that have been
rejected, they can be corrected; or there is additional information.
$ Workdays only-display only workdays associated with the factory calendar of the site where the
profile is active.
$ Weekdays- displays days of the week rather than the date.
$ No initial screen -only relevant if employees enter their own data.
$ Release future times- allows period beyond current date to be accessed.
$ Release on saving-when saved the records are released.
$ Approval required-approval must be given before document is posted to the application
$ No changes after approval-Once approved, no changes are allowed.
$ Immediate transfer to HR-cannot be used if approval is required.

" Time settings control how much data is available at any time.
$ Period type-in what intervals should period data be entered. Daily, weekly, monthly, etc.
$ Periods-How many periods should display on the screen at one time. The combination above,
weekly period type and 1 gives a single week displayed.
$ First day of week-Identify the day that begins your work week.
$ Key date relative-The relationship between the period type, the current date and the key date for
entering time sheets. In the example above, the Key date is 1- and the period type is weekly,
therefore, the key date is one week prior to the current date and is ready for time entry.
$ Lower limit relative-how many periods prior to today can the user scroll back? Higher number of
periods may impact performance.
$ Upper limit relative-how many periods after today can the user scroll forward? Higher number of
periods may impact performance.

" The person selection group determines how personnel are selected to display on the screen.
$ The first two options, determine how the user can input data, either selecting several employees
and processing them at one time. (Both options selected)
$ Or selecting from the list and processing each employee singly. (Select only Select via pers. List.
$ Time Administrator; Organization Unit; Cost Center and Selection report are all options for how
to determine which list to display. In each case the personnel are first assigned to the object and
during time entry, the employees associated with the object are displayed in the list.

" The cost accounting variant determines how labor costs are assigned and/or allocated.
$ Assignment of personnel costs to the employee’s master cost center is the standard scenario and
does not require that HR Payroll is installed.
$ Assignment to receiver objects and sender objects require the HR Payroll component and then cost
allocation to the appropriate activity is performed.
$ Activity allocation master/sender-with HR Payroll installed personnel costs are posted to the
employee’s master cost center and then allocated to the appropriate activity.

" The with worklist field, in this group determines whether a worklist is displayed in the data entry
view. The other settings determine which data the worklist displays:

As most of these worklist selections are valid only for a single individual, this option is not
supported for SAP Retail Store.

" Data Entry Checks define what data discrepancies the system should check and how it should react if
it encounters a problem. The reaction options are:
- Standard, which is to issue an error message
- Error message.
- Warning
- No message or check.
$ Collision - Overlapping clock times or full-day absence
$ More than 24 hours - Greater than 24 hours for one personnel number, one day. If HR is active,
regardless of the amount of hours entered, the hours are reduced to the maximum working time per
day.
$ Time type target hours - the system uses HR planned hours.
$ Tolerance, downward and upward - the percent by which the actual hours may be less than or
more than the target hours without a reaction.
" For Users of HR:
$ Quotas - Check if the time entered has exceeded the time allotted for a specific type of attendance
or absence.
$ Collision with HR - Overlapping clock times or full-day absences between entry and HR.

" The workflow group determines if approval is triggered using workflow. Select Workflow approval
if yes.
" Automatic recipient - select the person to approve automatically. You also must have created an
automatic role resolution for the workflow.
" Task - The internal task id for the workflow being used.
