TERMS OF REFERENCE

Post: Assistant Intern to Deputy Resident Representative


Location: Hanoi, Viet Nam
Duration: April 2022 to October 2022, full-time
Starting Date: April 2022
Reporting: UNDP Deputy Resident Representative
Coordination: The National Intern will support the UNDP Deputy Resident Representative with
tasks related to day-to-day management.

1. BACKGROUND

On the ground in about 170 countries and territories, the United Nations Development Programme
(UNDP) works to eradicate poverty while protecting the planet. We help countries develop strong
policies, skills, partnerships, and institutions so they can sustain their progress.

In Viet Nam, the Government and UNDP partnership officially started in 1978. Since then, UNDP has
been working closely with the Government and other partners to expand the choices for people and
ensure that everyone has equal access to opportunities to realize their full potentials.

The current Country Programme (2022-2026) contributes to three inter-related outcomes of the One UN
Strategic Plan for Viet Nam, aiming to address poverty and inequalities; enhance citizen participation and
protection of rights; as well as promote sustainable low- carbon development while strengthening resilience
of the targeted groups.

Outcome 2: Climate Change, Disaster Resilience and Environmental Sustainability
Outcome 3: Governance and Access to Justice

2. SCOPE OF WORK
 Support the Deputy Resident Representative of UNDP in the day-to-day management of managing
project portfolio, partnership building, representations, innovation, and any other activities needed. 
 Among them: working out new ideas, writing draft concept notes, preparing presentations,
collecting information, maintaining, updating relevant databases, and doing basic research on
current development topics.  
 Work with the front office for the arrangement of meetings and appointments. 
 Support to the preparation of meetings, making sure the necessary supporting documents are ready
before the meeting (Briefing Notes, Speeches etc.), writing minutes and action points.

 Attend meetings with counterparts, prepare necessary documents and correspondence afterwards
and, where needed, provide informal translations. 
 Assist in doing follow up with teams in the office and coordinate those timely actions are
taken. Updates the Document systems, like MS teams with upcoming tasks.  
 Any other tasks related to day-to-day management.

3. PROVISION OF MONITORING AND PROGRESS CONTROLS


The National Intern shall report to the UNDP Deputy Resident Representative on the deliverables of
his/her work regarding a work-plan, deadlines and verification activities.

4. DEGREE OF EXPERTISE AND QUALIFICATIONS

 Fluent English and Vietnamese, both written and verbal — the deliverables must be presented in
either or both languages according to the audience;
 Strong interpersonal skills, able to communicate and work with diverse people; Participate
effectively in team-based, information-sharing environment, collaborating and cooperating with
others;
 Proven track record of experience volunteering or working with NGO/CSO is an advantage;
 Excellent ability to use basic computer software (Word, PowerPoint, and Excel) is required. Basic
web image, layout and design, and video editing ability will be an advantage;
 Tactful and responsible, able to keep information confidential;
 Able to analyze and think strategically.

writing, editing and leadership skills. have worked very closely with Ms. Moody during the several years
in my office. I have known her for over one year while working as, where she interned as an Office
Assistant. a friendly and outgoing disposition as well as a professional work ethic.She is honest,
dependable, and incredibly hardworking. She is and keeps track of the details necessary to coordinate
events of this kind and run an efficient office. . At my role as an Administrative Assistant for the Faculty
of the French language at the Diplomatic Academy of Vietnam, will make an excellent addition to your
team.

1. Prepare a wide range of brief real life stories about your accomplishments. Be aware of the specific
skills each story illustrates and remember to include the positive outcome or lesson learned from each
experience.
2. Be ready to discuss your strengths and your ability to learn from past experiences. Also think about how
you could contribute to the work of the United Nations and to the specific position you are applying for.
3. Review the competencies mentioned in the job opening. These will be probed in your interview, so your
stories should show your skill in these competency areas.

4. You should be prepared to address positive results and achievements using these competencies and
also challenges you have had in each of these areas.
5. The structure of your answer should be: Situation, Action, Result.
6. Share information you feel is appropriate and relevant.
7. Listen to the question carefully. Keep to the point. Be as specific as possible.
8. Do some research on competency, or behavior based interviews. There is a lot of material available
about preparing for such an interview structure.
9. Learn as much as you can about the Department and Office you are applying to and the work it does.
10. Practice, practice, practice.
