4. THE EVENT DIRECTOR Events such as wedding, parties, conference, etc, have become
common these days. These occasions where a lot of people gather for different purposes
should be well planned and coordinated so that there are no inconveniences for the guests.
The role of the event director comes to existence here. The event director has to plan the
event from the scratch; he has to recruit and convene a bid committee. Plan and oversee the
recruitment and training of all human resources required to organize and conduct the event,
monitor the progress of the planning and organization of event tasks, and decide the
location, etc., for the event. He the sole of the event and is completely responsible for the
success of the event. Event director may work in managing an event with different clients,
and there need to be someone who is the ultimate decision maker, in the case of an event.

coordinator sits in the hierarchy is a consideration. It is advisable to involve more than one person in
the program coordinator’s role to provide choice in who to contact and avoid being vulnerable to staff
changes.

Each aspect of the above chart has a coordinator that will be responsible for his own team. With large
events, such as wedding, conference and parties, an event coordinator is invaluable. The coordinators
control an event from conception to clean up. They meet with clients to work out event details, plan
with the client and their team, scout and book locations, food, entertainment, staff and clean up.

An event coordinator make sure the shrimp cocktail stays cold and the hired band stays hot. They
create budget and stick to them, as well as organize transportation, hire and wrangle keynote speakers
or celebrities’ hire0A/V team and equipment, and generally make sure the event run smoothly,
efficiently and handle any crisis that may come up.

Bachelor of information technology major in Food Service and management
Work as an Event Creator for Leads Event Planner of Antipolo in Philippines. With over
25 years of experience in the management industry, Ronalyn has managed and co-managed hundreds
of international, national, regional and citywide conventions, trade and consumer shows, corporate
meetings and concerts.

Evangeline first began her career in the management industry in 2014 with an internship at
Events Unlimited in Makati. Since then, he has had an opportunities to work in
Philippines at Convection Service at Makati, Metro Manila. These varied experiences
Helped him in transition into event management when he joined the Astra Philippines Inc. team in
2005. He has handled events of all shaped and has worked with diverse Teams to create
successful events.

Events Professional designation. Ruby managed a variety of high profile events around the country
and Asia.

VI. THE EVENT AGREEMENT


This Agreement is made effective as of April 5, 2021, between RONALDS EVES
EVENTS MANAGEMENT, PLANNING AND EVENT SPECIALIST and VALLE VERDE
COUNTRY CLUB BANGQUET

In this Agreement, the party who is contracting to provide services shall be referred to as
RONALDS EVES EVENTS MANAGEMENT, PLANNING AND EVENT SPECIALIST and the
party who will receiving the services shall be referred to as Mr. & Mrs. Torres. RONALDS
EVES EVENTS MANAGEMENT, PLANNING AND EVENT SPECIALIST represents that they
have an extensive background in all aspect of the event coordination profession and access to a full
range related product and services contact in the Philippines and surrounding area.
RONALDS EVES EVENTS MANAGEMENT, PLANNING AND EVENT SPECIALIST is willing to
provide services based on this background.

EVENT PLANNER CONTRACT AGREEMENT
This contract is being entered in Ronalyn Joy S. Torres of RONALDS EVES EVENTS
MANAGEMENT, PLANNING AND EVENT SPECIALIST to be reffered to as the EVENT PLANNERS
hereafter, and Mr & Mrs Torres, to be referred to as the client here after in the contract.

that the named events planner have agreed to provide event management services to the named
clients.

1. DESCRIPTION OF SERVICES: RONALD’S EVES EVENTS MANAGEMENT, PLANNING


AND EVENT SPECIALIST will provide the following event planning and reception services.

Event planner, personal assistant services, consultation, coordinator and on-site management
on that day of the event, needs and assessment and consultation.

2. COMPENSATION FOR SERVICES:


A. The clients of agent for the clients, agree to pay an initial non- refundable retainer
of PHP________ and a PHP_________ non-refundable for floral expenses.
The remaining payment of PHP________ will be due within 14-days of
execution of this contract. All subsequent charges will be billed within 3-days of
occurrence, and will be due within 7-days of receipt off said billing. This billing will
include required payment for additional coordination time at rate of PHP________ per
hour and additional expenses incurred for phone, postage and shopping. All
remaining balance must be paid when 14-days of the clients all subsequent expenses
incurred will be filled within 7-days of the conclusion of the event. Billable coordination
time includes additional time spent both on behalf of the clients and time spent in
communication with the clients or other agents, vendors, or guests.
C. Payments may be made via cash, certified check, and credit or debit card or via
PayPal.

UNDER NO CIRCUMSTANCES ARE PERSONAL CHECKS ACCEPTED

3. DATE CHANGES:
In the event the clients are forced to change the date of the event, every effort will be
made by and staff to transfer location reservations, sub-contractors and the event
coordinators support to the new date. The clients agree that in the event of a date change
any expenses including but not limited to deposits and fees which are nonrefundable and
non0-transferable are the sole responsibility of the clients. There are may also be
additional charges above the beyond those set forth in paragraph 2 above. The clients
further understand that last minute change can impact the quality of the event and that
RONALD’S EVES EVENTS MANAGEMENT, PLANNING AND EVENT SPECIALIST is
not responsible for these compromises in quality.
4. CANCELLATIONS:
In the event of the cancellation all payments made to date are non-refundable and outstanding
payments will be due immediately.

5. ENTIRE AGREEMENT:
This agreement contains the entire agreement of the parties except all in paragraph 6
above and the are no other promises or conditions in any other agreement whether oral
or written. This agreement supersedes any prior written or oral agreements between the
parties.

6. AMENDMENT:
This agreement may be modified or amended if the amendment is made in writing and is
signed by all parties.
7. SEVERABILITY:
If any provision of this agreement shall be held to be invalid or unenforceable for any
reason, the remaining provision shall continue to be valid and enforceable, but that by
limiting such provision it would become valid and enforceable, then such provision shall be
deemed to be written, constructed, and enforced as so limited.

8. APPLICABLE LAW:
This agreement shall be governed by the laws of the Philippines.
