Overview:
Organizational background:

Iskandar Malaysia is honorably acknowledged by the United Nations University-Institute


for the Advanced Study of Sustainability. RCE Iskandar was founded in November,2014.
Iskandar Malaysia covers an area of 221,634 hectares (2,216.3 km²), about three times the size of
Singapore and twice the size of the Seoul Metropolitan Area.

The organization has 2 main goal which is:


1) To promote Education for Sustainable Development to all stakeholders in Iskandar Malaysia
and
2) To disseminate best practices on Education for Sustainable Development to Asian countries.
RCE Iskandar came from 2 different organization’s Universiti Teknologi Malaysia (UTM)
and Iskandar Regional Development Authority. RCE Iskandar has many activities:

This photo takes from the Iskandar Malaysia EcoLife Challenge in 2017. Most of RCE Iskandar
activities is about saving environment and green life and how to reduce using carbon and
Encourage school’s to find ways to reduce using carbon and other many activities such as regular
recycling activities, special projects & campaigns and active participation of schools in events at
various community that schools joined in in the RCE Iskandar Sustainable and Low Carbon
Schools Exhibition.

Since 2014 RCE Iskandar has made a number of achievement’s:


❖ Outstanding Flagship Project (Climate Change) – RCE Global Award 2015
❖ Okayama ESD Award 2018 – Global Prize
❖ RCE Iskandar was launched by the Johor State Exco on Health and Environment in 2015
❖ Received the Global RCE Award on Flagship Project (Climate Change) in 2016
❖ Book is published on the ESD experts in schools in RCE Iskandar
❖ One of the flagship projects (IMELC) is recognized at national level
❖ More people are aware of ESD and LCS over the years

About the project:


Now we are going to talk about one of the RCE Iskandar activities which is the RCE
Iskandar Sustainable and Low Carbon Schools Exhibition. This event first started in 2015. It’s a
computation between schools to provide an opportunity for them to showcase their efforts in
creating sustainable and low carbon schools. This is also to give recognition to their green efforts
and contributions towards developing a sustainable Johor and reducing carbon emission.
Our project is about finding a solution to change the Judging Form of RCE Iskandar
Sustainable and Low Carbon Schools Exhibition since the judging process from 2015 to 2019
was still manually using paper-and-pen during the exhibition, regardless the judging process is
highly important to ensure the computation will be fair without any partial. The judging in the
recent years was Divided to six (6) criteria as follow:

1. Knowledge (10 marks)


2. School structure & education (30 marks)
3. Quality & quantity of green efforts (30 marks)
4. Involvement (30 marks)
5. Impact (20 marks)
6. Future potential (20 marks)

Because of the pandemic of COVID-19, the RCE Iskandar Sustainable and Low Carbon Schools
Exhibition 2020 is going to choose the best 30 schools in Johor to prepare:
i. an E-Poster
ii. a Video presentation
iii. other related
to exhibition materials to be presented at the exhibition All the three materials should be
manually submitted and uploaded to the online cloud storage set by the RCE Iskandar
organizers. Since the manual submissions are not well-organized which lead to human errors,
incomplete submission materials, no proof or evidence ticket as well as no notification sent as an
alert to both organizer and participants. So that’s our work to find a way to solve the problem in
judging.
Mission Statement

Regional Centre of Expertise (RCE) is a network of existing formal, non-formal and


informal organizations that facilitate learning towards sustainable development in local and
regional communities. RCE Iskandar is one of the five RCEs in Malaysia which is located in
Johor Bahru, Malaysia. This organization is experiencing the problem with their coming event
during this pandemic which is in handling the judging process. Before the pandemic landed in
our country, the process is handled manually which is by using the paper-pen written method to
record all the marks marked by the judges . In the previous exhibition which is used the hand to
hand submission is better because all the judges will give marks to each of the schools
participating in the exhibition using paper-pen method. After that, judges team will sit together
and discuss whether the relevant marks should be given to the participant.

Due to Covid ’19 pandemic, several issues occurred during the exhibition handled by
RCE Iskandar. One of the issues that they faced is having a problem with all the participants’ e-
poster, video presentation and other related exhibition material that was submitted by them. It is
because all these items are not placed in one place or platform. Besides that, they also need to
keep changing the platform in order to judge for their marks. It is because all these items were
submitted on several platform and the judging form on another tab page. It can be troublesome
for the judges to fairly score marks well. Furthermore, they also need to check all the links
submitted by each school as there are few of them submitted more than one link for each item
and also, they also might consider the school that submitted the wrong link when there are too
many platform in a time will cause confusion. This will bring a bad impact on the participants
and judges who managed to compile all the links in one place to be placed inside google forms.

Therefore, our mission is to produce a judging platform with simple interface but coming
with multiple sub-function for submission corner, marking corner and release the final result in a
small corner as a target. It is useful to let all the submission, judgement and final result to be
done in just one simple platform. Judgement will be more easier by reducing the probability for
participants submitted the wrong links all inside the platform. It will give an impact to the
participant if the judges could not find their items. Moreover, the judges need to submit many
responses in google form for each school and it's quite troublesome.

So,when it comes to online submission, it is quite hard as there are many obstacles such
as low performance internet, unstable network, the complicated submission platform and etc.
Therefore, we have our client meeting to observe what the problem that they faced during the
event and we will work together and give the best solution to produce and manipulate the system
within platform to give the best solution for event usage.

The mission objective shown are the basic purpose before we going to initialize more on
coming client meeting. Thus, from the mission objectives that we have created, the main purpose
is

“ The purpose of RCE Iskandar Malaysia Sustainable and Low Carbon Schools
Exhibition database system is to maintain the data that used and generated to support the
exhibition program and to facilitate the cooperation between the judgement for judges and
submission for participants. ”

Requirements

1. The system that combines all the items that they received from the participant is at one
place. (Does not require the user to change the platform from one to another)

2. The system also must have a history section which allows the judge to look for the
previous project submission for each of the schools that participate in the
competition.

3. An automated system that can calculate all the participant marks and automatically
listed all the winners.

4. The system also needs to have a manual judgement before the winner lists come out
and there will be a person in charge that will choose whether the chosen winner
should get the medal stated or not.

5. The system also needs to be easy to learn and be accessible by the judges.

6. The system that included and embedded all the video on the top of the system page.

Constraint

1. The targeted user needs to go through training in order to fully utilize the benefit from
this online judging system.
2. This online judging system will be successful if its delivery time is not excessed, the cost
is worth it with the quality given to them.
3. The security and privacy of the system must be considered in providing the access to the
information in the system
4. Customer satisfaction is the main constraint as we need to satisfy all the needs of our
stakeholders.
Impact

From the coming system, there are many benefits that the user could get by using the
system invented by us. One of those is that the judges can easily access the previous submission
of the participant without need to go to the other platform, drive or cloud in order to make the
comparison among the previous projects. Secondly, it is convenient to use our system as it will
save more time on the calculation for marked parts which need to put more focus to reduce the
inaccurate result. In the competition, we need to be careful on marks calculation as it will affect
the final result of the competition. In addition, it also can help the user reduce the percentage of
errors when they use this system as it is an automated calculation of all the marks and also list of
the school that received the medal.

Furthermore, this system also will have a greater productivity as it can be used to judge
more participants in a short time. It could be more effective if there are many participants that
participated in the competition as it can help much in the judge process. Security of the data from
being taken by the unauthorized person is very important. In this system also, it has one secure
location to store all the participant submissions in one place. It is easier for the user to access it
and allow restrictions on what the individual users are allowed to have access to it. So that, the
sensitive data such as the marks given by the judges and the total marks by the participant only
can be seen by those who need it only. Last but not least, the system will produce the best quality
of result for the medal received by the winner as there will be the last person that will check the
result and determine which school deserves to get those medals.

Gantt Chart:

According to the Gantt Chart above, it shows all the detailed activity, durations of each
activity and also the planned serial schedule for our group projects. The project is divided into
five parts that are database planning and system definition, user’s requirement specification,
conceptual design, logical design and implementation. In each activity, there is further
breakdown into more detailed activities. As in the Gantt Chart shown, almost each detailed
activity takes 1 week. There are five milestones set in the Gantt Chart which are report P1, report
P2, report P3, report P4 and report P5 which is the final compiled report. These milestones are
used to represent project phrases completion and also to show the start of particular activity.
Since there are five major processes in this project, five milestones have been allocated at the
end of each process to show the progress of each activity and to ensure our group is in the right
path.

As Gantt Chart shows the sequence of activities therefore there must be a predecessor for
different activities to occur. In the Gantt Chart the predecessor is shown by the arrow to the next
activity. Activity A is the predecessor for activities B because the scenario has to be studied
before members can determine the problem statement and to design the database system. To
determine the problem statement for the project one must have a deep understanding about the
clients and the program. From the Gantt Chart, we know that P1, P2, P3, P4 and P5 is the correct
flow to carry out this project where each of the phrases is actually depending on the previous
phrase. Therefore, it is important for us to do our best in each stage. As for the last activity, it has
activity K for predecessor because it is impossible for members to do presentations without the
report done which is the main document and evidence of hard work for our group.
