WHY I SELECTED FUNCTIONAL STRUCTURE CHART
In the above figure, I have used a Hierarchical Functional Structure chart (traditional
approach). An advantage of this structure is employees are grouped based on their skills and
functions allowing them to focus their collective energies on executing their roles as a
department.
Cyprus international university is program comprises of many projects to manage the school
environment and the student’s affairs. Therefore, as it consists of many projects the need to
group this project based on the skills, knowledge and functions of the employee is essential.
Among others, the following reasons are why are chose the functional structure chart
Operational Clarity: Segregating the workforce according to function clarifies
organizational responsibility and allocation of tasks. This tends to eliminate duplication of
assignments that waste time and effort and makes it easier for management to direct work to
appropriate employees.
Specialization: The most obvious advantage of a structure is the grouping of employees by
specialization. It ensures a dependable level of departmental competence. This is particularly
so for large organizations that have several functional levels within a department For
example, Tech group members could require a bachelor's degree in computer science, a
manager's recommendation, and a minimum number of years of field experience. This
ensures that support issues moved up to the follow-up group are handled by fully qualified
personnel, which increases customer satisfaction and retention.
Operational Speed: A related benefit of this kind of organizational specialization is
operationally speedy. By and large, a senior tech is going to handle a support problem faster
than someone with less experience. They're probably going to train new staff members faster,
too.

THE DUTIES AND RESPONSIBILITIES OF EACH POSITION IN FUNCTIONAL


STRUCTURE CHART.
LEADERSHIP: Cyprus International University is governed by the Rectorate. The Rectorate
leads the university, represents the university externally, and coordinates the cooperation of
university members internally. The Rectorate consists of the Rector, Vice-Rectors, and
General Secretary. The Rector is the Chair of Rectorate and is its spokesperson.
ADMINISTRATIVE: A list of Administrative Units which are responsible for engaging and
carrying out successful student services, governance, and more.
The Registrar's Office Directorate: as one of the administrative units of the
university, is a location where the students will be in contact throughout their education,
starting with their registration, until their graduation. The students go to the Registrar’s
Office to finish the procedures and complete their registration. Starting from that moment,
whenever they need any document or information, they can go and receive help from the
office to meet their needs. The original certificates which the students submit during the
registration are organized and kept in this office. If any of the students need any of their
certificates or wish to terminate their registration, they need to apply to this office and collect
their original certificates.
Accounting Department: The Accounting Department of Cyprus International
University is divided into 2 different sections; the Main Accounting Office and the Student
Services Accounting Office. The Accounting Department is managed by the director of the
office, who is responsible for overseeing all accounting processes. The international staff
serves students from other countries, while the local staff serves students from North Cyprus
and Turkey at the Student Services Accounting Office. While responding to online
application inquiries, the staff also provides daily assistance to the students.
The main duties of the Accounting Office include:
- Preparing invoices
- Confirmation of freezing and termination processes
- Managing payment plans
- Providing the receipt of payments for ID card, transcript, special letter, etc.
- Confirmation of international payment by telex copies (international bank transfer)
The Student Development and Counseling Center: This department was
established not only to provide students with contemporary knowledge and skills, but also to
assist them with their potential in psychological, educational, and social development areas
and to provide counseling services on their way to success throughout their education.
The International Office of Cyprus International University (CIU): This
department works to increase the recognition of the university abroad and to inform
prospective students about the programs, scholarship opportunities, and educational services
within the university. The International Office is responsible for all the steps from
prospective students’ selection to their registration. It is also responsible for carrying out and
developing international cooperation by signing cooperation agreements and protocols with a
large number of universities in various countries.
Sports Affairs Directorate: The Cyprus International University Sports Affairs
Directorate organizes activities within the structure of the CIU ARENA, the largest and only
integrated sports complex in the TRNC, to increase the social development characteristics of
the students during the remaining periods of their academic life. By introducing the students,
staff, and the public to various sports branches in the open and closed areas of its structures,
the directorate aims to develop and improve their physical and mental health.
In addition to raising healthy individuals, the directorate also aims to train high-level and
professional athletes in national and international arenas with expert trainers.
Library Directorate: Cyprus International University Library Directorate provides
library services with the support of technological developments, and ensures that all user
groups receive high quality, creative and innovative services.
CIU library aims to meet all academic, research, and social needs by increasing the scope and
quality of its library services.
Computer Center (CC): The Cyprus International University (CIU) Computer
Center (CC) was established at the same time as CIU, in 1997, CC performs a duty to provide
resources in general for the university's strategic priorities, consistent IT services that are safe
and easy to use and efficient use of these services and information resources. Computer
Center makes the most of the developing information technologies, follows the developments
in this area continuously, dedicating our efforts - in line with the needs of our university;
working to provide educational, teaching, and academic research support. All our academic
and managerial staff, as well as our students, benefit from the latest technologies, while we
offer all the necessary support needed to maximize efficiency in their work.
Human Resources Directorate: The Human Resources Directorate achieves
employment by hiring administrative and academic staff who are specialists in their fields, to
reach the goals and corporate strategic missions of developing and University. All manner of
Human Resources (HR) is modernly applied to maintain the high satisfaction of the
employees.
Corporate Communication and Public Relations: is founded on yesterday, today,
and the future; and requires systematic and continuous work. The Corporate Communication
and Public Relations Directorate (CCPRD) of Cyprus International University (CIU), shares
the university's work and various activities with the public and aims to accelerate the
activities of promoting and developing the university’s identity. It establishes strong and
reliable links with the target audience of the university, social stakeholders, and the general
public. It organizes and executes all communication activities such as strategic
communication, organization, corporate activities, image monitoring, and research and
development.
News Agency: The Cyprus International University (CIU) News Agency, established
in 2007, is the responsible unit for tracking, reporting, and photographing the events and
activities within the university. The team that collects, writes, and photographs news within
the agency consists entirely of university students. Although it is preferred that the students
selected to work for the news agency are from the Department of Journalism or the Faculty of
Communication, students with good social and interpersonal communication skills from other
departments who are interested in journalism or photography can also take part in the news
agency. Any interested students who wish to apply to the agency do not need to know news
writing or photo shooting techniques at an expert level. Newsgathering, news writing, and
photography techniques are taught by the Agency News Coordinator and Agency News
Supervisor.
The Project and Technical Affairs Directorate: was established in 2018 to meet the
needs of the ever-developing university campus in terms of maintenance, repair, and new
projects. The department consists of a civil engineer, mechanical engineer, and electrical
engineer, technicians, and skilled experts of the field. The aims of the directorate include:
conducting projects of buildings and facilities; preparing tender files and carrying out tenders;
checking the construction and receiving the ones that are completed; carrying out
maintenance and repair work of the university buildings, fixtures, technical equipment, water
supply and distribution, and wastewater treatment; operating electrical and mechanical
facilities; and other required maintenance and repair works.
