Inbound Shipments:
Place purchase orders with approved suppliers by existing agreements and cross-check
order acknowledgements.                 
ERP system updation like the price of SKU’s/New Item code creation.
Performs costing of all import shipments for goods in transit in the ERP.

Reporting:
Prepare Monthly reports of forecasted sales and actual shipments and insights on stock
shortage or excess.
Reporting to line manager regarding pending shipments and daily activities for smooth
functioning and briefing the team members for proper and timely coordination.

Training & Development:


Organize the operational structure, procedures and resources and ensure effective
training and development of operational staff to optimize people's performance.

Coordination & Communication:


Plan, organize and coordinate the shipping of goods, ensuring smooth and on-time
delivery by coordinating with vendors regarding current ongoing shipments, backorders,
HS CODES and MOH/DGR port Approvals, and SGS Registrations.
Ensure that all purchase orders are forwarded to suppliers promptly and coordinate with
them regarding order acknowledgements, goods receipt, discrepancies, and credit notes
for damages.
Timely and consistent communication on shipping arrangements with freight forwarders
regarding Outbound shipments in GCC regions like Oman, Qatar, Saudi Arabia, Lebanon,
Bahrain, Kuwait and local shipments in the UAE.
Maintain cordial relations with 3PL Warehouse and coordinate shipments with proper
packing and loading.
Interfacing with finance regarding shipment transactions for timely payment based on
payment terms.
Coordinating with the warehouse regarding picking, loading and alerting them regarding
inbound shipments to avoid space issues.
Follow up on orders from customers and assist/coordinate scheduled ship dates
accordingly and ensure clearance of issues/delays to meet lead KPI.

Documentation:
Prepare customs and shipping documentation by Customs regulations whilst also
adhering to obligations under sale contracts and Letters of Credit requirements.
Preparing clearance documents for Inbound shipments from the UK & USA like GRN,
Original set of Invoices, Packing list, HS CODES, COO, BL & MBL and keeping track of the
ETA to avoid demurrage or any late fine charges.
Obtains all attested legal documents necessary for exports from Dubai Chamber of
commerce and industry. Montaji CPIP application for local shipments and shipments by
road to GCC countries.
Responsible for the administration of documentation for shipping and customs
purposes and payment collection under Letter of Credit (LC) payment terms.
Applying Insurance for shipments.
Filing of document copies for customs and other audit purposes (Invoice, Packing List,
Certificates of Origin, Customs entries, Cargo Insurance Certificate, other as required).
