Workflow Analysis

Good morning! I will be discussing the workflow analysis. But before getting into the discussion, let’s
first define workflow.

Workflow - It is the sequence of events required to finish an activity.

It is the way people get work done. Think of it literally as work flowing from one stage to the next. Based
on the words na mismo, work and flow—yung flow nung work mo. This idea of the workflow process is
helpful since it gives the management a way to comprehend all the tasks necessary to generate a variety
of high-quality items as well as the skills required to carry out those tasks. It can be executed alone, or it
can involve multiple people.

Workflow analysis - It is the process of looking at a company's workflows, usually with the goal of
improving operational effectiveness. It will identify the problems and suggest ways to fix them, update
them, or improve the situation for the company.

It is the process of breaking down the performance of a workflow and examining trends for improvement.
It identifies potential opportunities for process improvement, such as redundant jobs or procedures,
ineffective office design, and workflow obstacles. Dahil nga sa workflow, inispecify kumbaga yung
kailangan na trabaho para magawa yung output or end product, hinihimay naman dito yung mga trabaho
na yun para makita if necessary ba talaga siya and kung paano siya nakakatulong para mapaaayos not
only yung product or yung result, but also yung company. Hindi lang din to made or done specifically for
products, but also for anything na kailangan ng step-by-step process.

Improves efficiency

Several parts of the procedure can be changed by organizations. This helps identify bottlenecks and
setting up new functional systems. If they think na may unnecessary na step or may step na medyo
nagtatagal, pwedeng pwede at kayang kaya nilang ayusin. After that, mas nagiging efficient yung
company. Businesses typically see an increase in profitability after the analysis. Additionally, workers
are more competent in their task because they understand it better.

Bottlenecks – a situation that causes delay in a process or system.

Better regulation compliance

Organizations can map all the procedures needed for compliance with specific rules using workflow
analysis. Most organizations must adhere to rules set by regulatory bodies for smooth business operations.
Isang example ay sa mga financial institutions kung saan they follow specific regulations to conduct their
business, makakatulong ang workflow analysis sa pagbibigay ng accurate data reports on regulation.

Better customer engagement

In order to build better relationships with your customer, businesses need make sure they deliver the
greatest services or products. An effective workflow should consider customer demands and how to better
resolve issues. The workflow analysis will assist in identifying the strengths and weaknesses of customer
service operations.

Employee collaboration
The business process can be automated to increase employee satisfaction. It makes difficult tasks that take
time and effort easier. Organizations can use workflow analysis to discover which processes can be
automated and which should be completely eliminated. Dahil nga ang purpose ng workflow analysis ay
ang pagaanin or padaliin ang trabaho ng mga nasa company, nakakatulong ito para mas magkaroon ng
better results at ouputs ang employees causing them to have a better work attitude.

Workflow analysis includes: analyzing work outputs, analyzing work processes, analyzing work inputs.

Outputs - It is the end result of labor performed by individuals using tools over a predetermined period of
time. Basically, it refers to the goods or services we buy or consume.

The first step is analyzing work outputs. In analyzing work outputs, hindi sufficient ang pagi-identify lang
nung output. The company have to specify standards for the quantity and quality of these outputs. Hindi
pwedeng basta basta lang tayo gagawa ng 50 pieces, we have to make sure na lahat yun pasok sa
standards na gusto natin, kaya important na i-finalize muna yung product bago mag-produce ng
madamihan.

One example given from our module ay sa McDo. In 2014, they added a lot of new items to their menu na
from 85 items nagging 121 na siya. Ang naging result ay nag-slow down yung service nila. May isa
silang item from their menu called McWrap which most managers refer to as a “showstopper” kasi
madaming worker ang required para gawin yun. Imagine if 5 people ordered that, how long that would’ve
take them?

Thus, this first step in deciding on the number of products or services offered is a critical step when it
comes to structuring the work.

Processes - It is a series of activities that assists the company in achieving its goals and strategic plans.
All the tasks required for the output's production are included in these procedures.

Once the outputs of the work unit have been identified, it is possible to examine the work processes used
to generate the output. The work processes are the activities that members of a work unit engage in to
produce a given output. Bawat process ay nagc-consist ng operating procedures na nagsasabi kung paano
gawin yung bawat step para magawa or matapos yung product. Bawat step or task ay hinahati hati sa iba’t
ibang tao or group of people para mas mapadali and mas mausisa ang paggagawa. Isang example ay kung
nanonood kayo ng How Its Made, makikita niyo sa ibang products na ang daming dinadaanan na tao para
lang magawa or matapos to.

Organizations often work hard to minimize overstaffing via lean production techniques. Lean production
refers to processes developed in Japan, but then adopted worldwide, emphasizing manufacturing goods
with a minimum amount of time, materials, money—and most important—people. Lean production also
means a systematic manufacturing method used for eliminating waste within the manufacturing system.
Lean production tries to leverage technology along with small number of flexible, well-trained, and
skilled personnel to produce more custom-based products at less cost. Dahil nga mas onti yung ginagamit
na tao, oonti yung cost. Contrast ito dun sa example ko kanina since tao mismo naggawa nung products
na yun.

Inputs - These are all materials that are used to produce goods and services.

This is the final stage in workflow analysis is to identify the inputs used in the development of the work
unit’s product. After natin ma-make sure yung quality and quantity ng gagawin nating products as well as
the process we’ll be using, we can now identify which inputs will use to make the said products.
These inputs can be broken down into the raw materials, equipment, and human skills needed to perform
the tasks. So first is…
Raw materials - It consists of the materials that will be converted into the work unit’s product.

Isang inventory control procedure na ginagamit ng companies na nagt-try ang lean production techniques
ay ang just-in-time. Just-in-time is a method in which goods or materials are received from supplies only
as they needed. Bibili lang yung company ng mga materials kapag kailangan na or kapag may nakapa-
order na. Ang isang advantage nito ay ang pag-reduce ng waste at costs. One disadvantage is that the
efficiency gained from maintaining an inventory measured in days rather than weeks creates a of lack of
flexibility.

Next is…

Equipment - It refers to the technology and machinery necessary to transform the raw materials into the
product.

We are all aware naman kung paano nabago or napadali ng technology ang buhay natin. as we see in the
“Competing through Technology” box, equipment refers to software programs that try to support human
operators. This means na dapat for support lang however there are some companies na nagiging reliant na
sa technology. Like as mentioned sa module, one study found that the more pilots relied on auto-pilot
when actually flying.

Lastly is…

Human Skills - It consist of the workers available to the company.

Human skills are of course the people who helped in producing the output. This specifically is about the
people who are necessary to perform the tasks from the workflow.

Developing a Workflow Analysis

In here is a diagram of what I basically discussed. From the raw materials, equipment, people needed as
inputs to the process or activity or tasks they are required to do in order to produce the output we are
aiming for.

Under raw materials or inputs, we ask “What materials, data, and information are needed?”. For
equipment, we look for “What special equipment, facilities, and systems are needed?”. And for people or
human skills, we ask “What knowledge, skills, and abilities are needed by those performing the tasks?”.

After that, we go on to the processes or actions nga and inquire about what tasks are required for the
output's production.

Then the output, ” What product, information, or service is provided? How is the output measured?”
