DATABASE PROJECT PLAN

Phase 1: Database Initial Study

1. Analyze the Company’s Situation

The College Library of the Polytechnic College of Botolan, based in Botolan, Zambales, is the
responding organization or department for this system and database project plan. They currently use
KOHA Integrated Library System (ILS) as their provider software for their library management system.
KOHA is a fully functional, open-source, and free library automation program that is released under the
terms of the Free Software General Public License (GPL).

2. Define Problems and Constraints

The current problems and constraints of the library management system of the College Library
of the Polytechnic College of Botolan are defined belows:

 Deployment – The KOHA ILS they are using is currently deployed locally at the library computer,
it can be only used inside the library and at the library computer.
 Resources – The College Library of the Polytechnic College of Botolan is currently lacking
resources, such as internet, to fully deploy an automated and web-based library management
system.
 Trainings and Staffs – Currently, only one library personnel is in-charged and trained to use and
manage their current library management system (KOHA), so cataloging a large number of
books takes a lot of time and effort.
 Database and System Complexity and User-friendliness – Due to KOHA is an open-source
software package, the development of this software is maintained only by volunteered
community of developers collaborating together, thus development is slow and tailored to
meet a general needs. The system, the College Library of Polytechnic College of Botolan using, is
not tailored or programmed to match or meet their specific needs. It includes additional
options and features that is considered not functional and can’t be applied to the current state
of the College Library. These additional features and options became complexities that only a
trained library personnel can understand and use.
 3. Define Objectives

This system and database project plan aims to solve the problems and constraints which are
currently experienced by the College Library of the Polytechnic College of Botolan. The obejctives of this
system and database project plan includes:

 Developing a user-friendly library management system with an admin dashboard that doesn’t
requires complex requirements and tasks for a library admin to add and edit or modify book
records.
 Developing a user-friendly library management system with user dashboard or portal, which can
be easily use and understand by a normal user even without special trainings and instructions.
 Deploying the created system and database to the cloud or web, so thus it can be use even
outside the library, whenever and wherever internet is available.

4. Define Scope and Boundaries

This system and database project plan is intended to specifically address the problems and
constraints in the College Library of the Polytechnic College of Botolan. This system and database
project study includes the (A) System and Database Planning, (B) System and Database
Development, and (C) System and Database Deployment.
