Applicant Guide
This step by step guide will take you through the process of applying for jobs. If you wish to
complete the process using a manual form please refer to the FAQ section of this website.

1. Registration

To proceed with an application you must register with or login to http://www.hscrecruit.com/

2. You can open the Registration in a full page if you wish

Simply click on the button if you wish to make the Registration page full-screen

3.Complete Registration

Please complete all fields within the registration page and especially mandatory fields marked
with a red asterisk.

*Please note the password convention and take note of your username and password for
future use

4. Confirm acceptance of the Data Privacy Statement

Read the Data Privacy Statement by clicking on the blue link and then tick that you accept this
statement. Once complete click on the ‘Register’ button.

5. Create a Profile and Apply for Jobs

Once you have completed the registration you are brought back to the eRecruitment
Homepage. You now have two options

A) create a profile and then complete job specific applications or


B) simply complete job specific applications

We recommend you fill in your profile before applying for jobs. Once your profile has been
completed your information will transfer automatically into all future applications and profile
information can be edited at any time*. After completing a profile there will still be additional
questions as part of each specific job application that need to be completed.

*You can change profile information at any time, the information entered at the closing
date of the application will be the information used for shortlisting and pre-employment
checks as this is ‘locked’ at the time of submission.

6. Personal Data (Profile)

After completing this information, click on ‘Save and Next’ to make your way through the rest
of the profile sections. All correspondence is via email - enter a valid, active and accessible
email address. HSC employees should refrain from using their work e-mail in their personal
profile.

Please note that the National Insurance Number, Home number and Mobile number fields are
all mandatory. Candidates without a National Insurance Number should enter ‘Non UK’.

The system times out after 120mins regardless of activity - Click on ‘Save and Next’
regularly to save information – you can go back to previous page if not complete.

7. Complete Work Experience details (Profile)

Click on the ‘Add’ button to add each work experience and then click on ‘Next Step’ once
complete.

What is your previous work experience?

Please detail below your previous work experience. List each work relationship individually,
providing full dates where requested. Your work history MUST also account for any gaps in
employment, which you should detail in the 'description' field along with relevant dates. List all
work relationships to date individually. You have the option of editing or deleting each period
of work experience after completing this.

8.Complete work experience details

Enter the relevant information for each period of work experience. Once complete click on the
‘OK’ button.

Please note you must list each work experience relationship individually, providing full dates
where requested. Your work history MUST also account for any gaps in employment, which
should detail in the ‘description’ field along with relevant dates.

If the employment details refer to your existing job then click on ‘Current Employment’

Option to add more work experience

Once you have completed your full work experience history then click on ‘Save and Next’.

9. Enter Reference Details

Please enter two referees details here. An option is available for you to select which advises
recruitment to not contact these referees prior to interview. These referees’ details can always
be edited and amended.

Who are your referees?

Please name two referees (not relatives) at least one should have knowledge of present work
and be in a supervisory or managerial capacity (Please note that we will always seek a
reference from your last HSC/NHS employer).

Enter referee details

Once you have completed details for one referee then click on Transfer to save this. All fields
prefixed with a red asterisk are mandatory.

Add your second referee using the ‘Add’ button and then click on ‘Save and Next’.

10. Enter Professional Registration Details if Appropriate

Once you have entered Professional Registration details (if applicable) then select ‘Transfer’.

11. Complete Residency/Immigration Details

Enter Residency/Immigration details as applicable by clicking on the ‘Add’ button.

If you are a UK or European Economic Area (EEA) national you will need to add in your
passport number if you select that option as the document you will produce to evidence this
during pre-employment checks and also in order to complete the Residency/Immigration
details section.

If you are a non UK or EEA national you will need to give details on your visa and eligibility to
work in the UK. You can edit this information at any time as well though what you enter at the
closing date for a job will be used for that specific job and not any information entered after
this.

Residency/Immigration Details

Once you have entered the required information click on ‘Transfer’ button.

12. Data Overview and Release

Once all fields are complete then you will be able to view the overall data overview of all the
information you have entered in your profile.

You must read and tick the box that you have read and understood the Data Privacy
Statement and then click on the complete button.

Again, you can change this at profile information at any time but the information entered at the
closing date of the application will be the information used for shortlisting and pre-employment
checks as this is ‘locked’ at the time of submission.

13. Apply for Job

Once you have completed your profile you can now search and apply for jobs. To do this, go
to the ‘Overview’ tab and under the ‘Employment Opportunities’ section click on ‘Job Search’.

14. Search for Jobs

You can filter your search for jobs by entering in parameters of your interests in relation to
what Organisation, Branch (location), Contract Type or Hierarchy Level (Admin and Clerical
etc.). You can also save these search criteria for future use by clicking on ‘Save Search
Query’. In addition, you can also search by key word in the title of a role you are interested in.

If you do not select any search criteria then the system will produce results for all the available
jobs.

Just click on Start to complete any search.

15. Select the Job you wish to apply for

Highlight the job you wish to apply for by selecting the row, then click on Apply. In this
example a job will be applied for that is highlighted and this job was created for testing
purposes.

16. Start Completing Job Application

A new window appears with the access to completing the job specific application form. Click
on Continue as per below.

17. Personal Data

The information entered when completing your profile will pull across and populate this section
for you. Otherwise enter required information and then click on ‘Save and Next’.

18. Work Experience

Again, the information entered when completing your profile will pull across and populate this
section for you. Otherwise enter required information and then click on ‘Save and Next’.

Please remember to list each work relationship individually, providing full dates where
requested. Your work history MUST also account for any gaps in employment, which you
should detail in the 'description' field along with relevant dates.

19. Cover Letter

You do not need to add a cover letter to your application. Simply state where or how you
became aware of this job opportunity. This information is used for market research purposes
only.

Please choose form the drop down options and complete as appropriate and then click on
‘Save and Next’.

20. Questionnaires Section

The following questionnaires are mandatory:

1. Convictions/Offences
2. Governance
3. Driving Licence/Access to Transport
4. Planned Holiday Arrangements
5. Interview Arrangements i.e. do you require any adjustments?
6. Personal Declaration
7. Job Specific Questionnaire e.g. how you meet the various shortlisting criteria?

The Equal Opportunities Monitoring Questionnaire is not mandatory.

Click on ‘Save and Next once you have completed all questionnaires.

Tip – please enter N/A into questionnaire text box if you have no information to enter here.

21. Residency/Immigration

The information entered when completing your profile will pull across and populate this section
for you. Otherwise enter required information and then click on ‘Save and Next’.

22. Professional Registration

Information entered when completing your profile will pull across and populate this section for
you. Otherwise enter required information and then click on ‘Save and Next’.

23. Referee Details

Information entered when completing your profile will pull across and populate this section for
you. Otherwise enter required information and then click on ‘Save and Next’.

24. Complete Application

Once you reach this step a dialogue box will automatically open asking you to Open, Save or
Close the form. If you click on Open then you will see your entire application. You can review
this and if you want to make any changes simply click on the relevant stage and you will be
taken straight to that section where you can edit or add any information. If you hover over the
bottom of the data overview with your mouse a print option will also appear.

If the dialogue box closes simply go back one step then return to the Complete Application
Stage.

You must demonstrate you have read and accepted the Data Privacy Statement by ticking
that field. Once satisfied that your application form is complete and accurate then click on
‘Send Application Now’.

25. Confirmation Application Submitted

A page appears confirming the application form was submitted (you will also receive an email
notification that your email has been submitted).

26. View your Completed Applications

In order to view all the applications you have submitted go to the Overview tab then under
‘Employment Opportunities’ section click on ‘My Applications’.

27. My Applications

In this area you can see all the application forms you have submitted or have in draft format.

28. View/Print Application Form

You can view or print any application form (either completed or in draft format) whilst you also
have the ability to withdraw/delete you application as well. You must highlight the relevant job
by selecting the relevant row firstly before performing any actions.
