First of all, we would like to thank our ASM510 lecturer which is Miss Noorazzila Binti

Shamsuddin for her countless hour teaching, mentoring, give us guidance about what we need

for our learning process. We are grateful that she teaches us this subject, with her guidance

we were able to run and know how to use Microsoft Access. Furthermore, all those recorded

lecture that Miss Noorazzilla give us is so useful when doing this assignment because we can

watch it if we make some error, so we can learn from our mistake. Lastly, we are really grateful

that we able to work as a team. Due to Covid-19 we all had going through online class, so all

of us cannot meet a known each other because of this group assignment we became close

and know each other better. Thank you again to our lecturer Miss Noorazzilla and all the

group members that help give and full commitment while finishing this assignment.

INTRODUCTION

Bake n Take LOGO

We have created a company that is specialize in baking, which is Bake n Take Sdn.

Bhd. It was established on March 2017; our main office and factory is located at Kuala

Lumpur. The company specialize in baking, our company is well-known for the special

signature cookies and it is our main product. We also have other types of dessert such as

variety type of cakes, cupcakes, pavlova, doughnut and creampuff. All of our product is made

from premium quality ingredients, so that our customer will taste the most delicious cake that

they ever had. Just like our company slogan “Love at First Bite”, once you taste it you will

keep thinking about it.

Furthermore, we have our own dropship team that help us sells out product all over

Malaysia. Our dropship teams have their own regular customers that keep asking for our

dessert, so we did not have to worried about loss or excess supplies to bake the dessert.

Hence, some of well-known restaurant also taking stocks of dessert from our company. In the

meantime, Bake n’ Take Sdn. Bhd. is growing bigger we need more staff and dropships for

our company.

By using Microsoft Access, it is so useful to check and save all the data of our

employees and dropships. At this point, Bake n’ Take Sd. Bhd. did not scare and we are

prepared to spread our wings across the Asia Countries.

IDENTIFICATION OF PROBLEM

Several critical issues have come to light during our business's growth, and these issues

must be resolved since we are to maintain our current rate of expansion. Inefficient

management on our part is to blame for all these problems, particularly regarding our order

and delivery long delays. The following are some of the problems:

1. CONTROLLING ORDERS ISSUE

Bake n’ Take bakery usually received too many orders in a week. In that case, multiple

and overload wholesale orders are getting out of hand, and we frequently overlooked the

orders. When there is an excessive amount of demand, we are unable to handle it in an

effective manner. We do not have the management skills necessary to properly arrange and

key in the order to prevent missing any orders that are received. Bake n' Take bakery also

receives a great deal of unfavourable feedback from customers and sales agents, who note

that their orders take a long time to arrive, the flavour of our baked goods has changed, and

they believe that we use low-quality ingredients rather than premium ones. Baking is more

difficult than it appears, and it takes some time to create a cake, pastry, or other type of

dessert. Unfortunately, our bakery had to deal with a large-scale order that caused us to lose

a significant portion of our customer base and will likely take a significant amount of time and

effort to rebuild. We are of the opinion that for a great company to succeed and remain ahead

of their rivals, they need to learn how to sell their product in critical situations. If we do not

have an effective management system in place to keep our company afloat and relevant to

the public, we will not be able to accomplish this goal. Our bakery needs to devise an efficient

method for managing the orders in place to ensure that we receive them in the specified way.

Therefore, if we have an improved system for controlling the orders, we will be able to maintain

the quality of the baked goods we produce. This is because we are unable to bake in a rush

because it may compromise the taste of the finished product.

2. COMPLICATION WITH THE DELIVERY OF ORDERS TO CUSTOMERS

Deliveries that have been made too late are a problem for the customer as well as for our

business. The customer somehow doesn't wish to wait for their delivery for any longer than is

strictly necessary, and we do not wish for our business to acquire a poor reputation because

of our inability to meet delivery deadlines. Customers will decide based on the time that our

courier has specified for delivery, and if that period is failed to notice, our customers will be

annoyed, and their plans will be disrupted. Aside from that, we consistently face significant

impact on the quality of our baked goods when it comes to our commodity. We intend for all

our packages to be delivered in the same pristine state that they were sent out in. Countless

customers contacted us to let us know that the items they ordered did not arrive in the condition

that was described, such as the decoration on the cake getting wrecked. If this occurs, we are

committed to ship a replacement batch of baked goods, which means that our company will

incur a loss. Our delivery courier chosen should do everything in their power to make sure that

our packages are kept secure during transit. In addition, Bake n' Take does not have adequate

agent to cover all of the available surface area. In this scenario, our representative is unable

to cope with the high volume of orders being placed. Some of the agents hired already have

other commitments, which means they won't be able to give their full attention to delivering

baked goods to customers. When we have some customers in the area that have sufficient

agents, there are times when we are unable to make a delivery as quickly as possible because

we do not have agents available who are able to do so. Whereas it comes to delivering goods,

the importance of doing so in a secure and timely manner cannot be overstated. Despite of

that the issue at hand needs to be resolved as soon as possible because the continuation of

our business is dependent on doing so.

RECOMMENDATION TO OVERCOME THE PROBLEM IN DATABASE

There are 2 recommendations that be used in order to improve the current systems such

introduce good systems and increase the agent. With these 2 ways, Bake n’ Take could

manage their current systems in systematically way. These recommendations will help the

company to find out what are the weaknesses and the solution that give some advantages

such will increase the productivity of work and orders.

1. INTRODUCE GOOD SYSTEMS

a. Sorts and Update Orders

The first one is introducing a good system concerning to replace the old systems. There are

a few ways to encounter the problem of controlling orders. As a bakery that need should fulfil

the request from many customers, they should use a very good systems in managing the

multiple wholesale orders. This could make our work progress smoother and more efficient.

As Bake n’ Take bakery want to improve their company, they can separate the orders based

on the quantity and types of products. Such to manage the order from small and big amount,

they should always have a better listing order and they need to sort or update the orders to

make sure there is no mistake when preparing or delivering order to customers.

In datasheet and design view of compound query, we can see the company sort out their order

from the customers and finalize the commission to the agent.

of order can be easily found and helping to improvise their systems.

While for wildcard query, its to make sure the name of agent can be listing with specific

name such to help to identify the agent to sort an order.

b. Use A Better Ways of Delivering Orders

The second way that is to help the productivity more systematic, the company should use a

better couriers service. A better couriers can give the positive impact such the customers will

receive their order in the fastest way. Customer as who has a priority, they need to receive

their orders in a short time especially when it is comes to ‘food’. Bake n’ Take could find any

queries that can make the posting progress faster and safer while avoiding having the issues

during the delivery process. From the research, there are Ninja Van, J&T and Pos Laju are

the common use in Peninsular Malaysia. As a big bakery that will produce more product such

a food, they should find a great courier service concerning the quality of the food as well.

For these types of recommendations, we provide the list of query services that could help the

delivering process.

For staff table, its shows that the agent the staff of the bakery will receive their order by

those types or name couriers’ services. Not only for postage but all the staff can choose

whether they want to post out or delivery to their agents.

2. INCREASE THE AGENT

Bake n’ Take has many customers that mostly all the state in Malaysia. The quantity of agent

also play an important role in delivering the product to customers. To make our brand more

well-known throughout the state, we need to add agents in each state such Selangor, Kedah,

Wilayah Persekutuan, Terengganu, Pahang, Pulau pinang, Kelantan and Melaka. Meanwhile,

be sure to celebrate a job well done by providing positive feedback, rewarding excellent

performance, and acknowledging even minor accomplishments. Increase the agent in

business, is extremely beneficial because with more agents, we can make a lot of profit at the

same time can help people which conduct to give a commission to them. Knowing that they

are making a difference for consumers and the firm for which they work emphasizes their

relevance and importance to the company. Treating your agents as valuable members of the

team that they will result in a more positive work atmosphere that will motivate agents to stay,

saving you time and resources. Finally, multichannel agents should be created. In an industry

where repetition is unavoidable, cultivating multichannel agents not only gives agents with a

more diverse workday, but also allows agents to broaden their skill set. Creating multichannel

agents improves staff retention and lowers fatigue due to task variation.

In this table which agent table, it provides us about which agent that make sales under staff

based on their agent number and staff ID. This also show that staff can find agent under he

or she from the state that he or she cover are from the state and can help identify types of

products.

CONCLUSION

Bake n’ Take Bakery that have 2 problems in current systems, it affected the

processing in delivering the product to the customer. Dealing with that, it will lead the company

to have another problem if we do not find any solution to prevent those problem.

Based on the information that has been provided in this report, we can see Bake n’

Take Bakery have a problem in controlling their orders such don’t have a systematic system

to increase their productivity of work. In order to overcome the problem, Bake n’ Take bakery

should improvise their current systems such to introduce the good systems. The goods

systems consist of 2 elements which are sorts and update order and use a better way in

delivering orders. This element of recommendation will help the company systems more

practicable and indirectly make the environment of work easier. Other than that, the company

also dealing with complication with the delivery of orders to customers. The solution of this

problem, they should increase their agents based on the quantity of customers in specific an

area. With that, it will make many customers can get the product from this bakery. It also will

give some profit to the agent and to the company as well. Such the recommendation in

database as a solution for both problems, the productivity of work will be more efficient and

can avoid any unwanted situation such bankruptcy, financial loss and other that could give

negative impact to the staff and the branding.

In conclusion, the company need to have a better solution concerning their profit. Not

only that, the company also wise in controlling orders such from customers in a short time.

This database would help a lot because it is showing the good result and easier ways to sort

any orders, staff and agent as well. From staff and agent table, 5 queries which are query on

compound criterion, query on calculated field, crosstab query, wildcard query and parameter

query, report, form and multipage form, we can see that those all types of databases are works

well based on the requirements. In addition, the relationship between table staff and agent

are perfectly connected.
