The Glee Club at UAA

Season 17 (Fall 2018)


Bylaws

Membership
 Membership to the Glee Club at UAA is open to all current UAA students.
 Performers in Glee are chosen by audition. Glee auditions are open to any current UAA student
enrolled in at least 3 credit hours. Final decisions at auditions are to be made by the club officers.
 Students on a “wait list” for a UAA program or are enrolled in APU may audition, but must
understand that currently enrolled UAA students have priority during final auditions. Special
cases will be reviewed by club officers and admittance will be at our discretion based on the
needs of the club as a whole.
 Membership in Glee is open to all, and in accordance with the Board of Regents
nondiscrimination clause P01.02.020., will not discriminate against any individual because of
race, religion, color, national origin, citizenship, age, sex, physical or mental disability, status as a
protected veteran, marital status, changes in marital status, pregnancy, childbirth or related
medical conditions, parenthood, sexual orientation, gender identity, political affiliation or belief,
genetic information, or other legally protected status is prohibited. Decisions affecting individuals
shall be based on the individual's qualifications, abilities and performance, as appropriate.
 Glee Alumni are able to perform in the group as an Auxiliary Member.

Club Officers
 Any current member in good standing is eligible to become a club officer.
 Officers must retain a 2.25 grade point average to be eligible and to retain their title.
 All officer positions, except President/Music Director, will become available at the end of each
full academic year. Club members interested in an officer position must submit an essay as their
formal application which will be reviewed by current officers.
 Officers will be chosen by majority vote from current officers after finals week of the current
semester.
 If an officer leaves their position before the end of their term, they may nominate a replacement
and the final decision will be made by that officer and the President.
 The President and/or Music Director will carry out their term until they decide to step down or
until their last year as an undergrad. Any current Glee member is eligible to apply for these
positions, but priority will be given to current Glee officers. All interested applicants must submit
a formal application, which may be reviewed by current officers. The final decision will come
solely from the current President.
 If officers feel the current individual holding the President/Director position is not fulfilling their
duties or is not mentally or emotionally fit to effectively run Glee, a formal meeting must be held
to review their performance. The current President/Director must be in attendance to that
meeting. If the President/Director is not fit to run Glee and there are no interested applicants, the
vice-president must assume the President/Director position indefinitely or until one is appointed.

Club Officer Positions

ADMINISTRATIVE
 President
o Registers for UAA Life and completes CourseSites
o Reregisters club every fall
o Completes reports as required by UAA Club Council and the University
o Responds to professional emails
o Presides over meetings
o Handles the club calendar
o Reserves concert venue
o Schedules photoshoot
o Updates all forms and documents (audition form, bylaws and constitution, syllabus,
contract)
 Vice President
o Assumes role of president in times of absence
o Provides additional assistance
o Facilitates dissemination of information
 Treasurer
o Registers for UAA Life and completes CourseSites
o Reregisters club every fall
o Ensures that all accounting and purchasing policies, procedures, and regulations of UAA
will be followed
o Stays aware and updated on proper procedures for accessing money in the UAA account
o Maintains all funds in the UAA account
o Keeps a ledger tracking all expenditures and revenue
o Controls printing money
o Pays for concert venue and photoshoot (if necessary)
o Organizes and orders club hoodies
o Pays for concert concessions
o Deposits money made from concerts to Student Clubs and Greek Life as soon as possible
 Secretary
o Notifies new members of acceptance into the club after auditions
o Keeps accurate and updated roster of all members
o Collects and maintains contact information
o Logs rehearsal attendance
o Contacts unexcused absent members at the beginning of rehearsals
o Keeps Minutes of meetings
o Notifies members of future events
 Club Council Delegate
o Attends UAA Club Council meetings
o Assists in maintaining UAA Life page
 Marketing
o Handles marketing, media, and promotional agenda
o Advertises auditions and concerts
o Maintains social media accounts
o Creates private Facebook group at the beginning of each season
o Posts member biographies on the public Facebook page
o Creates concert program
ARTISTIC
 Musical Director
o Oversees and directs rehearsals
o Leads as the main vocal teacher and director
o Organizes and coordinates gigs/community outreach
o Makes all final decisions concerning music, soloists, and concert programs
 Assistant Musical Director
o Assumes role of musical director in times of absence
o Assists musical director in teaching vocals
 Section Leaders
o Provides extra assistance to members in their particular sections
 Choreographer
o Choreographs and blocks numbers
o Teaches and directs dance rehearsals
o Makes all final decisions on choreography
 Artistic Director
o Directs performers on stage presence and intentions
o Assists in blocking and sightlines
o Makes final decisions on set, costumes, and programs
 Tech & Sound
o Controls and coordinates all technical sounds and lighting involved in the concerts
o Informs stage manager how to work tech and sound during concerts
o Makes final decisions on lighting and sound

Auxiliary Members
 Any former member of Glee that has served 2 terms and wishes to be involved with performing as a
“guest artist”, but is unable to attend regular rehearsals; Audition not required; Does not need to be
enrolled (but will NOT be considered an official current member of the club during the season).
 Individuals that have not severed 2 pervious terms, may audition for auxiliary positions and
acceptance will be at the discretion of the club officers.
 May perform in small groups or fillers; performance in large ensemble numbers at the discretion of
the music director; Not eligible for large ensemble number solos.
 Must assist in concert duties and/or other events.

Rehearsals & Attendance Standards


 Rehearsals will be held twice weekly, Mon & Wed 6-9pm.
 Wednesday rehearsals are mandatory for all members.
 Performers are expected to attend all rehearsals they are available for.
 All regular scheduling conflicts are to be reported to the secretary. If a performer is aware of
scheduling conflicts, he/she must contact the secretary at least one week before the rehearsal.
 Any performer who misses three rehearsals or is over 15 minutes late to five rehearsals without
contacting the SECRETARY in advance will be excluded from the final performance (concert).
 Members are expected to attend and participate in various club events outside of rehearsals and
performances (i.e. fundraisers, gigs, etc.).
 Facebook will be the club’s primary methods of contact.

Performance Standards
 All performers will be held to the same performance standards.
 All performers are expected to practice the material on their own time before group rehearsals.
Recordings of ensemble numbers will also be available for practice.
 Ensemble numbers are to be memorized (music and choreography) by the dates specified on the
calendar. At this point, no music may be in hand during rehearsal. Any performer who does not
perform the music or choreography of a specific number to a satisfactory level by the deadline will
not perform said number in the following performance (at the discretion of the Music Director,
Section Leaders and/or Chorographer).
 All performers are encouraged to organize, arrange, and practice their own small group numbers.
Rehearsal for these numbers must be done mostly on the performers’ own time. If these are not
performed to a satisfactory level by the deadline, they will not be a part of the following performance
(at the discretion of the Music Director, Stage Director and/or Chorographer).
 Exclusion of performers from any performance is at the discretion of the club officers.
