1. Objective

To establish processes that drive the Learning Culture & Development through
focused Professional, Technical skill enhancement endorsed by Certifications
thereby adding a holistic experience of skill upgradation across the organization.

2. Eligibility

At the core, the vision of L&D is to drive Business in making informed Decisions
based on the Skill sets that Individuals carry across the roles played. As such, we
understand that as an organization we perform, play & contribute at multi-level as
Partners, SI’s, MSP’s, Lead Player etc., and hence the need to build a funnel of
Certified associates across Technology, Domain areas driven by the management.

Eligibility:
1. Associate must be a full-time associate of Fluentgrid
2. Should be Active and not serving notice
3. Should qualify for all such pre-requisites wrg., to Certification including but
not limited to Experience, Technical/ Domain skills, Point 1 & 2 of this clause
etc.,

3. Reimbursement

3.1 Guidelines

Associates utilizing reimbursement thru this policy need to obtain prior


documented approval from the Immediate manager and subsequently from the
Department and BU Head & share the inputs with L&D and HR Head for further
process. BU/ associate’s availing this reimbursement will need to give a lead time
as mentioned below:

 Short Term: 45 calendar days


 Long-Term: 60 calendar days

Certification cost shall be reimbursed only after successful completion of


certification, or course according to policy and upon timely inputs, submission of
certification aligned to policy guidelines.

In cases identified, Organization shall nominate few associates in discussions with


BU for various niche certifications towards individuals’ professional development
and for Business viability & sustainability on periodic basis.

3.2 Claim submissions

1. Associate is expected to have:

a) Written approval to undergo the certification program.


b) Exercise good judgment with respect to certification expense.
c) Check for accuracy of bills and other documents before accepting or
paying them.
d) Claim reimbursement strictly on policy adherence.
e) Report all expenses and advances promptly and accurately with the
required documentation.
f) Plan certification in advance to minimize work impact
g) All reimbursements other than Certification expense are not entertained
thru this policy and will be dealt on case 2 case basis with final approvals
from BU, HR Head and CMG only.

Associate must discuss, request permission from their Immediate manager, Dept.
Head for review and approval to attend and to receive reimbursement for a desired
course along with final BU approval. The request must include applicable course of
study, purpose, job relevance, cost, dates/duration, times of coursework and the
name of the institution or source of certification/ course.

2. The HR Department is responsible for


a) maintaining and updating this policy with CMG inputs from time to time
b) monitoring compliance with this policy
c) review, evaluate, verify, and monitor the prices / quotes as submitted by
the institutes to ensure maximum cost efficiency.

d) monthly expense report will be shared to CMG as part of department


reporting.

3.3 Matrix: Duration V/s Commitment:

Continuous

Short Term Course/ Certifications<= 4 weeks 3 months
Mid Term Course/ Certifications 4 – 8 weeks 6 months
Long-term Course/ Certifications 8 weeks and above 12 months

Matrix: Score V/s Reimbursement:


Grade A/ < 90% = 100% reimbursement
Grade B/ < 75% = 75% reimbursement
Grade C/ <50% = 50% reimbursement

Grade/ Agg. Score V/s Reimbursement:

1. Exceptions, if any, will be re-directed to the BU Head and HR Head for specific
approvals.
2. Certification cost shall be reimbursed after successful completion of
certification, or course.
3. In case associate is unsuccessful in the first 2 attempts, then associates need
to bear the cost towards subsequent attempts. A pass/fail course is 100%
reimbursable if passed successfully within the first 2 attempts.
4. Any amount claimed and reimbursed under this policy will be recovered in
full in case of resignation by the Associate without serving mandatory
continuous employment as per details mentioned in Clause: Matrix 3.3 and
applicable Notice Period.
5. As a matter of record, associates accepting the terms of this policy will be
required to sign a written agreement/ Email Consent to remain with the
organization as specified in Continuous Employment from the date of the
Course reimbursement. If the associate terminates in breach of this clause,
he/she will be required to pay damage amount to the Organization

6. Associate/s will need to complete the course curriculum & subsequent


exams and such not exceeding 20% deviation; under special circumstances,
management may review this on need basis only.
7. Point 4 is exclusive of Notice period and clause & Matrix 3.3

3.4 Local Conveyance

Local conveyance either in same location or outstation conditions will not be


provided to the associate under this policy.

3.5 Approval Guidelines:

 Reimbursement approvals shall be done by the immediate managers,


followed by the Department Heads, BU Heads, Head HR, and authorized
finance personnel.

 AVP, VP and above need an approval from concerned CMG member.

4. Disclaimer

The Company reserves the right to amend, adjust, reassign, or withdraw any or all
objectives within this policy. Such amendments, adjustments, or assignments, if
any, will be formulated & updated in the policy and the same would be reviewed
on a timely basis.

Associates who violate the guidelines as detailed in this policy or wilfully submits
falsified expense reimbursement requests will be subjected to disciplinary action.

5. Exception Handling

Any exceptions to these policy guidelines will be considered on case-to-case basis


and the same must be approved by the CMG, BU Head and Head HR formally.
