Get to Know MS Word

Introduction

Where do you usually do your work, like your modules? Of course,


most of the time it will be on a work area, which may be a place in your
home where you can have easy access to all your needed tools and gadgets.
With computers, the work area is where users’ complete tasks on their
computers. For example, the desktop is considered a work area. A
program such as a text editor, word processor, or spreadsheet, the location
where you are typing text is considered the work area.

Learning Competency

Demonstrate skills in using word processing software to compose


effective and well-organized documents.

Objectives

At the end of this Guided Learning Activity Kit, you are expected to

1. identify the parts of MS Word work area;


2. give the functions of the parts of the MS Word work area; and
3. familiarize with the MS word Interface.

I know you may be very familiar with the first acronyms, what about
the last? WYSIWYG is an acronym which means, What You See Is What
You Get, which is what the Microsoft Word is, as a word processor.

Discussion

Microsoft Word is a word processing application that allows you to create


a variety of documents, including letters, resume’, and more. You will learn
how to navigate the Word interface and become familiar with some of its
most important features, such as the Ribbon, Quick Access Toolbar, and
Backstage view.

You will see in the figure below the parts of the MS Word work area.
Familiarize yourself in their functions.

1. Quick Access Toolbar – access common commands no matter which


tab is selected. By default, it includes the Save, Undo, and Redo
commands.

2. Ribbon – contains all the commands you will need to perform common
tasks in Word. It has multiple tabs, each with several groups of
commands.

3. Help bar – allows you to search for commands, which is especially
helpful if you do not remember where to find a specific command.

4. Microsoft account information – you can view your profile, and also
switch accounts.

5. Command Group – each group contains a series of different


commands. Simply click any command to apply it. Some groups also
have an arrow in the bottom-right corner, which you can click to see
even more commands.

6. Ruler – is located at the top and to the left of your document. It makes
it easier to make alignment and spacing adjustments.

7. Document Pane – where you will type and edit text in the document.

8. Scroll Bar – Click and drag the vertical to move up and down through
the pages of your document.

9. Page and Word Count – you can quickly see the number of words and
pages in your document.

10. Documents Views – There are three ways to view a document:


• Read Mode displays your document in full-screen mode.
• Print Layout is selected by default. It shows the document as
it would appear on the printed page.
• Web Layout shows how your document would look like a
webpage.

11. Zoom Control – Click and drag the slider to use the zoom control.

Working with the Word Environment


Let us get to know the different tabs and icons in the Word environment

1. The Ribbon Interface


This contains multiple tabs, which you can find near the top of the
Word window.

Each tab contains several groups of related commands.

Some groups also have a small arrow in the bottom-right corner that
you can click for even more options.

2. Quick Access Toolbar
To add commands to the Quick Access Toolbar:
A. Click the drop-down arrow to the right of the Quick Access Toolbar.

B. Select the command you want to add from the menu.

C. The command will be added to the Quick Access Toolbar.

To show or hide the Ruler:


1. Click the View tab.
2. Click the checkbox next to Ruler to show or hide the Ruler.

3. Backstage view
Backstage view gives you various options for saving, opening a file,
printing, and sharing your document. To access Backstage view, click
the File tab on the Ribbon.

Functions of the different parts of the Backstage View

a. Return to word – You can use the arrow to close Backstage view and
return to Word.

b. Information Pane – will appear whenever you access Backstage view.


It contains information on the current document. You can also
inspect the document to remove personal info and protect it to keep
others from making further changes.

c. New Blank Documents – you can choose from a large selection of


templates.

d. Open Document – you can open documents saved to your computer
or to your OneDrive.

e. Save and Save as – to save documents to your computer or your


OneDrive into another file type like PDF, XPS, webpage and other
version of Word.

f. Print Pane – can change the print settings and print your document.
You can also see a preview of your document.

g. Share – you can invite people to view and collaborate on your


document.

h. Export – your document in another file format, such as PDF/XPS.

i. Close – click here to close the current document.

j. Account Pane – you can access your Microsoft account information,


modify your theme, and background, and sign out of your account.

k. Options – you can change various Word. For example, you can control
the spelling and grammar check settings, Auto Recover settings, and
language preferences.

4. Starting a Document
The document is known as Word. To start a project in word you need
to create new documents, which can either be blank or from a template.
You will also need to know how to open an existing document.
a. To start a new blank document:
1) Select the File tab to access Backstage view.
2) Select New, then click Blank document.
3) A new blank document will appear.

b. To start a new document from a template:


A template is a predesigned document you can use to create a
new document quickly. Templates often include custom formatting
and designs.
1) Click the File tab to access Backstage view, then select New.

2) Several templates will appear below the Blank document option.
You can also use the search bar to find something more
specific. In our example, we will search for a flyer template.

3) When you find something you like, select a template to preview


it.

4) A preview of the template will appear. Click Create to use the


selected template.
5) A new document will appear with the selected template.

To open an existing document:

1) Navigate to Backstage view, then click Open.

2) Select This PC, then click Browse. Alternatively, you can choose
OneDrive to open files stored on your OneDrive.

3) The Open dialog box will appear. Locate and select your document,

4) then click Open.

5) The selected document will appear.

To convert a document:

1) Click the File tab to access Backstage view, then locate and select the
Convert command.

2) A dialog box will appear. Click OK to confirm the file upgrade.

3) The document will be converted to the newest file type.

Given is the Backstage View of the Word. With the given shapes and
instruction, identify in the figure, what is being described. The first one is
done for you.

1. This is used to close the backstage view and return to word. Use a
circle ( ) and identify this part in the figure.

2. Click on this if you want to print your document. Use a square ( ) in


identifying this in the figure.

4. This will always appear whenever you access Backstage view,

format such as PDF or XPS. This will show you know it ( ).

10. When you click on this, as you open word, you can choose from a
large selection of templates. Identify with this ( )

Independent Practice
Directions: Create a new document, using a template for a letterhead. Then
save in your computer, using the file name format: Last Name_First
Name_Grade and Section_my document. Take a screenshot and have it
printed for submission or submit it online through Messenger.

First, the Learning Resources (LR) Development Team composed of the


writers and graphic artists for devoting much of their time and exhausting their
best efforts to produce these indispensable learning kits used for the
implementation of learning delivery modalities.

Second, the content editors, language reviewers, and layout evaluators


making up the Division Quality Assurance Team (DQAT) for having carefully
evaluated all GLAKs to ensure quality and compliance to DepEd standards;

Third, the Provincial Government of Zambales, for unceasingly extending its


financial assistance to augment the funds for the printing of these learning
resources for use by learners and parents at home.

Fourth, the teacher-advisers and subject teachers, in close coordination


with the school heads, for their weekly distribution and retrieval of the GLAKs and
for their frequent monitoring of the learners’ progress through various means; and

Finally, the parents and other home learning facilitators for giving the
learners the needed guidance and support for them to possibly accomplish the
tasks and for gradually helping them become independent learners.

To deliver learning continuity in this challenging circumstance would not be


possible without your collective effort and strong commitment to serving our
Zambaleño learners.
