CHAPTER I

INTRODUCTION

An inventory management system is a software-based solution used to track sales

activity and inventory. The topic of the research paper will be inventory management

system for GB Bakeshop, which is essential to the success of any kind of business.

Inventory control increases supplies and reduces erroneous data and shortages. One of the

many advantages of inventory management is that it avoids cycle counting and saves

time and money while also satisfying customers. Using a systemized program to enhance

inventory management would benefit the entire GB Bakeshop as well as other businesses.

By developing a systematized application, the study aims to suggest changes in manual

inventory management. This will reduce costs and speed up the ordering process, which

has an impact on the study’s significance. Implementing a systematized data

manipulation would therefore be very advantageous to all facets of inventory

management.

The inventory management system will be relevant to the quickly changing

technology that is advancing every day, and this study will be supported by the use of

technology-related methodologies and expertise. The selection of this study is quite

logical given its anticipated outcomes and application of a system that might assist with

the daily operations that take place inside the organization. As a result, the study will be

useful to the GB Bakeshop and future researchers who want to use it as a reference.

Therefore, having an inventory management system will significantly benefit businesses,

perhaps boosting the economy and improving people’s lives.

Project Purpose

The project aims to provide changes to improve the performance of managing

inventory in order to be profitable and offers a good service to customers. A broad range

of corporations, industries, and enterprises, excuses manual inventory management due to

financial cost and the complexity to implement the systemized type of managing

inventory to keep up with the present stage of technology.

To the Bakeshop. Synthesis features of the program are designed for their

delight, the bakeshop will be the primary focus of this study. The ability for staff to input,

edit, and remove a data record will allow for systematized data manipulation, making it

easier for them to operate and handle data.

To the customer. Customers’ names, contact information, and locations will be

entered into a database and made available on a system that may be utilized for

transactions to save time and effort. As a result, the system built will be advantageous to

both employees and customers.

To the sales. Due to the features used by the researchers, the transaction and

product will be tractable, which can result in avoidable shortages, understocking of

transactions, and overstocking of product, which will benefit sales at GB Bakeshop as

well.

To the Future Researcher. The future researchers will benefit from using the

study as a resource for managing inventory in bakeries. Additionally, this study might be

lacking in details and features, and future researchers might improve the idea due to

rapidly advancing technology.

Project Objectives

To develop an inventory management system for GB Bakeshop’s Bakery that will

help to eliminate the problems of owner in managing the inventory and transactions of

the bakery.

The following are the specific objectives of the project:

1. To develop a system that will update the inventory from time to time and will

record the transactions of the bakery by incorporating point of sales

2. To help the owners of the bakery to save and increase profits.

3. To avoid excess inventory by accurately predicting customer demand.

4. To provide an organize records for the bakery

5. To increase the productivity of the owners and staffs of the bakery.

Project Scope and Limitation

The goal of this study, which will concentrate on inventory system management, is

to benefit the GB Bakeshop’s customers, consumers, products, and orders. With this

study, controlling the list will be accurate and include real-time information about the

inventory status. Developing an application will be important because it is the foundation

for the study that was conducted. The program will aid in maintaining an orderly

warehouse, boosting efficiency and productivity saving time and money, and enhancing

the accuracy of inventory orders and loyal customers. It will control the inventory

through data listing, and the program will include a user identification and data collection

mechanism. The system will be accessible to the users, who will have the ability to add,

change, and remove product, category, customer, order, and user data.

The limit of this study does not provide a baking guide of bread and Gb Bakeshop

manager and staffs can access the system. Also, it does not include use hardware devices

like barcodes scanner and the expiration date of the items.

Interface Design

Accurate data listing of products, orders, clients, and users will result from

systematized inventory management system. This system will replace the manual

procedure for keeping inventory with an automated one. Stock, user data, and

transactional process monitoring. With the help of this study, an automated system for

precise and thorough transactions at the GB Bakeshop will be created. As a result, the

input, process, and output models will be crucial. Input: It collects data from the user and

is the process of accepting data or information. With the help of input, a computer can

perform data manipulation. It is the process of transforming the input into the output. The

outcome of processing is the output, which is displayed. A system’s input. The program

is accessed by a working computing device used by the system. The computer will be

used to enter transactions into a database and communicate information to the product.

Process. The system will receive the user-inputted data and store it in a database, which

enables real-time data transmission for the data list presentation. Output. The method will

produce an output that shows the data in an orderly and understandable list. The user`s

application will consist a data list and status showing the current stock of product, and the

text box of the application which is Product Id, Product Name, Product Quantity,

Product Price, Description, and Product Category.

User, Range and Source of Information

The owner of GB Bakeshop is the target of this inventory management system.

Using the suggested system, the owner will effectively manage the inventory and

business transactions at the bakery. Additionally, the staff’s transactions will be more

accurate and seamless if they use the proposed system. After that, the consumer would

also save time by receiving an accurate and seamless transaction. Last but not least, the

future researcher will gain from this study and use it as a reference for their future

research. Users have access to the ability to add, edit, delete, and search items as well as

add and remove categories for those objects. Users can examine and search for the

bakery’s daily, monthly, and annual transactions as well as add stocks to specific items.

Users can create reports for lists of things and daily, monthly, and annual transactions as

well as add, amend, delete, and search accounts. Users must log in before using the

system in order to save any changes made to the item menu, account menu, or stocks

menu. This is done as a security measure. Users of the system can view and search for the

daily, monthly, and annual sales of the bakery's most popular items, and it has a point of

sale for performing efficient and accurate transactions. The system also keeps track of

users who use it and has the ability to back up the database.

There are three different types of assessments in the GB Bakeshop inventory

management system. This system’s goal is to replace the manual inventory procedure

with an automated one. This study aims to develop an automated system for precise and

thorough transactions at the GB Bakeshop. It also monitors stock levels, user data, and

transactional activity. Therefore, the input, process, and output models will be crucial.

Input: This is the process by which data or information is accepted by a computer so that

it can perform a data-manipulation function. Conversion of input into output is the

process in question. The presentation or output of the outcome of processing is referred to

as output.

Input:

User Perspective. The user must input the data to record the information of the

product in order to display the status

System Input. The system uses a functional computer device that capable to

access the application. The computer will be used in order to send information to the

product and transaction into database.

Process. The user’s inputted data will pass to system, the information will be

stored on the database and allowing the data list display to have real time data

transmission.

Output. The result of the process will fall in to output, which displays the data on

list coherently and organized. The user`s application will consist a data list and status

showing the current stock of product, and the textbox of the application

which is Product Id, Product Name, Product Quantity, Product Price,

Description, and Product Category.

Definition of terms

The following technical terms were defined for the readers to understand for the

readers this study better

Administrator: The ability to create, read, and delete information that will be displayed

on a user’s landing page.

Bootstrap: It is technique design use in Internet Based Discussion Form System.

Computerized: To input data and store it in a system

Database: Is the storage device in which the files will be kept.

Data Flow: Data in Motion.

Laravel PHP: Using PHP, Laravel is primarily used to create unique web applications. It

is a web framework that takes care of a lot of the tedious tasks like routing, HTML

templating, and authentication.

MySQL: Open source relational database management system. It is database used stored

the files and information of the System.

Users: For system account registration, users must request administrator approval.

Vue.js: JavaScript framework for building one-page applications and online interfaces.

Review of Related Literature and Studies

This chapter presents a brief discussion of the foreign and local literature

reviewed by the researchers which further enriched the conceptualization of the study

and helped the conceptualization of the study and helped in describing the cognitive

design that guided the conduct of the researchers. The information’s indicated were

gathered in internet sites, journals and various books relating to the researcher’s topic.

Foreign Literature

Companies need Inventory System

Companies are increasingly employing Inventory System. A computer start with

an inventory counts in memory. Withdrawals are recorded by the computer as they

remade, and the inventory balance is constantly revised. When the recorded point is

reached, the computer automatically places an order, when this new order is received, the

recorded balance is increased. Retail stores have carried this system quite far, each item

has a magnetic codes, and as on item is checked out, and it passes over an electronic

reader, which then adjusts the computers inventory balance, at the same time the price is

fed to cash register tape.(Eugene F. Brigman, 2013).

Foreign Currency Inventory Management in a Branch Bank

A branch bank may decide to stock one or more foreign currencies to meet

demands from its customers and may also accumulate foreign currency as a result of

customer transactions. This paper presents the branch bank’s foreign currency problem as

an inventory management problem and derives good (and in many cases, optimal)

decision rules for this type of cash management problem.

While the model presented is similar to models which have been proposed for cash

management, the foreign currency problem has a number of features which lead to

distinct differences. The model was developed for the Canadian situation but is

generalizable to any branch having a significant volume of foreign currency transactions.

Inventory Control System with Partial Deliveries

This paper describes a continuing effort to develop and implement better policies

and models for controlling the inventory of materials used in the various construction

and maintenance programmers of a large Greek concern. The object of the work has

been not only to select a policy, formulate a model, and determine its optimal solution

mathematically, but also to analyze the special conditions of the problem, such as legal

and political constraints, complex organization structure, information and

communication problems, insufficient data, and supply instability, and to adapt to these

conditions the policy dictated by theory. The established practice in this system of

economical and was incorporated into a simple stochastic re-order cycle policy (T-S)

model, which is proposed in the present paper. Finally, questions of acceptability and

workability are considered. To mollify line management reactions, proposed changes in

the organization structure were kept to a minimum, and good features of the established

system were preserved as much as possible.(P.S. Polyzos &D.A. Xirokostas, 2017).

Inventory System

Inventory is one of the most important in monitoring a stock that take place in

business activity. The inventory system does the entire task in computing the value with

inventory (cost and quality) and handling data or information. Inventory System

maintains an orderly flow of supplies, raw materials, or finished goods through an office

shop/factory because of items in any inventory. Represents cost, they need to be

controlled. The purpose of inventory system for management are to keep inventory levels

and cost at desire minimums while maintaining to proper safeguards over materials to

places and people who need them.(Waren R. Planrit, 2015).

RCCola Automated Inventory System

RC Cola Orani Enterprise catering to 20 sub dealers all over Bataan and 50 stores

from Orani to Balanga. The manner of operation is manual, thus every transaction is

recorded and solved manually. In terms of supply ordering process, all emptied

bottles/cases are delivered to the mother company located at Lubao, Pampanga; this is

done if they reach the maximum cases of 1,720 needed for hauling. When it comes to

operation, the number of cases of goods delivered to the sub dealers and stores are written

on Daily Remittance Report. However, the report cannot monitor if how many cases are

available on the warehouse or how many bottles/cases are missing.(Amelounate, 2008).

Working capital management practices and sustainability of Barangay Micro

Business Enterprises (BMBEs) in Ilocos Norte, Philippines

This study examines the relationship between the working capital management

practices and sustainability of Barangay Micro Business Enterprises (BMBEs) in Ilocos

Norte, Philippines. This study employed a correlational-descriptive research design. Data

were gathered using a self-constructed questionnaire, which has been pre-tested to 30

other microenterprises and validated using Cronbach alpha. The participants were the

owners of the 301 registered BMBEs in Ilocos Norte. This study was conducted from

July to December 2020. The findings demonstrated that most of the BMBEs belong to the

wholesale and retail trade sector, are registered as single proprietorships, and have no

employees. The results also showed that the BMBEs have low economic, social, and

environmental sustainability. Moreover, the study revealed that cash management was

significantly related to economic and social sustainability, while accounts receivable and

inventory management were significantly related to economic, social, and environmental

sustainability.(Bibeth Macatumbas Corpuz, 2020).

Foreign System

Bakery Inventory Management System for Norijah Bakery

The research is discovering the problems with manual inventory management and

the solution proposed to solve the problems for the stakeholder, Norijah’s Bakery. The

research is focusing on the inventories used in the organization, which consist of the

items and ingredients used by the bakery in their daily business process. The purpose of

conducting this research was to solve the problems and issues of inventory management

of the stakeholder. There were so many problems arising and failures in manual inventory

management such as unorganized business flow, inventory spoilage, and loss of data. The

system was created to help the owner smoothen the business process besides ensuring the

security of the company’s assets. Besides, the system is developed using the Waterfall

Model of the Software Development Life Cycle by implementing the three important

stages which are requirements gathering, system design, and implementation.(Nurfatin

Najwa Mustaph, 2017).

Financial Returns to Household Inventory Management

Households tend to hold substantial amounts of non-financial assets in the form of

consumer goods inventories that are unobserved by traditional measures of wealth, about

$1,100 on average. Households can obtain significant financial returns from shopping

strategically and optimally managing these inventories. In addition, they choose to

maintain liquid savings – household working capital – not just for precautionary motives

but also to support this inventory management. We demonstrate that households with low

levels of inventory earn high returns from investing in household working capital, well

above 20%, though returns decline rapidly as inventory levels increase. We provide

evidence from scanner and survey data that supports this conclusion. High returns from

inventory management that are declining in wealth offer a new rationale for poorer

households not to participate in risky financial markets, while wealthier households

invest in both financial assets and household working capital.(Scott R. Baker, Stephanie

G. Johnson, and Lorenz Keung, 2021).

Simulation model of flour inventory in bakery production

For a smooth production flow in a bakery plant, it is necessary to establish and

maintain optimal inventory levels of different raw materials. Because of their importance

in production, a specific way for storage and the size of required storage space, and

different types of flour have to be given particular attention. Purchasing excessive

quantities of this raw material provides certain security in operations, however, in this

way a company’s funds are tied up in the inventory; warehousing costs are increasing, as

well as the possibility of spoilage. In contrast, insufficient inventory may cause a

production halt and an increase in opportunity costs. A number of models have been

developed to overcome such problems and improve decision-making in the area of stock

management.(Dukic, D., 2008).

Local System

Inventory Management Practices and Service Delivery of Healthcare Facilities in

Ilocos Norte Philippines

The study investigates the relationship between inventory management practices

and service delivery. The study participants were the 16 healthcare facilities in Ilocos

Norte and 80 patients, and they were chosen using a convenience sampling technique.

The research used a quantitative research design and a casual research approach to

measure the degree of relationship between the independent and dependent variables.

Based on the findings of the study, there were five inventory management practices

observed for the study—pharmacy premises and storage, drug information, safety and

security, personnel and stock control, and monitoring. On the other hand, as service

quality, hospitals have four categories. These are hospital admissions, care and treatment,

hospital environment and facilities, and hospital discharge. Personnel and stock control

and monitoring are significantly correlated to service quality Implications, conclusions,

and recommendations were also provided in the study.

Increasing utilization of owned scaffolding materials through improvement of the

inventory management system at Shell Tabangao Refinery, Batangas City,

Philippines

Shell Tabangao Refinery uses 163.56 tons of owned scaffolding materials,

yielding an average utilization of 71.88% only. This implies that the company has excess

inventory on hand. Yet, the company still continues to rent scaffolding materials which

are redundant of idle, owned stocks - translating to unnecessary rental expense of Php

111,912 per month. The study aimed to increase the average utilization of PSPC-owned

scaffolding materials by at least 18.21%, specifically eliminating recurrence of redundant

inventory, and improving visibility of owned stocks. Analysis of the inventory

management system was performed to assess the effectiveness of processes in

maintaining inventory control. The, why-why analysis was used to determine the root

causes which led to non-utilization of owned materials. Proposed actions to identified

root causes include policy changes in inventory allocation, addition of log sheets inside

the stockyard, implementation of proper warehousing practices, re-design of processes,

hiring a yardman, and improvement of the monitoring system and tool. When

implemented, it is estimated to increase utilization of owned stocks by 25.2%. The

company is expected to spend about Php 127, 145 during first year of implementation.

Reduction of delay in delivering rebar’s through warehouse optimization, inventory

management and trucking method improvement at Pag-asa Steel Works, Inc.,Pasig

City , Metro Manila, Philippines

Pag-Asa steel works, Inc. is an ISO certified steel manufacturing company that

produces different types of rebar’s. However, the company experienced 9.77% delay in

delivering rebars to the customers from January to October 2014. This percentage delay

was incurred by the 36 products with the highest total number of delay encountered. This

caused the company to customer complaints, failure to meet daily target delivery of the

company and loss od Php 18,304, 000 from January to October 2014.After generating

and evaluating alternative solutions, the study recommends that the company should

designate spaces for each group of rebars, have clear arrangement with the current

trucking companies, and to buy new cranes for replacement. Assuming all actions plans

and proposed alternative solutions are done, the delivery delays will be reduced from

9.77% to 3.44%.(Mary Grace Angeline P Castro, 2014).

TECHNICAL BACKGROUND

This chapter describes the technology used and describes all these technical

developments of the proposed system.

Gb Bakeshop was located in Araneta Street Barangay II San Carlos City, Negros

Occidental having a bakeshop that can cater to the needs of the managers.

Producing or baking bread for transportation and presentation is the specialty

business's everyday responsibility. Prior to making the dough for the bread, buns, and

other baked items, the designated crew cleaned the cooking area. Daily responsibilities of

the bread deliverer include taking bread to other branches and consumers. The auditor

then reviewed the day's wholesale.

This research was conducted to make GB Bakeshop more useful by adding an

inventory management system. This allows managers to know if their business is on track

and operations are running smoothly. The exact purpose of inventory management is to

allow managers to easily access inventory and quickly generate receipts.

Beginning with the implementation of this Gb Bakery Inventory Management, it

will undoubtedly make them more convenient and organized in their daily operations

within the baking sector. It will be used in their inventory tracking, orders, records,

communication, and business flow means of processing the current manual operation of

the Gb Bakeshop for both local and distant clients.
