Motivation
This book is designed as a part of the “101 Series”, established to equip the professionals and
students with the eminent capabilities and hone their skillset. The book is a good introduction and
a useful reference for different tips that we may not know and are needed in our day-to-day jobs
and school.

Prerequisites
To make the book as accessible as possible, the reader should have a basic working knowledge of
ppt.

Introduction
Microsoft PowerPoint is a tool that allows the user to create presentation slides that
will be displayed on the computer screen. PowerPoint allows users to work with other
people in a collaborative manner. The user of the PowerPoint tool can create different
presentations that can improve the audience's focus, including the use of images, audio, and
video. PowerPoint can be more effective in presentation than Microsoft Word and Excel.

PowerPoint tools include different customized slides that can be very helpful to the
user and can be used in an effective way to communicate with the audience. Depending on
the use approach, the slide can be text-heavy, image-heavy, or some combination of both.
Apart from the user presentation and communication skills, technical detailing can be critical
in delivering an efficient and successful presentation. PowerPoint tools come with handy
built-in features to help the users in creating powerful presentations.

PowerPoint is a powerful tool, but some of its most useful features are hidden. Be a
PowerPoint Expert; check out some of its features and tricks in the following discussions.

1. Design your slide with designer

An amazing feature in Microsoft 365 users can find several designs


according to their particular field.

First, select blank presentation and add the title of your presentation,
then go to design and click designer. You will find several designs co-
relates with your title.

You can also change background and picture using an option search.

2. How to Add Graphic symbol.

You can add graphic symbols in your presentation using Icons.

Go to insert then you can find option icons, once select you can different images.

You can also change size and color of image using fill option.

3. How to Add Morph transition.

Transitions are the core point for presentation Microsoft 365 provides you wonderful transition
morph, first right click on the first slide then duplicate slide. At the second slide change the
position of the image and text, then click Morph.

You can see the transition effect while the slide show.

4. How to Translate Presentation.

Go to dictate and select the language in which you want to dictate. Insert a text box in your
slide then click on a dictate, a red point appears then start speaking, it will automatically type
what you are speaking, and also finds full stop, punctuation, and hyphen. But make sure your
microphone should attach to the browser.

This is an awesome tool for online presentations for teachers and students who come from
different countries.

Insert punctuation at any time by saying them explicitly. Fix mistakes with your keyboard
without having to toggle the mic icon off. To find more about symbols, punctuation and hyphen

5. How to insert Images.

In Microsoft 365 users can find thousands of images that you can choose from stock images. these are
completely edited and fully formatted pictures you don’t need to do further editing.

Go to insert > stock images.

Under stock images, you can also select categories.

Once you selected designer will show multiple designs with graphics you the choose one you
like.

6. What is Script lab?

Script lab is a highly extensive feature in Microsoft 365; it creates code of your selected text,
image, or even blank presentation slide. Script lab also available in excel and word Microsoft
365. You can explore JavaScript API and prototype add-in functionality using script lab.

Go to script lab at the main menu bar click on code.

PowerPoint add-in interrelates Objects in PowerPoint interrelate using the office JavaScript API,
Which includes two JavaScript object pattern.

Powerpoint JavaScript provides you strongly-typed object that you can use to access objects in
PowerPoint. Whereas common API can use to access features such as UI, dialog box, and client
setting that is common across multiple types of office applications.

Use Script Lab to get started quickly with a collection of built-in samples that show how to
complete tasks with the API. You can run the samples in Script Lab to instantly see the result in
the task pane or document, examine the samples to learn how the API works, and even use 9
samples to prototype your own add-in.2

7. Editor setting.

The editor allows you to fix the Spelling and consistency of your slide, you can select an option
with checkbox options for example if you want to ignore the internet and file address then click
on a checkbox. It will avoid internet and file addresses in your presentation.

You can also ignore error using an option Hide Proofing

Go to review, > check slide > editor setting.

You can check error in your presentation by selecting an option.

8. Add Note to slide.

You can add notes to a specific slide, once you click Notes then you can write any note for your
audience.

Teachers can also add tasks as notes onto the slide It will help students to understand and also
helpful for people in offices to understand important points as it is added as notes to selected
slides.

9. Convert your slide into Video.


You can also create a video of your slide or create a PDF/XPS document or you can also make a
Package presentation for CD.

Go to File > Export > select option create a video.

Once you select option create a video you can find further options.

10. How to dictate Online Videos.


You can insert online videos and copy URL of video you want to add into presentation and click
insert.

Once video added into your slide go to dictate then select the language in which you want to
transcribe, make sure your mic attachs to a browser then start dictating while video playing.

11. Rehearse with coach.


First attach your mic to your computer then go to slideshow at the main menu bar click on
rehearse with a coach, and start rehearsing once you finished you will get a report of your
presentation on how well you present.

Once you finished Rehearsal your report will automatically generate.

12. Convert Handwriting ink.

In Microsoft 365 you can write anything and convert it into text using an option ink to text.
Similarly, write any math equation and then select option ink to math. This is really great tool
for students and teachers to write any equation during lecture or presentation and later
convert it into a math equation.

Draw any shape and select lasso then click on ink to shape. It will convert shape into perfect
shape.

13. Draw.io.

Now in Microsoft 365 you can add draw IO diagram using office add-ins or you can also attach
diagram from your documents. You need to login into your Microsoft account to get access to
your documents from Google Drive or one drive.

Go to insert then go to office add-ins. Write draw io in search option then click add.

Once draw.io adds to your menu bar then you will get the option to select a diagram from your
document and save your diagram.

14. Explore data in Slide.

Now you can explore data and visualize with interactive charts and tables. First, select the data
and the variables to be plotted.

Office add-in gives you different views and helps you gain useful stats and graphs about the
data which is powered by Scalable Vector Graphics (SVG) components to displays large
datasets3.

Go to insert then add-ins then install explore the data into the presentation.

15. Insert chart from Excel.

You can add your excel chart into your PowerPoint presentation by just copying chart from
excel and paste it into PowerPoint slide.

While you paste the chart into the PowerPoint slide it gives you the option to use destination
theme and link data or keep source formatting and link data. if you select any of this two option
then Any change in excel chart data, it would make changes at powerpoint chart that you
pasted.

16. Quick search bar.

The quick search bar at the top of the main PowerPoint office 365 windows provides users with
a fast searching option. This option also available in excel and word 365.

You can also find search option under Review.

17. How to change background of slide.

You can change the background of the slide with one simple click.

Go to design > Background > click

>Solid fill if you want to change the color of the background. Select Apply to all If you want to change
the background of all slides.

>picture from a file, you can also add background picture from a file, upload any file that you
have saved before then select the selected slide.

18. Slide365

You can install slide 365 from office add-ins.

Once installed, you can see slide 365 at the main menu bar click on it you can find different
templates and designs on the side panel. You can select according to your requirement but here
you need to purchase slides but only for 1$.

19. Automate content

Automate content is a single add-in for all 3 apps, it gives you an option to update both
PowerPoint and word with one Excel document. You need to install automate content add-ins
in both the Word and Powerpoint enable to create document template of word, excel and,
PowerPoint.

Automate content add-in can help you

The add-in significantly reduces the time to customize data-intensive documents that need to
be updated multiple times or by multiple people. Common use cases:4

 Customer proposals or business cases (from Excel-based ROI/TCO analysis)

 Personalized product documentation (from an Excel sizing/capacity configurator)

 Recurring business, sales, financial, or project reports/dashboards (from Excel data


consolidation and analysis)

 Custom technical documents and datasheets (from engineering/scientific lookups, logic,


and calculations in Excel)

20. Insert Bing Picture.

In Microsoft 365 pictures you can also insert a picture that is powered by Bing. Once you click you can
see different categories having extensive images. You can also find Bing pictures in word as well.

Once you select the category you can find several images. Insert the picture into your slide.
Once you inserted the designer will show you more designs related to your presentation theme.

21. Create poll.

You can create a poll into your presentation using office add-ins, a Poll everywhere.

This is a great tool for students and teachers during live lectures to create polls and take
reviews about lessons conducted. Also useful in administration or offices to create a poll or
conduct a survey.

Once you select you can create a poll by adding multiple questions, surveys or ranking or a
clickable image, or many other options you can also find.

You can also select option clickable images to take reviews from the audience.

22. Insert 3D models.

You can add 3D images in Microsoft 365 you also can change size as required. Once click you
can find a thousand images with different categories.

One of the stunning tools in Microsoft 365 is 3D animated images. You can also choose
animated images under 3D models. This a great tool in PowerPoint presentation for students

23. Biomedical Illustrations.


In PowerPoint blue beaker is a great app for physicians and other medical professionals to add
biomedical illustrations with one simple click. They can create professional Presentations with
medical illustrated images.

Go to insert > add-ins > add Bluebeaker app.

You can select images and add transition and an animation morph to give animation effect to
your diagram.

24. Zoom in PowerPoint.

If you want to give a more professional look to your Powerpoint presentation then must go
through zoom.

In Microsoft 365 zoom provides you more different feathers than the previous version of
PowerPoint.

Zoom Summary, first creates a slide name summary, then select slides from your presentation
and add these slides into the summary slide. Once added you can further edit the final
summary slide just click on the slide you will get more options of format summary zoom slide.
You can also change slides with images or icons using an option to change image. If you click on
the icon you will see the original slide.

Section slide, you can create a summary of sections in your presentation using an option zoom
section slide. Go to insert, then zoom and click on section slide you will find an option to select
sections for your presentation. you will find all selected section into one summary slide you can
further edit or format the slide using an option zoom at the main menu bar.

Slide zoom, you can also make a summary of slides into your presentation. Go to insert then
zoom click on slide zoom. Select slides of which you want to make a summary of then click on
insert. Further, you can edit or format the summary slide using an option zoom at the to ribbon,
also you can drag any slide that you want to add into your summary slide.

25. Insert Map in powerpoint Presentation

You can insert a map into your presentation just go to insert chart select option map you can find the
map of your location, by default setting of your window. You can also edit map data accordingly or you
can also adjust the map of specific regions or locations.

You can also find different features of the map. Select map and insert into your presentation.

26. Create Animated Gif.

You can also make animated gifs using PowerPoint slides, first select slide. First select an image,
icon, or smart art then right-click and duplicate the slide. Change the rotation of the image to
that of the first one then again duplicate slide the again change rotation.

Then go to file > export you will find an option to create an animated gif, just click on it and
save duration accordingly. Now you get your animated gif file.

You can also add animated gif by office add-ins, install Ink ppt or you can also search animated
gif you can find a different app for animated gif, photos and, images into your slide.

27. Smart lookup.

If you want to search for information about any word on the web then you can do it easily with
one simple click smart lookup. This feature is much more improved in Microsoft 365 than that
of its previous version.

First, select any word or phrases then go to review click on Smart lookup. It will also provide
you web result base on the word you selected at the side panel. The Web results show you web
research of selected words.

28. Share as embed.

You can also share your presentation with people or you can also generate HTML code of your
presentation for a blog or web page and send it to other people.

Go to file > share

Share with other people, you can add a password or you can also restrict others from editing
your presentation.

Or

Embed, this will generate attachment of your presentation.

29. Keyboard Emoji.

Install keyboard Emoji from office add-ins, you can Emoji and also increase size, resolution, and
skin tone. You can also rotate images and duplicate slides and create an animated gif of your
power point presentation.

Select Lpx or XXLpx if you want to insert big image.

30. Check accessibility.

You can check errors or any mistakes even slide titles using an option Check accessibility, it will
show you Error, warning and also intelligent services or better suggestion for your slide
presentation.

Go to Review click on check accessibility.

Once you complete the presentation then you can also recheck using an option recheck at the
right corner of accessibility. It will recheck and gives you information if there is any fault or
flaws in your presentation.
