Task 2

1. Send an email to the team (your assessor)


The text of the email should be in grammatically correct English, written in an
appropriate (polite, business-like) style.
It should introduce and summarise the contents of the attachment, and ask them to
review it.
The email text should also invite them to attend a performance planning meeting.

Your email should include the date and time of the meeting, as well as the duration.
You will need to send your email at least 5 working days prior to the meeting.

Attach your Operational Plan to the email.

Your team members will be organised by your assessor, and will include at least two
other students as well as your assessor to represent the other FSEC positions.

Dear Team,
I hope you are all well. Football South East Coast is a small-town oriented football
association whose work is to administrate all the activities of the association in done
properly. One of its primary goal is to increase the player participation and specially the girls’
participation in the football game. Keeping in mind, attached is an operational plan that
contains details about membership growth, volunteer development and programs and
events. Each one has its separate strategies, actions, timelines, who will be performing the
task, what resources would be needed and the key performance indicators.
In order to discuss, we will be having a team meeting on May 11 th, 2020 at 10:00 am. The
meeting will be for an hour, and I expect everyone to be punctual and well prepared.

2. Conduct a meeting with the team.
Prepare for a meeting with your team to discuss the new Operational Plan and to
develop a team performance plan by reviewing the organisational information
provided to you above, as well as the Operational Plan. Familiarise yourself with the
Team Performance Plan Template, as you will be completing this document after the
meeting.

As communications manager, you are required, as a minimum, to cover the following


during the meeting:
Provide an introduction to the meeting, including the purpose of the meeting
 Indicate to all team members that it is important for them to take an active role in
the planning meeting so that their ideas for implementing the strategic plan and
associated goals for the upcoming 12 months will be taken into consideration and
included in the team performance planning framework.
 Ensure that all team members have read the Operational Plan that you sent in the
email. Give them the opportunity to ask questions if anyone needs clarification.
You should explain to the team any parts of the Operational Plan that are not
understood.
 Work with your team on each section of the performance planning template. Ask
your team for ideas and write them up on the white board.

During the meeting, your assessor (in the role of a staff member) will raise a
workplace concern during the team performance planning session. Concerns or
problems that are outside your authority will have to be discussed with the General
Manager. Tell the team that you will get back to them shortly with a response.

During the meeting, you will need to demonstrate the effective interpersonal and
communication skills including:
 Team building techniques including clear explanation of goals and outcomes
 Asking questions and listening to responses to clarify understanding
 Active listening skills
 Respecting and acknowledging the views of others
 Non-verbal communication skills that encourage discussion and feedback, for
example, nodding, smiling, eye contact.

Hello everyone. This is your Marketing and Communications Manager. I conducted this
meeting to introduce you with our Association Football South East Coast. This is a small-
town football-based organization and its goal is to increase the participation of girls &
improve participation in community football. We all are familiar with the operational report
that was share earlier with everyone and we are gathered here to discuss it further. For a
team to succeed it is necessary for each and every team member to contribute their ideas
and question, if he/she has any doubts. About the workplace concern, I will discuss it with
higher authorities and will get back to you as soon as I can.

Subject: Letter for reviewing the meeting & explaining the workplace concerns of Football
South East Coast.

This email is regarding the summary of our recent team meeting about the team
performance according to our operational plan which has been held in 18/11/2018 and also a
workplace concern that has been appeared in the group meeting.
In the meeting we have been covered the followings,
• Discussed operational plan
• Discussed about the team performance and
• Discussed about our 12 months’ goal achieve plan and team contribution.
In the meeting we have realized that the allocated budget is too low to achieve the required
marketing outcomes. Since our team has to build up a strong relationship with the customers
by organizing events and program, our budget should increase more for organizing events.
Each team members have found out the prices of products in the economy is increasing and
our budget seems like to achieve a goal for 5 years back marketing plan. We discuss the
organizing events cost and realize that our budget should be increased by at least 20%.
On the other hand, for the membership growth we have found the best way is to give
promotion such as giving 1-week free membership. This types of promotional tools also will
cost us more than it used to previously. As a result, our team required at least 15% increase
of the budget for the membership growth.

1. Outputs, projects and deliverables: What will your main work be this year?
What elements of your work area’s Business Plan will you be responsible for or
contribute to?
The main work this year will be focus on improving participation in community football,
specifically to increase the total number of players by 4% and increasing the participation of
girls aged between 5 and 18 by 2%.
Marketing area will be responsible for conducting market research, developing marketing
campaign to promote participation on soccer and establishing long term relationship with
local media. Also, it will contribute to develop a volunteer recognition scheme, create
interesting promotional events throughout the year and a fund raising gala event at the end
of every year.
2. Conduct and behaviors: How will you do your work and interact with others this
year?
Organization values are respect, collaboration and innovation.
The interaction with the community will mainly approach by events, volunteer programs,
online and offline local media. The communication will be based on trust and Integrity with
each other, appreciation of interests and passion, openness and transparency.
3. Knowledge and skills: What do you need to do your job well this year?
What learning and development activities will you undertake this year and how will
your new skills and knowledge be applied on the job?
The marketing team needs to develop leadership, team work, self-management,
communication, planning and research, community and data base management skills as well
as population demographics and community soccer interest knowledge to develop strong
and long-term relationships with members and community.

Development activities will be focused on-the-job learning, learning through other colleagues
and courses and training. The activities will be create based on employee’s strengths and
weaknesses, areas for further development and realistic, available and possible
expectations.

The strategies for implementing the learnings and new skills will be enlisting a feedback
partner, create metrics, continuity learning, self-reflection, review goals and targets.
