Instructions for the following Situation:


1. Identify the shortcoming in the given letter in terms of Bad News Messages.
2. Critically analyze the structure of the following letter.
3. Identify if 5 smart ways of writing is violated. Mention them separately.
4. Identify if 7 Cs of communication is violated. Mention them separately.
5. Create Separate heading for each point mentioned and describe each.

Solution:
1. Identify the shortcoming in the given letter in terms of Bad News Messages.

 Direct strategy is used while indirect approach is more helpful to minimize the impact of bad news.
 The news is given is bitterly manner while it must be conveyed in a flowering language to reduce the
impact of bad news.
 Bad news is supposed to given in a sympathetic tone rather being serious.
 The other positions suggested were not relevant to the one candidate has been rejected.
 Long sentences are not used to clarify the reason.

2. Critically analyze the structure the of the following letter.

The letter is very rushed, which start with appreciation as supports in the beginning of the letter but
short sentences are used which mirrors no sympathy to the recipients from sender. Furthermore, the
justification for refusal has not clearly illustrated. Nonetheless, aside from the complimenting buffer
and generous closing with alternative, the letter could have been far better by announcing awful news
with long and elaborative sentences.

3. Identify if 5 smart ways of writing is violated. Mention them separately.

Considering 5 smart ways, contraction should have not been used. Such as; "We'd" which has to be
written as “We would".

4. Identify if 7 Cs of communication is violated. Mention them separately.

 It includes a couple of wide sentences and a quick forsake one feature another which dismisses the rule
of CLARITY.
 Courtesy is missing in the second paragraph where news is announced.
 The news could have been presented in a better way with detailed reson. Thus, violate the
Completeness from the 7 C’s of writing.

5. Create Separate heading for each points mentioned and describe each.

The above 4 parts are done according to the instruction under separate headings.
