Ms. L's Beauty Lounge's historical background initially

caters to semi-permanent makeup and procedures, proper skin

care, nail arts and spa, facial treatment such as beauty

slimming regimen, glutha drip, and glutathione injections,

until it fully supplies health and beauty supplement products

for proper well-being and quality of life. The clinic has

been in the industry for about two years, but the services

that they provide to their customers and clients can be

compared to long-term, large, and successful firms, and they

are also confident on telling them that they are satisfied

with the services. The goal of the study is to assist them in

improving their business operations in order for them to

continue their business for a longer period of time by getting

new information and insight from exposure and creating

1.3 Statement of the Problem

Problem 1: Looking a Good Employees

Documents Involved:

• Performance metrics

• Job Descriptions

• Job profile

• Performance Appraisal Documents

• Resume or CV

Scenario:

Good employees are formed as a result of a company's

management. Only a few employees looking for work have access

on Facebook. Others are not interested due to lack of

information available on Facebook, as opposed to the website.

In terms of hiring procedure there will be a tendency that

failures may occur at any point during the process. A single

breakdown can be enough to keep you from hiring the candidate

that you really want. If you are hiring process has multiple

flaws, your chances of finding good employees are

significantly reduced.

One of the reasons you might have trouble finding good

employees is that the hiring process is long and difficult to

5
manage. Any stage of the hiring process can result in a

communication breakdown. Even one misstep can result in a bad

hire or a lot of time spent interviewing the wrong candidates

with the wrong skills.

Cause:

• There are a lot of people who are unemployed.

• They are not fit to culture.

• They are lack of skills in the field.

Impact:

• Time consuming on finding a good employee.

Quantifications:

• Accommodating applicants 20-40 minutes.

• Setting an interview time for applicants.

• Handling referrals and the associated authorizations.

6
Problem 2: Maintaining Consistent Income

Documents Involved:

• It verifies that the person in charge of executing

particular transactions is you.

• Proof of income is required to determine the

provenance of certain funds or assets.

Scenario:

When your product or service is unable to regularly

produce an accurate income amount for estimates, you have a

revenue stream. This presents significant issues when putting

together sales predictions, annual budgets, operational

choices, and so on. One of the problems that a business may

encounter is fierce competition. It's possible that your

costs and prices are fine, but you're up against too much

competition to keep up with. If your competitors' products

are similarly priced but objectively superior to yours, you

won't sell enough to stay alive.

Cause:

Lack of market awareness. You could also be suffering

from a lack of market awareness; even if your product is

priced perfectly for both you and your customers, if no one

knows it exists, you won't make a profit. Marketing and

7
advertising are your most powerful tools for overcoming this

barrier; they are costly up front, but well worth the

investment if properly planned.

Impact:

• Loss of profit

• Inconsistency

• A lack of market awareness.

Quantifications:

• No client is the specific days.

• Expired Products

8
Problem 3: Setting Appointment Difficulties

Documents Involved:

• List of products - list based on the products of

carrying out the necessity client’s need.

• Booking appointment information to present in the

clinic.

• Quotation - paper that will be submitted to the client

and will include an overview of prices for the

products they want installed as well as project

requirements.

Scenario:

They are having a hard time setting an appointment on

the site. Therefore, online scheduling allows the company to

deliver a better customer experience. Allowing customers to

schedule appointments directly from your website eliminates

the need for them to work around your office hours. Almost

every single person does their research online these days,

and you most likely make your decision on whether to see us

or not right then and there, at that moment.

The customers are busy and they have a lot of things to

do. They also won't have to wait while your front desk staff

attends to other calls or responsibilities.

9
Cause:

• Traditional way on booking an appointment.

• Time Availability

Impact:

• They cannot set an appointment on designated time.

• The beauty clinic is not prepared for your consult.

Quantifications:

• Breakdown of time consume Traditional way on booking an

appointment

• Time consumed for preparing the equipment’s and products

that will be used – 15 minutes – 30 minutes

10
1.4 Scope and Delimitation

Delimitations

The first delimitation was the geographic location

delimitations are potential flaws in a study that are beyond

the researcher's control, and they emphasize both the study's

internal and external validity (Connelly, 2013). The

limitation of this system is it only covers the reservations

of the customers. How they can get a reservation and the

availability of the time they want.

Delimitations are characteristics that limit the scope

and define the boundaries of the study (Simon & Goes, 2013)

the validity of the interview data collected was based on the

knowledge and interpretations of beauty clinic owner which

did not reflect the views of the beauty clinic industry's

larger population. Because of the study's limited scope, its

conclusive findings may not apply to other geographic regions

or business cases. Finally, to identify small business owners

in the beauty clinic industry who implemented successful

survival strategies, the researchers relied on the honesty of

potential participants as well as the accuracy of supporting

documentation.

11
Small business beauty clinic participant inclusion

criteria. The scope of this study was limited to owners who

successfully implemented strategies to stay in business for

more than 5 years. The Beauty Lounge sample population was

used as a delimitation. Another limitation was that answering

the research question necessitated concentrating on

strategies used by small business beauty clinic owners.

Scope

The research includes some information about the Beauty

Clinic, Appointment Reservation, and Customers Agenda. The

scope of the study is to help them improve their business

practices so that they can stay in business longer by gaining

additional knowledge and insight from exposure to effective

strategies. The study's purpose was to assist small business

owners in recognizing ways to improve their company's long-

term viability. Profitability, business development, business

marketing strategy, human capital, and stability are all

factors that help small business owners achieve long-term

sustainability in their industry (Asfaw, 2016).

3.3 Presentation of Alternatives

3.3.1 Alternative no. 1: Standalone Set-up System

Standalone is a type of system in which each user has

their own computer with a specific task (for example, one

computer for the CEO and another for the general manager).

There is connection between the CEO computer and the

manager’s computer. They can have both access the website in

the admin panel section. A website is available, and each

workstation must have their access

At the main office, the proposed system was installed.

Here are some of the benefits of

The following alternative:

1. Easy to access the admin panel.

2. CEO, General Manager, and Assistant have the same access

in the admin panel to view the appointment reservation.

3. Data security and privacy – data resources on a computer

cannot be accessed by other computers. As a result, data

privacy is preserved.

4. Stand-alone setup system is more convenient.

5. Any tasks or data associated with that computer are easy

to manage.

3.3.2 Alternative No. 2: Web Base Set-up (Internet Based

Network System)

This alternative is known as Website or Internet-based

Network System. This proposed system offers a connection

between the main office (General Manager and Executive

Assistant) and the CEO through the use of internet. The

computers are designated at least one at the main. The

selected administrator can utilize the suggested system as

long as they are connected to the internet and logged in. It

will have user levels, each with their own username and

password for security purposes.

Only selected personnel and the general manager can

access the proposed system for security and controlling

purposes if they want the personnel to become admin.

For this alternative, here are the advantages of this proposed

system:

1. Convenience – As long as the company is logged on to the

system, they can access it 24 hours a day, 365 days a year.

The full information is always accessible, particularly for

the General Manager and Executive Assistant.

41
2. Secured Data – data is safer against the occurrences of a

system failure; data is well-protected in the online

application service and with backup and restore.

3. Cost-efficient – The program that will be installed on

this proposed system will be less expensive than market

software.

4. Portability – the system can work as long as the user is

logged-on or connected to internet.

3.3.3 Alternative No. 3: Centralized Set-up

The third alternative is centralized set-up of

appointment and administration system of the M’s L’s Beauty

Lounge where there is an interconnection between main office

and other site and it is connected through a central server

that handles the data of the whole system.

For this alternative, we offer a (1) server computer and

another computer for the main

Office. Just like the other proposed systems, the admin

will have their position as admin branch user name with their

corresponding password. These accounts will determine the

access level of information that a particular user can do the

commands assign to them.

Here are the advantages of a centralized set-up:

1. Data Integrity - The single most significant advantage of

centralizing an association's data management is data

integrity. One of the fundamental principles of database

design is that no redundancy is permitted. That is, no data

should be duplicated within the database. Each member has one

primary record with primary contact information in a

centralized database.

52
2. Broad Marketing Information and History - It is much easier

to create reports that highlight the wide range of activities

that your members are involved in now that all of the

information is centralized.

3. Integration of Data – Data and records are simple to

integrate because they are centralized in a database.

4. Training is made easier for the employees engaged. -

Another benefit of centralized systems is that they shorten

the learning curve for users. If all processes are kept in

the same database, users only need to understand one system.

CHAPTER 4: METHODOLOGY

The following topics are discussed in this chapter: the

method of research that will be used by the researchers, the

instruments and techniques.

RESEARCH AND SYSTEM DEVELOPMENT METHOD

Research Issues

• Make a good research question.

And look into the system's

features and conditions.

• Understand the system building

processes/procedures.

• Research relevant fields.

Seeking fresh perspectives and

ideas.

• Develop a unique architecture

design for extensibility,

modularity, etc.

• Define the capabilities of the

system.

• Interrelationships between

components.

64
• Create a database or knowledge base. To conduct out

system functions, schema and operations

• Develop alternative solutions and choose one

solution.

• Learn about the concepts, framework, and design

through the system building process

• Learn about the issues and solutions. The system's

complexity.

• Observe the use or the system by case studies and

field studies.

• Evaluate the system by laboratory experiments or

field experiment.

• Develop new theories models based on the observation

and experimentation of the system's usage.

• Consolidate experiences learned.

65
Prototyping

An iterative process in which design teams turn abstract

concepts into concrete forms, ranging from paper to digital.

To capture design concepts and test them on people, teams

create prototypes of varied degrees of quality. You can modify

and validate your designs with prototypes so that your company

can release the proper products.

Create the system. Researchers of systems development

frequently conduct the studies by constructing a prototype

system. However, in order to evaluate the system in a real-

world situation, further development of the prototype into a

product and transfer of the product into an organization is

required. The feasibility of the design and usability of the

features of a system development research project are

demonstrated by the implementation of a system. The act of

putting a working system together can give academics insight

into the benefits and drawbacks of various concepts,

frameworks, and design options. The acquired knowledge and

experiences will aid in the system's redesign.

66
67
68
Architectural Model

The intranet/extranet architectural model focuses on

security and privacy, including the separation of users,

devices, and applications based on secure access. Note that

in this model there can be several levels of hierarchy.

69
DATA COLLECTION

Data collection is a systematic process of acquiring and

evaluating specific information in order to provide answers

to pertinent queries and assess the outcomes. It focuses on

learning everything there is to know about a specific

subject.

The devices/instruments used to gather data, such as a

paper questionnaire or computer-assisted interviewing system,

are referred to as data collecting tools. To collect data, we

use Google Docs to conduct interviews, observations, and

questionnaires.

Primary Data Gathering

By definition, primary data collection is the collection

of raw data at the source. It is the process of gathering

original data gathered by a researcher for the aim of doing

research. It can be divided into two categories: qualitative

research and quantitative data gathering methods. But this

time we used a quantitative method to gather the data of the

company.

70
Quantitative Method

Quantitative approaches are presented numerically and

must be deduced mathematically. A questionnaire with closed-

ended questions, for example, might be used to arrive at

values to be calculated mathematically. Also included are

correlation and regression methods, as well as mean, mode,

and median.

71
Data Collection Method Tools

In terms of data collection tools, the research was

carried out using a semi-structured questionnaire, which

served as an interview guide for the researcher. Some specific

questions were prepared in order for the researcher to steer

the interview toward the achievement of research objectives,

but more questions were addressed throughout the interviews.

74
75
ETHICAL ISSUES

Ethics is concerned with the creation of a trusting

relationship between the beneficiary and the researcher. To

ensure that trust is established it is essential that

communication is carefully planned and managed, that risks

are minimized and benefits are maximized.

Social benefit - The researcher guarantees that the study or

system will benefit the respondents or beneficiaries. It

benefits or the project is worth for them because the system

is for their business and will help them improve and become

more marketable because it is more efficient and up to date.

Free choice - The research subject is cooperating,

communicating, and responding to the researchers. Ownership

implies that if we make a good decision, we are entitled to

a good outcome.

Privacy - Although the beneficiary grant access to their

thoughts and feelings when they agree to participate, they do

not agree to unlimited access. Therefore, they have always

got the right to decline to talk about certain issues or to

answer specific questions about in the business.

76
Non-maleficence – The researchers make sure that every single

respondent or beneficiary will not suffer any harm as a result

of their participation in the project. It will not have an

impact on the business, earnings, time wasting or management

information.

Informed Consent - The beneficiary gives permission or allows

the researchers to inquire about their business, such as their

history, organizations, products, and so on.

Old way

The setting of an appointment in the old style is

explained using Layered Architectural Pattern. Since the

beginning of the business, the typical method of scheduling

an appointment at the clinic has been through the clinic's

Facebook page. Clients must chat or connect with the page's

admin to check the available time and date, and then wait for
78
the admin's answer and confirmation before scheduling an

appointment for that day.

79
New way

We will design a system that is really beneficial to the

business through our proposed project. We'll start with

Sublime Text that contains a custom HTML and CSS engine for

displaying stylized content in editor panes and XAMMP control

panel server to test pages as a software tool because it's

more familiar and one of the best and most popular for

building websites in the world. Once the system is built,

we'll use MYSQL to provide authentication or OTP as a security

feature for both the admin panel and the clients. After a

client logs in or registers, and the admin logs in to the

admin panel, this authentication works. If the system is

properly implemented, everything will be simple for the

beneficiary and client since they will be able to schedule an

appointment via the website to see prices and choose whatever

services they want, the time and date will automatically

appear if they are available, and the confirmation will be

sent to their G-MAIL including the information and booking

number.

80
ANALYSIS OF DATA

In information systems and software engineering, the

systems development life cycle, also referred to as the

application development life-cycle, is a process for

planning, creating, testing, and deploying an information

system.

Planning

What we wanted – The Researcher wanted to develop a

system wherein the client can set an appointment in the

website.

81
Analysis

We collect information based on company owner in each

content of the website. Home Page help us to get visitor’s

feedbacks, reviews and response.

Getting ready for the appointment that the client

requires.

Design

Design proposal arrived at from the analysis of our

collected data. Guidelines and principles help in the

development of initial design such as:

• Simplicity - Simplicity is the best way to go when

considering the user experience and the usability of the

website.

• Navigation - Navigation is the way finding system used

on websites where visitors interact and find what they

are looking for. Website navigation is key to retaining

visitors. If the websites navigation is confusing

visitors will give up and find what they need elsewhere.

Keeping navigation simple, intuitive and consistent on

every page is key.

• Content - An effective web design has both great design

and great content. Using compelling language great

82
content can attract and influence visitors by converting

them into customers.

• Visual Hierarchy - Visual hierarchy is the arrangement

of elements is order of importance. This is done either

by size, color, imagery, contrast, typographically,

whitespace, texture and style. One of the most important

functions of visual hierarchy is to establish a focal

point; this shows visitors where the most important

information is.

Implementation

Deployment is the final phase of our project. Once our

website has been tested thoroughly, we will deploy it to a

fast, secure, and highly scalable server. We ensure that all

of our deployments have automatic backups and an application

monitoring service.

Testing and Integration

Easy to manipulate for end users. Implement a prototype

of the design for collecting user feedback such as messaging

us on social media or inside the website to receive

quantifiable user feedback.

83
Maintenance

The website was simple and elegant. The contents in the

categories sorted based on their services so that users can

easily find the content they want. Texts are readable that

fits on the background of the website. Images’ quality and

sizes are good enough that the users can see.

Easy to set an appointment schedule that fit to them.

84
PROJECT PLAN DELIVERABLES

A project timeline is an overview of a project’s

deliverables laid out in chronological order. It maps out

what needs to be completed before a new task can commence and

keeps everything ticking along nicely.

Beneficiary Planning Gathering Designing Development

Looking for Beneficiary

Begin the beneficiary discussion early.

• Avoid misunderstandings by discussing your life

insurance policy with your partner, parents, older

relatives, or other family members up front. If you're

85
a beneficiary, advise them to maintain their policy

information in a safe place where you and your spouse

can both access it in case something happens.

Look for personal documents.

• In an ideal world, you'd already know if you're the

beneficiary of someone else's insurance policy and have

all the necessary information to file a claim. However,

information and procedures might go through the gaps as

time passes.

Find a lost policy on the internet.

• Don't panic if you've looked everywhere and still can't

find a policy. There are various ways to look for lost

insurance if you believe you may be a beneficiary.

Project Planning

The researchers wanted to develop a system wherein the

client can set an appointment in the website easily. We

used Gantt charts to plan and report progress in a project

context.

86
Data Gathering

The information was gathered by interviewing the

company’s manager via Google Meet. Other unanswered questions

were submitted using the Google Form.

Project Designing

The primary features, structure, success criteria, and

major deliverables of a project are all planned out during

the project design phase. The purpose is to create one or

more designs that can be used to accomplish the project's

objectives.

Project Development

The process of allocating resources to fully develop a

project or product from concept to go-live is known as project

development. There are five stages to it: discovery,

allocation, kickoff, quality assurance, review, and report.

Managers seek to identify the people who will make up the

project team during the development phase. The project

managers are usually the ones who come up with this process.

Maintenance

The website was simple and elegant. The contents in the

categories sorted based on their services so that users can

easily find the content they want. Texts are readable that
87
fits on the background of the website. Images’ quality and

sizes are good enough that the users can see.

88
WORK BREAKDOWN STRUCTURE

A deliverable-oriented hierarchical decomposition of the

work that the project team must complete in order to meet the

project's objectives and produce the requisite deliverables.

A Deliverable-Based Work Breakdown Structure clearly

demonstrates the relationship between the project

deliverables (i.e., Admin panel, Client side and Security).

In this figure is an example of a Deliverable-Based WBS for

Implementing Appointment and Administration System.

89
RISK ANALYSIS

Detecting and analyzing potential concerns that could

have a detrimental impact on major business activities or

projects this procedure is followed in order to assist

companies in avoiding or reducing hazards.

Introduction

This section discusses why and how the evaluation

process was handled. It provides a description of the systems

examined as well as the responsibility assignments for

supplying, gathering, and interpreting the data.

Title: Implementing Appointment and Administration System
in Ms. L’s Beauty Lounge
Security
➢ Use HTTPS and SSL
o To keep your website safe, use HTTPS and an SSL. If
your site users offer to send personal information,
you must use HTTPS rather than HTTP to deliver it.
Back-up and Restore
➢ Create a cloud backup of your website. It facilitates
data storage and provides access to data from any
location.
➢ You should also think about automating your website
backups. Make use of a backup service that allows you to
schedule backups. You should also make certain that your
solution has a robust recovery system.
➢ Backup your backups.
➢ This allows you to restore files from any point in time
prior to the breach or virus.
Admin Panel
➢ Data Reports
o Create data reports to see the number of customers
in each service weekly and monthly.
