4. Procedures
4.1 Introductory Activity • Opening Prayer
• Drill: Let the students read and unlocked different
terminologies using slideshow presentation
10 minutes ➢ credit card machine-card payment machine
➢ safety deposit box- used to deposit valuables items for
safety purposes
➢ information rack- used to collect information for the guest
➢ cash register-used to register cash or point-of-sale
➢ reservation rack-used to collect reservations slips
➢ magnetic strip recorder- a short strip of magnetic tape
attached to a credit card or debit card and it contains data that
will tell a reading device who you are and what your account
number is.

• Motivation: Gamification. Group the students into four groups.


Each group must select a leader and every group is given 4
colored cards as an option of their choice. Present the game in a
form of Kahoot and each group is asked to raise the card of
their choice.
Motive Question: What did you feel about the game? What have you
noticed about it? Are these familiar to you? Which one is not and which
one is familiar to you?
4.2 Activity Group the students into 3 groups. Give pictures of the Front Office
10 minutes Services showing different scenarios associated with tools and
equipment. Each group must have a leader and secretary. The ideas of
each member will be consolidated by their respective secretary and each
group is asked one volunteer to discuss their answer based on the given
picture.

4.4 Abstraction
(Presentation of the lesson about Front Office Services tools and
equipment’s)

The front office represents the customer-facing division of a firm. For


example, customer service, sales, and industry experts who provide
10 minutes advisory services are considered part of a firm's front office operations.
The functions of the front office generally generate the majority of
revenue for a firm. The front office department is 24 hours and 7 days
open. Its check-in time usually falls at 2:00 in the afternoon meanwhile
the check-out time is 12:00 noon. The front office clerk renders 8
hours of duty a day regardless of the type of shifting schedule.
Tools a device or implement, especially one held in the hand, used to
carry out a particular function.
Equipment is a type of fixed asset used by a company in its business
operations and reported on the long-term assets section of the balance
sheet under the line item property, plant, and equipment.
Tools and Equipment of Front Office Department and their uses
1. Key Card- a small card used to open hotel doors
2. Credit Card Machine – is a card payment machine
3. Fax Machine – a machine used to send facsimile documents
4. Cash Register – it is a mechanical or electronic device for calculating
and recording sales transactions, and an attached cash drawer for
storing cash.
5. Printer – used to print documents
6. Telephone-used for accepting inbound and outbound calls
7. Safety Deposit Box- this box is for guest use only and are controlled
by the Service Associate. Each box has its own key but cannot be opened
unless the Service Associate’s guard key is used at the same time. It is
used to deposit valuable items of the guests.
8. Calculator- used to calculates data’s
9. Information Rack-used to collect information for guests. The
information may be several type like about special menus and
visiting location etc.
10. Reservation Rack-used to collect reservations slips of guest which
are sent through post or mail.
11. Mail, message and key racks – this type of equipment used to
collect mail, messages and key of the guest. The above picture show the
use of this rack.
12. Account Posting Machine- an accounting machine is generally
a calculator and printer combination tailored for a specific
commercial activity such as billing, payroll or ledger.
13. Voucher Racks- this rack is used to keep vouchers.
14. Magnetic Strip Recorder- a short strip of magnetic tape attached to a
credit card or debit card and it contains data that will tell a reading
device who you are and what your account number is.
15. Time Stamp- This machine is used to stamp the time and date on
all mails, handwritten messages which come to or are used by the Front
Desk.
16. Arrival Bucket- is located adjacent to the registration area and
holds the pre-registration envelope for guests due to arrive today.
Dividers, similar to folio bucket, are placed inside in alphabetical order.
17. Cash Drawer- it is a drawer contain several types of column used
to place cash.

18. Key Encoder- key card issuing machine which should be
interface with the Fidelio/Opera System (PMS).
19. Postage Scale- this scale is located in the Concierge area and is
used to determine the postage required for letters and small packages
which a guest or the hotel wishes to mail.
20. Folio Printers- these are laser printer dedicated to print guest folios
with multi-purpose trays attached to print system generated paid-out
and foreign exchange vouchers.

Proper ways to take good care of the tools and equipment


1. Check if it is working properly or in a proper conditioned.
2. Keep the front desk area clean always.
3. Make sure that it is check and invented regularly.
4. If the tools and equipment are not working, report immediately
to the supervisor and/or endorse to the maintenance
department.

4.5 Application
Group the students into 3 groups, give 1 Front Office Tools and
Equipment picture and each group shall identify the given item and the
uses as well as how to take good care or maintain the FOS tools and
15 minutes equipment’s. Each group is asked to select 1 volunteer to discuss and
demonstrate the uses and taking good care of the given item.
