Getting Started
Welcome to the CTERA End User Portal's new UI! Here's everything you need to get started
with CTERA Portal in ten minutes or less.

Do the following and you'll be syncing, sharing, and collaborating in no time:


Install CTERA Agent for desktops or laptops, so that you can always sync the most current
versions of your files to your computer and backup your computer to the portal. See
Install CTERA Agent (page 33).
Download CTERA Mobile for your mobile phones and tablets, so that you can always
access the latest version of your files from anywhere.
Add files to your Cloud Drive folders. See Upload Files (page 9).
Securely share folders or files with your team members or external users in seconds, by
using collaboration and public links. See Share Files (page 19).
Use the CTERA Edit plugin to easily edit files right from the CTERA Portal. See Edit Files
Using CTERA Edit for Chrome (page 15).

About the CTERA Portal
After you have logged in to your account, take a look at the CTERA Portal Web interface.
The Cloud Drive tab contains your files.

You can add as many folders as you like to the Cloud Drive tab, but the following two folders
are there by default:
The My Files folder is automatically synced to the cloud when CTERA Agent is installed on
your computer. In this example, you can see some documents, PDFs, and images.

The Shared With Me folder contains all of the content that other users shared with you.

In this example, there is one folder called "Marketing Project", which includes a
presentation that Alice Green from the Marketing department shared with you. As you
can see, Alice gave you Read Only permission for this folder.

About the CTERA Portal 2

The Devices tab lists all of your devices that are connected to your CTERA Portal account.
Below each device, you can see the last time it was backed up, along with the size of the
backup.
To manage your account and access additional options, click on the user menu, which
appears as a circle in the upper-right corner of the screen.

Upload Files
Now let's upload some files to the My Files folder. Upload can be done by browsing to a file
or via drag & drop.
1 Click on the My Files folder.

The My Files page appears.

2 Click the Upload icon and browse to the files you want to upload.

Alternatively, you can drag the files from your PC to the browser window. If you are using
a modern browser, You can even drag entire folders.

Search for Files


You can search for files in a folder.
1 In the Search this folder box, type part or all of the filename you want to search for.

The search is performed in the current folder and its sub-folders.

The matching files are displayed.

2 To clear the search, click next to the Search this folder box.

Perform Actions on an Individual File


To perform actions on a single file, do one of the following:
Right-click on the file to access the available actions.
Click on the icons to access the available actions.

For information on what each icon means, see Actions You Can Perform (page 13).

Select Multiple Files


Let's select some files and folders on which to perform actions.
Do any of the following:
To select or deselect a file or folder, use this check box.

To select ALL files and folders, or to clear all the selected items, use this check box.

For more options, click on the down arrow .

Actions You Can Perform

1 Download. If you selected multiple items, they are downloaded in a ZIP file.
2 Work with a selected item's version history. See Recover Previous Versions of a File (page
16).
3 Copy or move the selected items to another folder.
4 Delete the selected file(s).
5 Rename the selected file.
6 Create or manage public links. See Use Public Links (page 19).
7 Manage the collaborators list. See Collaborate on Files (page 20).
8 Edit Files Using CTERA Edit. See Edit Files Using CTERA Edit for Chrome (page 15).
9 Undelete the selected file(s). See Recover Deleted Files (page 16).

View Files
Simply click on a file, to view it in the online viewer.

The file can be printed, downloaded, and searched.


An extensive list of file types is supported. If online viewing is not supported for your file type,
CTERA Portal will offer to download it instead.

Edit Files Using CTERA Edit for Chrome


With CTERA Edit, you can edit files locally, and any changes will be automatically re-uploaded
to the portal.
This feature is currently only available for Google Chrome on Windows. To use this feature,
you need to install CTERA Agent and connect it to your portal account.
1 Select a file in either the My Files or Shared with Me folder, then click on the Edit icon

The file is downloaded to your PC and opened in the program associated with this file
type.
2 Make whatever changes you like, and save the file.

The updated file is automatically synced to the portal.

CTERA Agent will display the following message:

3 Now the latest version of the file is available in your Cloud Drive, and you can view it in
the online viewer.

Recover Deleted Files


Your deleted files are retained by Cloud Drive for a retention period that is defined by your
portal’s administrator. If you have deleted a file by accident, you can view and restore it.

1 In the My Files folder, click the Deleted icon .

All deleted files are displayed.

2 Select the files you want to restore, then click the Undelete icon .

Recover Previous Versions of a File


Cloud Drive keeps snapshots of all changes made in your files. The number of versions that
are retained depends on a policy defined by your portal administrator.
You can view, download, and restore previous versions of a file.

1 Select a file in your Cloud Drive, then click the Version History icon .

The File Version dialog box appears displaying the different versions that exist for the file.

2 Click on the version you want to work with.

3 Do any of the following:

1. Download the selected file version.

2. Preview the selected file version.

3. Restore the selected file version, making this older version replace the current one.

4. Copy the selected file version to another location.

Share Files
There are two ways to share files in your Cloud Drive with other people:
To quickly share with broad and undefined audiences, or over public mediums such as
Facebook or WhatsApp, use Public Links. You can define whether the link recipients are
able to respond by uploading edited files back to the shared folder. See Use Public Links
(page 19).
To securely share files with team members, external users, or entire groups, use the
collaboration feature. See Collaborate on Files (page 20).

Use Public Links


You can share a public link to any file or folder in the Cloud Drive.

1 Select a folder or file in your Cloud Drive, then click on the Link icon .

The Public Link to dialog box opens.

2 Click Create new link.

4 Share Files

A link to the file appears.

3 You can now do any of the following:


Copy the link to your clipboard by clicking Copy, then send it via email to people with
whom you want to share the file.

Configure the file permissions as Read-Only or Read/Write, by clicking .

Configure an expiration date for the link, by clicking .

Remove an existing link, by clicking and then Remove.


Create additional links to the file, by clicking Create new link.
4 Click Close.

The link icon next to the file changes to green .

Collaborate on Files
You can invite co-workers, external users, or groups of users to collaborate on a folder or file
with you. Collaborators will receive an email notification inviting them to collaborate on the
project. They can then view or edit files in the project and/or add files and folders to the
project, depending on their permissions.

1 Select a folder or file in your Cloud Drive, then click on the Collaborators icon .

The Share dialog box opens.

2 Type an email address, user name, or user group in the field, then choose the contact
with whom you want to collaborate.
3 Do any of the following:

Configure the collaborator's permissions as Read-Only or Read/Write, by clicking

Configure an expiration date for the link to the shared file, by clicking .
For external users defined by email, define authentication settings such as email or

SMS verification for increased security, by clicking .

Remove an existing collaborator, by clicking and then Remove.

4 Configure project settings by clicking and select the options you want:
If you have permission to do so, you can specify that the folder is a team project (This
is a team project). This means that the folder will appear in the recipient’s Shared
with me folder without your name.
You can define whether the folder can be synced to the computer of other team
members (Allow team members to sync this folder). This option is only available for
top-level folders.

4 Share Files

You can also define wither the item can be re-shared by the recipients. If you want to
prevent the recipients from sharing your items further with additional people, clear
this check box.

5 Click Save.

The collaborators icon next to the file/folder changes to green .

If you collaborated on a folder, the folder's icon changes to green .

Configure Your User Profile
You can change your personal details and password, as well as the interface language.

Change Your Personal Details


You can configure your user profile as follows:
1 Click the avatar in the upper-right corner.

If you have not yet configured an avatar, your initials will appear instead.

In the menu, click My Profile.

5 Configure Your User Profile

The My Profile page appears.

2 You can upload an avatar by clicking . Then provide your best looking picture,
making sure it is in JPEG or PNG format.

3 If an item is incorrect, click to change it.

Change the Interface Language


You can change the user interface language from the My Profile page.
1 Click the avatar in the upper-right corner, then in the menu, click My Profile.
2 Select the desired language in the Language drop-down list.

Change Your Password


You can change your password from the My Profile page.
1 Click the avatar in the upper-right corner, then in the menu, click My Profile.

2 Click the Change Password link.

4 Complete the fields, then click Change Password.

Add Devices to Your Account


You can add the following device types to your account:
CTERA Cloud Gateway
Windows PC or Server
Mac PC
Linux Server
Phone or tablet running iOS, Android, or Windows Phone
To connect a CTERA Cloud Gateway
1 Log in to the CTERA Cloud Gateway's Web interface.
2 Click Cloud Services > Status.
3 Click Settings.

4 Enter your account details.

To connect a PC or server
1 Install the CTERA Agent. See Install CTERA Agent (page 33).
2 Click on the agent's taskbar icon.

3 Enter your account details.

To connect your mobile device


Install CTERA Mobile from the App Store.

Manage Devices in Your Account


1 Click on the Devices tab.

This page displays all of your devices that are currently connected to your account, for
example laptops, mobile phones, etc. From here, you can connect to a device, view the
files and folders that were backed up from a device, restore backups, and so on.

For each device, the following information appears:

1. The device name, along with a circle indicating whether the device is currently online
(green) or not (red).

2. A link to further information on the device.

3. The size of the last backup.

4. How long ago the last backup was performed, along with a link to view the backup.

2 To display more details about a device, click the icon.

The device's details appear in a new tab.

6 Manage Your Devices

Work with a Device Backup

1 Near the desired device, click .

The contents of the last device backup appear.

2 Do any of the following:

To view previous backups of this device, click More Versions, then select the backup
you want to view.

To download the selected items, click the Download icon . If nothing is selected,
the current folder will be downloaded as a ZIP file.
To restore a backed up file or folder to the original device, select the file/folder and

click the Restore button .


You can copy items from your backup into your Cloud Drive by clicking on the Copy
icon .

You can share backed up contents by clicking the Share icon .This works only for
folders that do not have a passphrase.

Change a Device Backup's Passphrase


If your backup folder is passphrase protected, you can change the passphrase by clicking the

Passphrase icon .

Remember to keep your passphrase in a safe place. If lost, it cannot be recovered.


After changing the passphrase, you will need to configure the specified devices with the new
passphrase.

Remove Devices from Your Account


To remove an unused device from your account:

Near the desired device, click the icon, then click Delete.

Install CTERA Agent
Install CTERA Agent for desktops or laptops, so that you can always sync the most current
versions of your files to your computer and backup your computer to the portal.
To install CTERA Agent , click Install Agent.
